When a customer isn't home when the tech arrives, it's easy to assume they forgot. But sometimes the problem starts with the appointment itself.

A wide arrival window can leave a customer waiting around for hours without knowing when the tech will actually show up. Narrower windows, confirming the day before, and sending an en-route message can give customers a much clearer idea of when they need to be available.

It's also worth tracking why no-shows happen instead of lumping them into one number. Someone who forgot may need better reminders.

Someone who gave up waiting points to a scheduling or communication issue. And someone who tried to cancel but couldn't reach you is a different problem altogether.

We broke down a few ways home service businesses can approach it here:

It's easy to treat missed calls as just another phone metric. But for a home service business, the more useful question is how many of those calls would realistically have turned into booked work.

Instead of relying on industry-wide averages, you can get a much more useful estimate from your own numbers: missed call volume, booking rate, average ticket, and how many missed callers you eventually recover.

That also keeps you from assuming every missed call automatically equals a lost job.

We broke down a practical way to calculate it here:

A missed call isn't a small inconvenience, it's a job going to a competitor. Here's how to calculate what yours cost, using your own numbers.

When someone calls because their AC stopped working or there's water on the floor, the usual sales qualification playbook can feel pretty out of place.

One thing we've been thinking about is how much the order of questions matters. Starting with name, phone number, address, budget, etc. might make sense for collecting information, but to the caller it can feel like filling out a form before anyone's actually addressed their problem.

A better flow: acknowledge what's happening first, ask enough questions to understand the issue and urgency, confirm you can serve them, then move toward booking and collecting the admin details.

We put together some example qualifying questions for emergency calls, standard service calls, estimates, and repeat customers here:

Qualifying an inbound home service call is not the same as qualifying a B2B sales lead.

How many missed calls does your business get in an average week?

That 5% benchmark comes from call centers with hold queues. Home service businesses have no queue — the phone just rings while everyone's on a roof. 20-40% is normal for small field businesses, and it's not a performance problem, it's a coverage problem.

Bigger issue: voicemail volume massively understates the damage. Most people who hit voicemail just hang up and call the next contractor — they don't leave a message. 60 missed calls with 9 voicemails doesn't mean 9 leads lost. It means 60, with 51 of them invisible to you.

The math that makes it real: abandoned calls Ă— booking rate Ă— avg ticket = revenue at risk.

Example: 400 calls/mo, 21% abandoned (84 calls), 50% booking rate, $450 ticket → ~$18,900/month, ~$225K/year ringing out unanswered.

Full breakdown + how to actually measure and fix it:

: Call abandonment rate benchmarks are written for call centers. Here's what the metric means for a home service business with no queue, and what good looks like.

CAC = spend Ă· new customers. Most owners get this wrong the same way: calls you paid for but never answered still count as spend.

Example: $6,000 spend → 400 calls → 300 answered → 150 booked. Reported CAC: $40. Answer all 400 at the same rate → 200 customers → CAC: $30.

That gap isn't marketing. It's answer rate. Meaning: low answer rate + more ad spend = worse CAC, not better.

Also — blended CAC hides everything. Referrals can run $40, marketplace leads $700+, and marketplace leads are basically a speed race since the same lead gets sold to 3-4 contractors.

Full math + per-channel breakdown:

https://bit.ly/3V7QjF2

The CAC formula is simple. Applying it to a home service business, with per-channel costs and a trade-length payback window, is where it gets useful.
