Every undocumented process is a loan.

It feels free while the person who carries it is still here. You pay it back, with interest, the day they leave. The cheapest time to write it down is now, on a normal week, while they can still explain it.

Losing your best person is never just one salary to replace.

When the process lived in their head, the resignation sets off four hidden costs most owners never budget for. The fix is on slide 5. Swipe through.

The day your best person quits, you find out how much of the operation was never written down.

You budget for the obvious part: recruiting, a new hire, a few weeks of ramp. Then the real bill arrives, the things only they knew and never wrote down, and the next person rebuilds the process from memory while quality slips.

SHRM pegs recruiting at around 4,700 dollars per hire, and Gallup puts replacement at between half and two times their salary once you count ramp and lost output. The invisible cost is worse. Here is the full breakdown.

A manual nobody opens is not a process.

A real process is how the work happens when the expert is out: the decisions, the handoffs, the exceptions, written down and kept honest. That is the difference between a team that is busy and an operation you can rely on.

Unwritten knowledge feels fine right up until the day it doesn't.

When how the work gets done lives in people's heads, your quality depends on who is on shift, and one resignation can set you back a month. Writing it down changes five things. Swipe through.

When the process lives in one person's head, the operation is one resignation away from breaking.

Most owners find out how much of the work was never written down on the day their best person is out. Then the questions start: how does this get handled, who signs off, what to do when the file comes in wrong. The answers were real. They just never lived anywhere except one person's memory.

A documented process is the fix, and it is not a binder nobody opens. It captures the triggers, the decisions, the handoffs and the exceptions, so the work happens the same way on a bad day as on a good one.

You don't have a hiring problem. You have an ownership problem.

More hands on a process no one owns just reach the same miss, faster. The thing that moves the number is not another seat. It is one person accountable for the result, every week.

Staffing or a managed operation? They get pitched as the same thing. They are not.

Staff augmentation rents you capacity. You still own the process and the result. A managed operation sells you the result and owns it.

The short version:

1. Staff augmentation: more hands, you still run it.
2. A managed operation: you buy the outcome, they own the KPI.
3. Why headcount rarely helps: more people on a broken step just makes the leak bigger.
4. When each one fits.
5. The one-question test: would more hires move the metric, or break at the same seam?

Swipe through it. And the line that matters: we don't sell seats, we run the operation.

More people on a broken process just breaks it faster.

Almost every owner has tried the headcount fix. The number misses, so you add two people, maybe three. For a month it feels better. Then the same gap opens back up, now with more salaries attached.

That is the tell that you had a process problem, not a people problem. Staff augmentation rents you capacity and leaves you to run it. A managed operation sells you the result and owns it: the process, the KPI, the weekly correction.

We wrote up the difference, and how to tell which one you actually need.

A vendor runs a shift. A partner answers for the result.

The invoice tells you which one you hired. A seat and an hour buys you attendance, and the risk stays on your desk. A number in the contract, defended every week, buys you an operation. Same industry, completely different deal.
