An auditor doesn't want to wait for you to find a document in a box.
They ask for one specific repair order from one specific month, and they usually ask for it while sitting in your conference room.
The gap between the question and the answer is where dealerships lose time. The records exist. Somebody still has to go find them, across departments, across systems, sometimes across a storage facility, while the person who needs them waits.
What shortens that is not better filing. It is knowing, before anyone asks, that every document is where it should be and that nothing expected is missing.
That last part is the one people skip. A folder full of scans looks complete. It is only proven complete when something checks it against what should be there.
