Before your 2027 website budget gets approved, can you answer these?

✔ What does this number actually cover?
✔ Who's responsible for the site day to day?
✔ What happens if something breaks?
✔ Is accessibility included, or assumed?
✔ What known maintenance, platform, security, content, or feature work can already be anticipated in 2027?

If the answer to any of these is "not sure," that's worth resolving before the budget is final.

After 20 years, I worry less about whether a website looks dated than whether anyone knows who's responsible for it.

The person who built it moved on. Nobody's sure which services are connected. Updates get postponed because nobody wants to break anything.

The website can still be working while the organization has no clear answer about who can make changes, what services it depends on, or who should act when something goes wrong.

Staff turnover and vendor changes can leave an organization with pieces of its website spread across different people and accounts.

One person knows the domain. Someone else set up the forms. An outside vendor controls an integration. The employee who understood how everything connected left two years ago.

The problem becomes visible when something needs to change and nobody has the full picture.

Sue at East Northpoint Jewish Center gave us two kinds of feedback after their redesign.

She was impressed by the design from the start: "I'm a graphic designer and illustrator, and the design you came up with was better than I could have ever expected."

She also pointed out something we should have understood more clearly during planning — an events-calendar scenario we hadn't fully accounted for. It was useful feedback about the kinds of "what if" questions that can surface requirements before a client begins managing structured content after launch.

Grateful to Sue for both the kind words and the candid feedback.

A city remediates its site. Six months later: a staff member uploads an inaccessible PDF. Another department adds an unlabeled form field. Someone copies formatting into a new page. An event flyer goes up as an image.

These problems can be introduced through ordinary publishing work by staff who are simply trying to keep the website current.

Once remediation is complete, someone still needs to make sure new pages, documents, forms, and images meet the same accessibility standard.

Launch day gets the celebration. It's also one moment in a much longer relationship.

Six months after launch, a staff member may need different access. A new form may need to be added. An integration may change. The CMS and extensions will continue receiving updates. Someone will have a question that didn't exist when the site was scoped.

Those situations are normal. What matters is whether the organization already knows who handles them.

Most organizations never see this work: software kept current, backups checked, security alerts reviewed, domains and SSL certificates monitored, problems caught before they turn into emergencies.

That's the point – it's technical work someone else is supposed to be handling, so an organization can focus on everything else it's responsible for.

Today is National IT Professionals Day – a good day to recognize the people who keep this running, including our own team.

Depending on the site, a website budget may need to cover hosting, software and security updates, content support, accessibility work, integrations, and planned improvements.

Worth checking which of these your 2027 number actually accounts for — and which ones it's quietly assuming someone else is covering.

New site launch: Diversified Pacific Partners.

Diversified Pacific came into the project with existing content they wanted to recover and update, and a clearer goal for what the new site needed to accomplish — helping prospective acquisition targets understand who they are and take the next step.

Congratulations to the Tom and the team on the launch of your new site! Check them out at divpacpartners.com.

Most website line items get copied into the next budget because the amount already exists.

Before that happens for 2027, check what the number actually covers. Hosting? Software updates? Support? Accessibility work? Security monitoring?

If nobody can answer that clearly, leadership does not actually know what it is approving or who will be responsible for the website next year.
