Some customer support sessions don't happen over email or video calls.

Sometimes, they happen right at the customer's store.

Supa's team visited one of our customers - Nhแบน Cafe to better understand how they use the platform in their day-to-day operations and to provide hands-on support where it matters most.

Some questions took just a few minutes to answer. Some workflows only needed a quick walkthrough before the entire store team could perform them more efficiently. And some seemingly small pieces of feedback turned into valuable ideas for improving our product.

At Supa, we believe customer success is more than responding to support tickets. It's about showing up, listening carefully, observing real operational workflows, and helping customers get the most value from the platform.

Every business operates differently. That's why meeting customers in person gives us insights that dashboards and reports simply can't provide. Seeing how our product is used in a real working environment helps us better understand challenges, uncover opportunities for improvement, and build features that truly solve day-to-day operational problems.

A big thank you to our customer for welcoming us and openly sharing their experience. Visits like these remind us that the best product decisions often come from listening to the people who use it every day.

๐Ÿ’œ At Supa, our relationship with customers doesn't end after onboarding. That's where the real partnership begins.

KPIs can tell you when revenue is falling, errors are increasing, or a store is underperforming.

But they cannot always tell you where the problem started.

Many businesses have dashboards full of data, yet still face missed tasks, inconsistent ex*****on, unclear accountability, and recurring operational issues.

Because KPIs only reflect the outcome. Processes determine how that outcome is created every day.

Before adding another metric, ask:
โ€“ Is the process clear?
โ€“ Does each task have an owner?
โ€“ Are issues identified and resolved in time?

KPIs matter. But without strong processes behind them, businesses are simply measuring problems instead of solving them.

KPIs MEASURE RESULTS BUT PROCESSES CREATE THEM.

A near miss is not โ€œnothing happened.โ€
It is a warning that something could have gone seriously wrong.

A dropped tool that misses someone.
A forklift that stops just in time.
A worker who slips but manages to catch themselves.

No injury may have occurred, but the risk is still there.

The real problem begins when near misses are ignored, forgotten, or reported without any follow-up. Over time, the same hazard returns until luck runs out.

In our latest article, we explore:
โ€ข What a near miss really means
โ€ข Why employees often stop reporting incidents
โ€ข How businesses can turn reports into corrective actions
โ€ข Why accountability matters more than simply collecting forms

Using software does not automatically create better operations.

When processes are unclear, responsibilities overlap, and standards are inconsistent, technology may only make the confusion happen faster.

A stronger approach is to follow three steps: Standardize โ†’ Measure โ†’ Automate

First, define how the work should be done.
Then, measure whether it is being done correctly.
Finally, use software to make the system faster, more consistent, and easier to scale.

The key takeaway: Standardize first. Digitize second.

Is your business currently standardizing, measuring, or automating its operations?

Manual or software-powered operations - which one is more effective?

There is no single right answer for every business.

For smaller teams, spreadsheets, paper checklists and group chats may still offer enough flexibility. They are familiar, easy to use and suitable when the number of people and tasks remains manageable.

However, as a business grows, manual operations can become harder to control. Information gets scattered, responsibilities become unclear, reports take longer to consolidate and important tasks are more likely to be missed.

Software is not always necessary from day one. But at the right stage, it can help businesses standardize processes, improve visibility and scale without overloading the team.

The real question is not simply manual or software. It is:

When does your current way of working stop supporting your next stage of growth?

Which approach fits your business today? Comment โ€œManualโ€ or โ€œSoftwareโ€ and share your reason.

In working with multi-location businesses, I have noticed a common challenge: having a checklist does not necessarily mean standards are being followed correctly.

A checklist tells employees what needs to be done. But for managers, the more important questions are:
- How well was the task completed?
- Is the evidence reliable enough?
- Were the issues followed through to resolution?
- Are standards being applied consistently across all locations?

When businesses rely only on a โ€œcompletedโ€ status, it is easy to assume that operations are running smoothly. In reality, the same checklist may be interpreted and executed differently from one location to another.

That is why Supa developed Audit.

Audit is not simply a more advanced version of a checklist. It gives businesses a structured way to evaluate compliance based on clear standards, operational data, and real evidence. This allows managers to identify gaps, compare performance across locations, and take specific actions to improve.

In operations management, the key question is not only whether a task was completed, but how correctly and consistently it was carried out.

That is the difference between completing a task and maintaining a reliable operational standard.

Zalo works well for quick communication. But when every checklist, report, task, image and update happens in the same group chat, managing daily operations becomes much harder.

- Important messages get buried.
- Responsibilities become unclear.
- Managers spend more time searching for updates.
- And no one is fully sure what has been completed, delayed or forgotten.

The problem is not Zalo itself. The problem begins when a communication tool is expected to manage an entire operation.

As your team, workload and number of branches grow, you need more than chat. You need a system that helps assign responsibilities, track progress, store work history and keep every location aligned.

Is your group chat still helping your team work faster, or has it already become difficult to control?

A five-person business may not need software yet.

When the team is still small, everyone works closely together, and the workload remains manageable, Excel, Zalo, or even pen and paper may be enough. Communication is quick, processes are simple, and managers can still stay on top of what is happening.

But as the number of employees, locations, and tasks grows, problems begin to appear:
- Messages get buried.
- Files are scattered across different places.
- Tasks are duplicated or missed.

It becomes unclear who is doing what and how work is progressing.

That is when a business needs a centralized system to standardize processes, organize information, and help teams collaborate more effectively.

Software does not need to be introduced too early. But it should not be implemented too late either, when operations have already started to become difficult to control.

Is your business still managing well with Zalo and Excel, or is it time for a change?

A checklist is not just for โ€œticking boxes.โ€

For F&B, retail, and service chains, a good checklist helps every location follow the same standards, reduce missed steps, and keep daily operations more consistent.

When tasks are clearly defined, teams know what to do, managers track progress more easily, and small mistakes are less likely to happen again and again.

Clearer operations start with smaller tasks.

Supa helps you digitize checklists, audits, training, and reports on one platform.
