Zoho CRM Can Now Fill In Your Contracts For You
If you send out proposals or contracts often, you know the routine. You open a Customer Relationship Management (CRM) system, find the client's details, and copy them into a Word document by hand. Then you do it again for the next deal. It's slow, and it's easy to make a small mistake along the way.
Zoho CRM has a tool that removes that step completely. It's called mail merge, and once it's set up, it can build a finished document straight from a client's record in just a couple of clicks.
Templates aren't created from the record itself - you'll find them under Setup, then Templates, then Mail Merge. Once your template is open, a panel on the side lists every field you can add, and tables of items build automatically, much like the line items on an invoice.
Before anything goes to a client, it's worth reviewing it. Zoho CRM lets you merge and open the document for a final check before sending it anywhere. If a document needs a signature, you can add signing fields directly into the template, and sending a merged document straight into Zoho Sign takes care of the rest.
Surge's Top Tip: If you send the same type of document regularly, start by building one solid template and reviewing your first few merges closely. Once you're confident it's pulling the right details every time, that's the moment to automate it into a single click.
