Nobody can say what an hour without the computer system costs the business. When the system goes down, staff work around it, orders wait, and customers are told it is just slow. Because nobody puts a value on that lost hour, fixing it looks too expensive, so the same breakdown returns. Until someone knows that cost, the repair will keep looking like the bigger bill.

At LSA we help business owners put a rand value on downtime, so fixing the cause is judged fairly. We start with a plain-language look at how your technology is set up today, agree a short list of fixes in order of importance, and help you get them done.

Day 11 of 100.

Still on where the money leaks. When the system goes down, staff wait, clients wait and orders wait. But nobody ever puts a number on it, so fixing it always looks too expensive.

Here is the sum: how many people stop working? What does an hour of their time cost? What sales or orders do you miss during that time? Adding those up gives you an estimate of what one hour offline costs you.

When you ask for money to fix the problem, lead with that number, not a bunch of tech words.

Today's two-minute job: do the sum on paper with rough numbers.

Do you know your number? Comment below.

Thieves do not always break a window. Sometimes they just log in with a password you used years ago. Comment 1, 2 or 3 for the tip you are missing.

Before you advertise a job, write down the three or four things the person must actually do each day. Check each one against the real work. If a requirement sounds impressive but is rarely used, take it out of the advert. Long wish lists scare off good candidates and attract the wrong ones.

Find out which tools your team really uses. Ask each person to list the tools they reach for in a normal week, including free ones and any bought on a personal card. Compare that list with what the company pays for. Any tool missing from the paid list is one the company never approved, so decide whether to adopt it or replace it before you add anything new.

At LSA we help business owners find the tools staff really use, keep the useful ones and make them safe. We start with a plain-language look at how your technology is set up today, agree a short list of fixes in order of importance, and help you get them done.

Day 10 of 100.

This week is about where the money leaks. Small monthly charges come off the card by themselves. Nobody looks, so nobody cancels, and over a year many small charges can add up to a lot.

Three steps: open your last three months of bank and card statements, personal ones too. Write down every software charge, what it costs and who uses it. Mark each one as used or doubtful.

Cancel the doubtful ones, or hand them to the person who uses them, and repeat the list at least once every quarter.

Today's two-minute job: find at least one charge you can't explain and work out who uses it.

What is the oddest charge you have ever found on your statements? Comment below.

Another new program arrives before the last one has settled in, and your team starts to tire of change. They stop learning any tool properly, because the next one is always on the way, and half-finished setups pile up unused. The trouble comes when nobody believes the next announcement, and the work quietly stalls.

Humility is knowing the best idea may come from the newest person in the room.

At LSA we help business owners build teams where good ideas about technology can come from anyone. We start with a plain-language look at how your technology is set up today, agree a short list of fixes in order of importance, and help you get them done.

Day 9 of 100.

Michael asked about slow, laggy internet, so here is the plain version. Before you shout at your internet provider, four simple checks:

1. Plug a computer in with a cable. If that works, the Wi-Fi is your problem.
2. Restart the router and place it out in the open, not inside a cupboard.
3. Load shedding: routers and fibre boxes go off when the power does, so check the lights are on.
4. What is using the line? Make sure no downloads, updates or backups are running.

If none of that helps, test at different times of the day, write down your results and send them to your provider. If it keeps hurting your business, a second line may be worth it.

Today's two-minute job: run a speed test now and another one later today, and write down the results.

Do you suffer from slow or laggy internet? Comment below.
