Our longest-standing client is a Sandton law firm that's been with us since 2017. Before us? They'd changed IT providers every 18 months for years — passed between account managers, stuck in ticket queues, that quiet resignation of 'this is just how IT is.'

When we first sat down with them, they didn't ask for a fancy portal or a list of features. They asked one thing: 'Will someone actually answer the phone?' That was it. Years of being let down had stripped their wishlist down to the basics — one team that knew their setup by name, and a phone that got picked up on the first ring.

So that's what we became. Same engineers. Same relationship. Flat R450/user/month, unlimited remote support, proactive monitoring that catches the fibre wobble at 7:45am before the partners walk in at 8. No more losing billable hours to IT drama. No more month-end panic. No more POPIA audit scrambles. Just IT that works, and a team they know by first name.

Honest question for the business owners here — how many times have you switched IT providers in the last five years, and what finally made you stay (or leave again)? Would love to hear the war stories in the comments.

Your candidate attorney is working late on a Tuesday. She wants to finish the discovery bundle from home tomorrow, so she quietly saves the client file to her personal OneDrive. No malice. She's being productive. She's trying to help.

Here's the uncomfortable bit: that file has just left your firm's controls under POPIA. It's not in your data-processing register. It's not in your audit logs. It won't show up in your incident response plan. And if her personal account ever gets breached — reused password, phishing email, old laptop her cousin borrowed — YOUR firm is the responsible party. Not Microsoft. Not her. The firm on the letterhead.

This isn't a lecture-your-staff problem. Lectures don't work when people are trying to hit deadlines. It's a setup problem. A proper corporate remote-work environment — managed devices, corporate M365, conditional access, backups you can actually prove work — means she can work from home tonight AND the file stays inside your walls. Same productivity, none of the POPIA exposure. That's the bit most firms miss until an Information Regulator letter arrives.

Be honest with us — how many personal Gmail accounts, WhatsApp file transfers or personal OneDrives do you think are floating around your firm right now? Tag a managing partner who needs to see this. Chat to us at www.mibot.co.za

You know that colleague whose password is written on a Post-it stuck to their monitor? Or the one who uses the same password for Xero, the CRM, payroll and their Gmail — and hasn't changed it since 2019? Every SA office has one. Usually more than one.

Here's the thing IT people never explain properly: there's a fix, and it's called Single Sign-On (SSO). In plain English — one login (usually your Microsoft 365 one) unlocks all your work apps. Staff remember one strong password instead of fifteen weak ones. And when someone leaves the business, you flip one switch and they're locked out of everything — payroll, the CRM, SharePoint, the lot. No more "did we remember to remove her from Xero?" three weeks later.

The reason most SMBs haven't turned it on isn't cost — it's that nobody's sat down and mapped which of their apps actually support it (most modern ones do) and configured it properly. It's a half-day job that quietly removes one of the biggest security holes in your business. And yes, it plays nicely with POPIA when your accountant or a tender asks how you control access to client data.

Honest question — how many different passwords does your team juggle to get through a normal workday? Curious to hear. And if you'd like us to check whether your stack supports SSO, chat to us at www.mibot.co.za

Three years in, and our finance director client still says the same thing at every review: "You know what? I forgot IT was even a thing to worry about."

Honestly, that's the compliment we're proudest of. Because when she first called us, month-end was a special kind of chaos — the printer would go offline the morning payroll had to run, the VPN would drop halfway through a submission, someone's mailbox would just vanish, and she'd be sitting there thinking "who do I even phone?" It wasn't that she needed another IT guy with a bakkie and a business card. She needed a team that already knew her setup before she picked up the phone.

So that's what we became. One number, same faces on the other end, proactive monitoring that catches the fibre wobble at 06:12 so her staff walk in to working machines at 08:00. ISO 27001-certified processes keeping her POPIA obligations quietly boring — exactly how compliance should feel. She doesn't call us in a panic anymore. Mostly she just forgets we exist, which is the whole point.

When was the last time you genuinely didn't have to think about IT for a full week? Tell me in the comments — I'm curious what "IT peace of mind" actually looks like for other SA business owners.

Quick one for the law firm partners, accountants and practice managers reading this. Right now, in your Microsoft 365, there's a setting called 'anyone links' — and it's on by default. That means any staff member can right-click a client file, generate a share link, and send it to literally anyone. No login. No password. No record of who opened it on the other side.

And here's the kicker — those links don't expire unless someone configured them to. So that quote your bookkeeper shared with a supplier in 2022? That contract someone sent a client's PA last year? Still live. Still clickable. Sitting in inboxes, WhatsApp threads and forwarded email chains you'll never see.

Most firms we speak to have no idea how many of these links are floating around their tenant, or what's on the other end of them. It's not a hack. It's not ransomware. It's a default setting nobody thought to check. The good news — one admin change, tenant-wide, takes about 30 seconds. The better news is you can also audit what's already out there and pull back what shouldn't be.

Have you ever actually checked your M365 sharing settings, or is it one of those things that's been 'fine so far'? Chat to us at www.mibot.co.za — we'll show you what's live in your tenant right now.

Quick one for the accounting and law firm owners reading this. Your bookkeeper is about to do a payment run. She's brilliant, she's been with you for years, you trust her completely. But do you actually know where she saves client banking details? Is it in Pastel or Xero? A spreadsheet on her desktop? An email folder called 'Bank Details Final FINAL'? WhatsApp?

