Here's a sneaky one that breaks email for businesses that did everything right.

SPF, the record that authorizes who can send email for you, allows a maximum of 10 DNS lookups. Add a few tools (your CRM, your newsletter platform, your booking app) and each one quietly eats into that limit. Cross 10 and the whole record can stop working.

Suddenly your legit email is bouncing or landing in spam, and "nothing changed." The fix isn't adding more. It's flattening and consolidating the record so it stays under the cap.

Unpopular opinion in IT: we usually don't install security patches the day they drop.

On purpose.

Here's the reasoning. Most months, the thing you're patching against is unlikely to hit you in the next week. But a patch that wasn't fully tested can absolutely take you down today.

We've watched updates send machines into reboot loops where they wouldn't even boot back into Windows.

So we wait a week, sometimes two, and we watch. The exception is the rare "if they can reach the box, they own the box" vulnerability. Those we patch immediately.

The skill isn't installing everything fast. It's knowing which is which.

You can't prevent every bad day. So stop spending all your money trying.

We frame readiness in three parts.
Protect: do the reasonable things that stop most problems before they start.

Ensure: make certain your systems are compliant, so you qualify to be insured.

Recover: know exactly how you get back up and who does what.

Most businesses pour everything into the first bucket and have no answer for the other two. But "how fast can we recover" is the question that decides whether an incident is a bad afternoon or a closed business.

It's not if something happens. It's what your plan is when it does.

A lot of IT companies sell you tools. Very few sell you an answer when something breaks at 4:55 on a Friday.

Good support is boring on purpose: you call, a human who already knows your setup picks up, and the problem gets owned from start to finish. No ticket ping-pong. No "have you tried turning it off and on" as a stall tactic.

One contact. One team that knows your name. That's the whole pitch.

A question that catches people off guard: if you got locked out of your business email tomorrow, who gets you back in?

If the answer is "I'd open a ticket with a giant company and hope," that's a problem. Consumer products aren't built for your long-term success. They're built for scale.

When an account is properly hosted and managed, getting locked out is a 10-minute fix, not an existential crisis. We've seen people lose years of email because nobody actually owned the account.

Most IT companies can reset a password and set up a laptop. Fewer can untangle the stuff that quietly runs your business: DNS, email authentication, a domain portfolio that's grown into a tangle of half-forgotten accounts.
