Does working from home work?
Telecommuting can be good for you and your organisation

By Reneé Caprari

Numerous studies support the notion that telecommuting workers are more productive and have higher morale and less absenteeism. It also shows that organisations that allow telecommuting have less employee turnover.

Employees are not the only ones who benefit from working from home; a company can benefit just as greatly from a remote employee. Telecommuting can limit absences, increase productivity, and save money. With telecommuting the idea of the office space is changing but many are saying that it is for the better.

In most spheres nowadays, most of the work happens on the computer and online. As a result, the location of the person is no longer as important, if they have a reliable Internet connection. In fact, opening the talent pool seems to be one of the biggest employer benefits when it comes to a work from home policy. It is now easy for a company to work with clients from around the globe having a team member in a time zone convenient for communicating with most clients.

Companies might also retain more employees if they enact a work from home benefit. *Stanford University conducted a study to evaluate the benefits of working from home. It was found that workers were more productive, got more done, worked longer hours, took less breaks, and used less sick time than their in-office counterparts. These employees were also happier and quit less than those who went into the office on a regular basis. It stands to reason that, in the end, companies benefit from these remote employees by getting projects completed faster with fewer mistakes.

By allowing employees to work remotely, employers can hire the best of the best while not limiting themselves by geographical restrictions. Various studies have shown that remote employees' production rate is higher because they are better equipped to avoid distractions.

The benefits also extend to the bottom line, because telecommuters pay for their own computer, electricity and other utilities.

The Importance of Antivirus Software

One of the most common reasons for failures or problems in computers is the lack of antivirus software, or expired antivirus software. It is an issue which is often overlooked and has dire consequences for the unfortunate computer owner.

What Is a Virus?

These days there are so many different types of virus. So what is a virus? A virus is usually hidden, and can do a number of things, as it relates to the health of the computer. A few examples are provided below:

- Make a computer run slowly

- Prevent computers from booting up

- Damage parts of the system or amend how the system operates without the owner's knowledge

- Be used to steal personal details

- Move from machine to machine on a network

- Attack other machines using machine as a host

- Send out unauthorized messages

So, like a human virus a computer virus can be dangerous and possibly infectious to other computers. They can be spread between computers, and can also be transported via email. It is not limited to software however, as they can also be transported via USB drives and other types of media.

Where Does a Computer Viruses' Come From?

Computer viruses are usually malicious computer programs written in order to damage other people's machines or steal information or even cash. They are usually highly skilled programmers who have decided to use their skills in a negative manner. Some viruses are written as an "ego" boost. In other words, some programmers write these things just to prove that they can hack into a major site or obtain private information. However, there are also criminal programmers who have a much more devious intention.

What Types of Virus Are There?

Sometimes the definition of what constitutes a virus is not clearly defined. In general a virus almost always damages files on a computer. Some other types of malicious software such as spyware are used to steal information from the user but may not damage the computer.

Types of virus include:

- Worms: These are programs which copy themselves to other computers on a network. They tend to slow things down as they consume more and more bandwidth or computer resources.

- Trojans: Performs functions (sometimes malicious) on the computer without the knowledge of the user (Think of the horse of Troy)

- Malware: Technically, this is not classed as a virus. It is software used to spy on computer user's activities and collect personal information. More commonly known as "spyware".

So What Does Antivirus Software Do?

Antivirus software is the "policeman" at the gate of a computer system. It protects the computer from incoming threats and seeks out, destroys and warns of possible threats to the system. New viruses are coming out all the time. It is the job of the antivirus software to keep up with the latest threats. This is achieved by daily updates of the antivirus database definitions, which counteract the latest threats to provide constant protection.

Antivirus Software is Vital!

Not having anti virus on a computer is like inviting a criminal into the home or having an uninvited guest! They then cause havoc or steal from the owner. Today's internet has provided many ways for virus attacks and there are thousands of threats. To be safe from these it is vital to police the computer and have it protected at all times. The Importance of Antivirus Software cannot be underestimated.

True or False:
"I do not need to backup my PC or Mac because I have anti-virus software."

The correct response is: False

Your anti-virus program will not protect your computer from the other SEVEN ways you can lose your data:

Hardware failure

User errors

Loss or theft of a device

Natural disaster

Accidents

Software errors

Problems you may encounter when upgrading or updating your software

Let’s look at a few examples of how you can lose data. Your PC or Mac is stolen and you did not back up your data. AV software, which protects your data from digital “theft,” cannot help you now. However, if you backed up your PC or Mac, the only asset you will lose is your PC or Mac – not your digital data.