Here's the thing — none of that is about not trusting her. It's about what happens if her laptop gets stolen from her car tonight, or she clicks a dodgy link, or a client emails saying 'Hi, please update our banking details for this month's payment.' How does she verify that request is real? Does she phone the client on a number she already has, or does she reply to the email? Because that one small habit is the difference between a normal Tuesday and a R400k transfer into a scammer's account — and yes, it's happened to firms in Sandton, Centurion and Umhlanga this year already.

We're not here to scare anyone or bash the bookkeeper. Most of the time it's just that nobody's ever sat down and asked the four questions: where are the details stored, who else can see that spot, how do we verify a change request, and what happens if the laptop walks. Sort those four out and you've closed off the biggest payment-fraud risk in a small firm. It's the kind of thing we walk clients through as part of managed IT — because our own information security is ISO 27001 certified, so we practise what we preach.

Honest question — do YOU know the answer to those four for your firm? Send this to a business owner who does a payment run this week. Happy to walk through the answers with you on a 30-min call: https://calendly.com/hermanduplessis/30min. Chat to us at www.mibot.co.za

Three years in with one of our clients this week. And you know what she mentioned when we caught up? Not the cloud migration. Not the ransomware scare we caught early last year. Not even the fact that her month-end has run smoothly for 36 months straight.

She said: "I love that when I phone, someone picks up on the first ring — and they already know which printer I'm talking about."

That's the thing about IT support in SA. Most business owners we meet have been ghosted at least once by a guy who was brilliant on onboarding day and unreachable by month six. That quiet dread of "will they actually answer this time?" becomes the default. And look, we're not knocking the one-man IT operator — plenty of them are talented. But one person can't answer two phones at 07:42 on a Friday when your fibre's down and your accountant's crying. Continuity matters. The same engineers, year after year, working from documented (and ISO 27001-certified) processes, so the person on the line already knows your network, your remote staff, and which director hates being called "sir" — that's what turns IT from a monthly worry into a non-event.

Honest question for the business owners here: when last did your IT provider phone YOU before you had to phone them? Curious to hear the good and the bad. And if you're tired of being a ticket number — chat to us at www.mibot.co.za.

Quick reality check for every law firm, accounting practice and healthcare business owner reading this: the Information Regulator's 2023/24 annual report is out — and tens of thousands of POPIA complaints have landed on their desk since the Act kicked in. Enforcement notices are now public record. This isn't theoretical anymore.

Here's what caught my eye: most complaints aren't sophisticated hacks or Hollywood-style breaches. They trace back to the basics. Someone accessed a client file they shouldn't have. An email with sensitive info went to the wrong address. A laptop walked out the door with no encryption. Weak controls, no written policy, no named information officer. And before you say 'ja but we're too small for the Regulator to bother with us' — that's not a defence they recognise. Size doesn't exempt you from the Act.

The good news? Where most SA firms need to start is genuinely simple: a one-page written IT and data-handling policy, a real (not just on-paper) information officer, and someone actually checking that access controls, backups and email hygiene are working. That's not a six-month project — that's a conversation and a few weeks of tidying up. It's also exactly the kind of thing your one-man IT guy was never going to build for you, because it's not his job and he doesn't have the framework. For context, our own information security is ISO/IEC 27001:2022 certified — independently audited — so this is the world we live in every day.

Honest question for the business owners here: do you actually know who your registered information officer is, and is there a written IT policy sitting somewhere you could hand to a client or a tender panel tomorrow? Curious to hear.

If that question made you a bit uncomfortable — let's chat. Chat to us at www.mibot.co.za or book a 30-min call: https://calendly.com/hermanduplessis/30min

Quick question for the business owners in the room: when last did your receptionist get phishing training? Not your IT guy — your receptionist. The one who opens every email, answers every call, and forwards invoices to bookkeeping without thinking twice.

Here's the thing most SA business owners miss: around 80% of security incidents don't start with a firewall failing. They start with a person clicking a dodgy link, forwarding a fake invoice, or oversharing on a call that sounded legit. Your busiest data flows aren't in the server room — they're at reception, in bookkeeping, and in staff onboarding. That's where the real exposure sits.

So when someone says 'cybersecurity is the IT guy's job', they're only a third right. Real security is three things stitched together: the right IT tools (endpoint protection, backups, MFA), written processes your team actually follows, and staff who know what to escalate and when. Miss any one of those and the other two don't save you. This is exactly why we built our managed IT service around all three — and why our information security management system is ISO/IEC 27001:2022 certified. Not because it looks good on a slide, but because it forces the discipline that keeps clients safe.

Honest question — when last did your team have a proper conversation about what a phishing email looks like in 2025? Drop a comment, I'm curious what everyone's doing. And if you want to chat about tightening things up, come say hi at www.mibot.co.za.

Three years in, our client's ops manager said something last week that stopped me in my tracks: "I forget you're not down the hallway."

When she first came to us, IT was a low-grade dread. Chasing her one-man guy for callbacks. Apologising to staff on month-end when the server threw a wobbly. Explaining her Sage setup to a new technician every single time something broke. She didn't need a new system — she needed one team she could stop worrying about.

Three years on, our engineers know her environment, her staff by name, her generator schedule, her Sage quirks. Tickets get pre-empted before her team notices. Onboarding a new hire takes a morning. Loadshedding rollovers are boring — which is exactly what they should be. That's the quiet proof: when IT stops being a topic of conversation in your business, something is finally working.

Honest question for the business owners here — when last did a week go by where you didn't think about your IT at all? If the answer is "can't remember," you're not alone. Chat to us at www.mibot.co.za
