There's a specific kind of exhaustion that comes from re-entering the same customer details into a third system this week. The work itself isn't hard. It just shouldn't have to happen twice.

Every extra system a business adopts should make things easier. In practice, unless someone builds the bridge between it and everything else, it just adds another place for data to go stale.

We build those bridges — custom API development and integrations between ERP, CRM, accounting, and payment platforms, including older legacy systems that many integration partners avoid.

Manufacturing, logistics, retail, healthcare, financial services — the industries change, the underlying issue doesn't: systems that don't talk to each other, information duplicated by hand, and data out of sync by the time anyone notices.

Automation doesn’t replace your team. It stops wasting them.

How much time does your team spend on repetitive admin, entering data, chasing information or fixing manual errors?

Probably more than you think.

The right ERP system can automate those routine tasks and connect the information your teams need giving people more time to focus on the work that actually matters.

Less admin. Fewer bottlenecks. More productive teams.

That’s what smart automation should do.

Month-end shouldn’t mean chasing spreadsheets, matching transactions and wondering whether the numbers will reconcile.

With Odoo Accounting, bank feeds, transactions, and payroll data come together in a single ledger, making VAT and PAYE reconciliation far less manual and more manageable.

But good accounting software is only part of the equation.

The implementation matters too.

At XRA, our implementation team is led by a Chartered Accountant, so we look beyond simply configuring the software. We make sure the setup reflects how your business needs to report — including the realities of SARS compliance.

Less time spent reconciling.
More confidence in your numbers.
A smoother month-end.

That’s what a good ERP should do.

What happens when your business has multiple sites, multiple biometric devices and no single view of attendance?

For one global plastic product specialist, managing time and attendance across Johannesburg and Cape Town meant dealing with data that wasn’t connected to the rest of the business.

XRA changed that by integrating their biometric devices directly with Odoo.

Now, attendance data flows into one central system, giving the business a clearer view of employee attendance while reducing manual admin and making payroll preparation far more efficient.

The project also brought employee records, onboarding and offboarding into the same system — creating a much more streamlined HR process.

It’s a good example of what ERP integration should actually do: make everyday processes simpler, more connected and easier to manage.

We’ve shared the full story, including the challenges, solution and results.

You've lost a sale because something was out of stock.
Not because your supplier couldn't deliver, but because nobody reordered in time.
That's not a supplier problem. That's a system problem.

How it works:
→ Set a minimum quantity for each product (e.g. 50 units)
→ Set a reorder quantity (e.g. order 200 when it hits 50)
→ Odoo generates the purchase order automatically and routes it for approval
→ Your procurement team reviews; they don't chase

For businesses with 50+ SKUs, this is the difference between a purchasing department and a purchasing system.

You can also set lead time buffers, so if your supplier takes 7 days, Odoo triggers the reorder 7 days before you'd actually run out.

How many times did you run out of stock last quarter because someone forgot to reorder?

Most warehouse managers don't realise they're losing money — until they count stock at month-end and the numbers don't match.

Chasing inventory across spreadsheets, WhatsApp messages, and gut feel isn't a system. It's a liability. You're making purchasing decisions on outdated data, overselling stock you don't have, and understocking lines that are actually moving.

Odoo Inventory changes that. Real-time stock visibility across every warehouse location. Automated reordering rules so you're never caught short. Barcode scanning, lot tracking, and delivery routing — all inside one platform that talks directly to your sales, purchasing, and accounting.

No more end-of-month surprises. No more firefighting.

If your current setup can't tell you exactly what's in your warehouse right now, it's time for a conversation.

Your customer is waiting on an order.
Your warehouse says the stock is there.
Your system says it isn't.
And nobody knows which one is right.

This is the reality for a lot of South African wholesale and distribution businesses — not because they're doing anything wrong, but because they've outgrown the tools they started with.
When you're managing bulk orders across multiple warehouses, juggling vendor lead times, and trying to keep your finance team in the loop — disconnected systems don't just slow you down. They cost you sales, trust, and margins.

Here's what changes when distributors move to Odoo:
✅ Live stock visibility across every warehouse location
✅ Automated reorder rules tied to real vendor lead times
✅ Batch processing for incoming receipts and outgoing deliveries
✅ Supplier performance tracking built into procurement
✅ Sales, inventory and accounting connected — always in sync

No more chasing warehouse managers for a stock count. No more finding out about a stockout after the customer already called.

We've written a full breakdown of how this works in practice — built around the challenges South African distributors actually face.

How many tabs do you have open right now just to run your business?

Most SME owners we talk to aren't struggling because they're bad at business. They're struggling because they're running a 2026 operation on 2015 tools — and the cracks are starting to show.

The manual capturing. The "just check with Sarah" because no one else knows the stock levels. The finance team working off a different version of the truth than everyone else.

At some point, you stop growing the business and start managing the chaos instead.

That's exactly why we work with Odoo. It's not the flashiest pitch — it's just one system that actually connects your whole business. Finance, inventory, sales, HR. All in one place, in real time.

We've helped SMEs go from duct tape and prayer to actually knowing their numbers. It's a good feeling.
