Microsoft changed MFA defaults this month, and most business owners haven’t noticed.

As of September 1, 2026, passkeys are now the default in Microsoft Entra ID. SMS and voice MFA start getting retired February 1, 2027.

The text-code second factor your team uses today? It’s on the clock.

The data already said this was the right move. Sophos State of Ransomware 2026: 79% of ransomware attacks start with a compromised identity. Two-thirds of victims — the ransomware and the identity breach were the same event. And in cases where stolen passwords caused the breach, 97% of those organizations had MFA. Just not the kind that held up.

Text codes can be phished, intercepted, redirected. A passkey or fingerprint can’t be tricked the same way.

Three things to do this week:
1. Check your M365 admin center: how many people still use SMS or voice as their second factor?
2. Register a passkey on your own account this week and see what the change actually looks like.
3. Ask: if someone phishes one of my team and gets a password, what stops them next? Is my MFA the kind that holds up?

Think Microsoft 365 backs up your business data? It doesn’t.

It gives you tools that feel like backups — recycle bins, version history, retention policies — but each one has a timer, a scope, and a hole that shows up exactly when you need it.

• Exchange keeps deleted mail 30 days, then a short “recover deleted items” window.
• SharePoint / OneDrive keep deleted files 93 days across two recycle-bin stages — but the clock started on day one. The second stage doesn’t reset it.
• Version history is great until someone runs out of versions, or the whole site gets hit at once and you need a single admin to restore thousands of items.
• Retention / litigation hold keeps data for compliance — built for export, not fast mass restore.

Data older than the window, or gone from every recycle bin, or encrypted across the whole tenant at once. That’s not a Microsoft problem — that’s your data.

Three things to check this week:

1. Open the Microsoft 365 admin center and ask: if we lost Exchange, SharePoint, and OneDrive today, where is the clean second copy that doesn’t depend on Microsoft’s timers?
2. Find the last time someone actually restored something from a recycle bin or version history — and note the date. If the answer is “never” or “I think so,” you don’t know yet.
3. Decide what “my data” means for your office. Customer records, invoices, project files, old emails? Each one has a different tolerance for loss — and a different backup need.

Microsoft 365 is a great platform. It just isn’t a backup strategy. The platform stays up; the data protection is still on you.

MFA is the floor. Conditional Access is the door you actually control.

A lot of 15–80 person offices treat Microsoft 365 security like this: “We turned on MFA, so we’re covered.” That’s the floor, not the ceiling. The bigger risk isn’t a password getting phished — it’s what an attacker does once they’re inside a real mailbox. That’s where BEC starts: read threads, learn payment cadence, set a forwarding rule, wait for the right invoice.

Microsoft Entra Conditional Access is the tool that replaces “MFA everywhere and pray” with “if-then” policies — if a sign-in is risky, block it. If it’s an admin from an unknown device, require a key. If it’s legacy auth, close the door. The new Conditional Access Optimization Agent (now GA) even scans your tenant and tells you where the gaps are.

Three things to check this week:

Are you on Security Defaults or Conditional Access? Pick one deliberately — turning on CA turns Security Defaults off, and that’s a one-way decision.

Set up two break-glass emergency access accounts before you tighten policies. Lockout from a bad policy is not a drill.
Block legacy authentication tenant-wide, then test one policy (start with “require MFA for admins”) in report-only mode before you enforce it.

Identity is the perimeter now. If you’re not sure which half of that decision you’re on, that’s a 30-minute conversation.
