📢 Why Some Emails Land in Spam
Many clients ask why invoices or statements from certain senders end up in the Spam folder. Here’s what you should know:
It’s not our server’s fault: Our mail servers (hosted with Xneelo) deliver messages correctly.
Spam filters are automatic: Receiving systems (like Gmail, Outlook, Yahoo) use content analysis and reputation checks. If the sender’s email looks suspicious or bulk‑like, it gets flagged.
Authentication matters: Senders must have proper SPF, DKIM, and DMARC records. Without these, even legitimate mail can be treated as spam.
Content triggers filters: Emails with generic wording (“click here”), hidden text colors, or missing unsubscribe links often score high on Bayesian filters and get flagged.
âś… What Senders Should Do
Publish correct SPF/DKIM/DMARC records in their DNS.
Avoid spam‑style wording and formatting.
Include unsubscribe links in bulk mail.
Test deliverability with tools like mail-tester.
📥 What Receivers Can Do
Check your Spam/Junk folder regularly.
If you use IMAP, subscribe to the Spam folder so you can see flagged mail across all devices.
Mark legitimate messages as “Not Spam” to train your mailbox.
👉 In short: We deliver your mail correctly. If it lands in Spam, it’s because the sender’s setup or content triggers filters. The fix is on the sender’s side, not ours.