There is one point on this topic worthy of mention however. If you backed up your computer using full system image backup software, you can sometimes recover from a virus attack or breach by restoring the full system disk image you created prior to the attack. Next week’s article will talk more about full system image backups.

My Disk Drive Crashed!

Let’s inspect another way you can lose data – a hardware failure. The failure of the hard drive is the most common hardware failure that causes data loss.

Hard drives are more fragile than you might expect; they have several moving parts that can easily malfunction. For example, they use rapidly rotating disks coated with magnetic material. An actuator arm, with a read/write head attached, is pushed across the disk in tiny increments. The head receives electronic signals and records magnetic impulses in the magnetic coating. Your files live inside the magnetic coating on the surface of the disk.

There are many ways to lose your data if you drive fails.

When you turn the hard drive off, the actuator arm parks the head away from the disk. If the arm does not park correctly, the head can come into contact with the disk and crash.

A tiny dust particle can get jammed between the head and the disk surface, causing the head to crash.

A sudden power interruption can cause the head to move unpredictably. This can also cause the head to write the wrong information.

The circuit board inside the drive may fail, making the disk mechanism inoperable.

Some magnetic areas of the disk can be damaged. While these bad sectors may not cause a head crash, you can still lose data.

According to a recent study, survival rates of hard disk drives over a 3 year period can be anywhere from 97% to 74%, dependent upon the manufacturer / model. That means that in the worst case, 1 in 4 hard drives can crash over a three-year period resulting in complete data loss.

How Can I Avoid a Hard Drive Crash?

Do not remove your hard drive from the computer once it has been installed.

Do not move, shake, or jostle your computer while it is on. If you own a laptop, do not move the laptop with the computer on and the lid open.

Keep the inside of your computer case clean.

Make sure your fans work and that there is no excess heating.

Avoid turning your computer on and off multiple times a day.

Use a surge protector to avoid power interruptions.

MOST IMPORTANTLY, BE SURE TO BACKUP YOUR SYSTEM. If you do, your digital life will stay intact

Should you have experienced the loss of data for whatever reason, please contact us at Jadex Computers today and we will assist you in recovering your data as soon as possible.

Do you need to work from home but uncertain how to do so effectively? Why don't you speak to us about a tailor made Cloud Solution allowing you to work from home as if you are in the office with your colleagues?

Gone are the days of the local server. Sure you may still have one as a backup, but cloud computing is the way of the future and it will change how you run your business. The cloud is a powerhouse built to run businesses effectively and efficiently, so it’s not surprising that the computing it provides is in such a high demand.

How can you and your business benefit from this?

1. The cloud has less operational issues

Cloud computing may seem complicated, but it actually has way fewer issues than other infrastructures. Since the cloud runs on its own servers through a company whose only job is to make the cloud functional and bug-free, it’s usually a whole lot more reliable than your own, on-location server

2. The cloud actually saves you money

One of the best parts of the cloud is that it actually saves you money in the long run.

In addition, cloud computing is scalable. Traditional servers require expensive upgrades that cost a lot upfront. If your business doesn’t expand as much as you had hoped, that’s money you’ve wasted. Cloud service providers usually let you scale up and down seamlessly. Buy more gigs when you need to and save when you don’t.

3. Cloud computing increases collaboration amongst your team

Cloud computing is made for collaboration and file-sharing. Cloud computing lets your team edit files in real time and access them from anywhere in the world. Your team can be anywhere in the world and still work together.

4. The cloud is always on

Have you ever made the unfortunate mistake of forgetting an important file at work. Maybe your flash drive didn’t properly save it or maybe your email to yourself never went through.

You don’t have to rush all the way back to the office to grab something from your server if you’re on the cloud. The cloud is always on, so if you have an Internet connection you can get the applications you need from literally anywhere.

5. The cloud has better security

Cloud computing offers more security than local servers. You never have to worry about losing critical data and business applications because of a natural disaster, ransomware or full-on computer meltdown.

6. The cloud makes it easy to control your documents

Document control is necessary to keep a secure business. You never know what can happen if a document gets into the wrong hands, even if it’s just the hands of an untrained employee.

Cloud computing allows you to easily pick out which documents can be edited, viewed and shared by which users. It also allows for real-time collaboration so you don’t have 100 versions of the same file floating around. One copy is a whole lot easier to control. There’s no reason not to streamline your business practices.

7. It’s easy to implement

Getting started with the cloud seems like it would be complicated, but it’s really not compared to installing a brand new local server.

The Cloud is the prefect solution to ease your company's transition into an effective work-from-home solution that will ensure that your staff can perform optimally and get their work done without any hassle!
