A lot of AI rollouts stall for the same reason. Leaders train the team before they decide where AI actually fits.

That creates mixed signals fast. Some people jump in. Some hold back. Most are left guessing about trust, quality, and what is actually allowed.

A better place to start is simple: make three lists. Yes. No. Not yet. That one conversation gives your team clearer boundaries, better judgment, and a stronger foundation for useful training.

AI training falls flat when your team gets tools before clear rules. Alignment starts when leaders define where AI fits, and where it does not.

Vivians.io is now officially a certified minority woman-owned small business, at both the federal and state level.

Federal Certified Women-Owned Small Business (WOSB) through the U.S. Small Business Administration

California Certified Small Business through the Department of General Services

Registered vendor with the Metropolitan Water District of Southern California through PlanetBids

For our clients, nothing changes. Same team, same work.

What it does change is where we can bring that work next. These certifications open the door to more partnerships with municipal agencies, special districts, and prime contractors on public sector projects.

If you're a prime looking to team, or an agency looking for a certified partner on CRM, AI, or automation work, let's talk.

Grateful to everyone who's referred, hired, and trusted us along the way. This one's for the whole team.

Service organizations don't need more technology (necessarily) but they do need more time and help.

That was the thinking when I spoke at the Rotary Club of Temecula last week. Thank you for the warm room and the thoughtful questions.

We called it The Human Side of AI. The idea is simple: AI works best when it knows your personal and organizational voice, goals, and context. Not generic. Yours.

Four habits I hope resonate with all:

Curiosity. The biggest barrier isn't skill, it's never having started.
Context. The more it knows about you, the better it helps.
Check. Verify everything. You're still in charge.
Consistency. One good prompt doesn't create change. A habit does.

Rotary has lived "Service Above Self" for over a century. If AI can give a few hours back to the people already doing that work, it's doing its job.

The legal profession isn't slow to change. Instead I see this profession being careful, which is comforting.

Robert and I had the honor of speaking to the San Diego Chapter, Administrators Legal Administrators (SDALA) this week about one of the hardest topics in any firm: how to actually implement AI in their firms. The change is big!

Change in a law firm rarely fails because attorneys resist it. It fails because it wasn't designed for how the firm actually operates day to day.

The safest path forward is small, visible wins. One workflow. One team. One clear outcome. Then the next.

Our work with law firms lives on the business side of the practice. Growth. Client care. Cash flow. Operational efficiency. The systems and habits that let attorneys focus on their clients instead of chasing timekeeping, intake, follow-ups, and reporting.

If your firm is thinking about where to start, start small, start visible, and start with the workflow that's costing the most time right now.

We are grateful to SDALA for the space to share, and to every administrator in that room quietly holding the operational side of these practices together.

Special thanks to Jennifer Judkins and The Grey Legal Group, APC for the invitation and for the work she's doing to keep this chapter connected to what's next.

If You Build It, You Own It.

A team builds a custom AI tool, it works great, then the person who built it moves on. Now nobody knows how it works or how to fix it.

Building isn't the risk. Not planning for the handoff and future is.

Before you greenlight a build, ask who owns the:

→ Process
→ Documentation
→ Adoption
→ Development
→ Security

Tools that scale look like business assets from day one.💰 Worth a read if you're weighing build vs. buy.

Practical thinking on CRM, AI, and automation — written for business leaders doing the work.

Vivian presented "How to Ethically Utilize AI in Your Firm" to the Southwest Riverside County Bar Association this morning.

Legal is a big vertical for us at Vivians, and we were glad to help shed light on an important topic. Confidentiality, ethical duties, and building internal AI policy that actually fits how a firm practices. Great questions from the room and met some sharp people afterward.

Thank you SWRCBA for the invitation.

Last night, I got to serve as a judge for the IEWBC Finish Line Finance Fast Pitch Graduation. I left inspired by the ladies who pitched. These entrepreneurs developed business plans, their financial skills, and pitched to a live audience, some of them for the first time. Three of them walked away with grant funding to invest in their businesses.
Thank you to Jackie Scott and the entire IEWBC team for including me. What you are building matters so much! If you know someone ready to take their business to the next level, point them toward IEWBC. https://zurl.co/RFIr2

Three and a half years ago, we started Vivians with one guiding idea: take care of your community, and the rest will follow.

Saturday Night, at the Temecula Valley Chamber 60th Awards Gala, we were honored to receive the Bronze Business of the Year award, recognized for giving back to the community we love calling home, while creating real value for our clients.

This work has never been just about us, and we are so grateful for the opportunity to serve the SBDC workshops, the TVE2 Incubator and the entrepreneurs grinding it out in our shared office, the Temecula Valley Chamber, and the nonprofits across this valley doing work that matters every single day. Getting to show up for this community is our pleasure.

To the City of Temecula and TVE2: thank you for building a place where small businesses can actually thrive.

To every client who took a chance on us over these last three and a half years, you are the reason we're here. You believed in us before there was an award on the wall, and we appreciate that more than you will ever know.

You are all part of our story, and that means everything to us.

Finally, to our fellow nominees and winners, congratulations! This valley is full of businesses and people doing incredible things, and it was an honor to be in that room with all of you.

Forever Grateful!

Running a restaurant is one of the hardest things you can do. The margins are thin, the hours are long, and there's always more on your plate than hours in the day. 🍽️

That's why we're showing up to the Temecula Valley Chamber's Restaurant Collective on March 10th, to talk about something we're genuinely excited about: how AI and automation can actually make your life easier.

We'll be presenting real, practical ways restaurants are using tech to drive more sales, market smarter, and run tighter operations, without needing a tech team to do it.

It's free. It's 8–10am. And it might just change how you think about your business.
