Hereโ€™s a little exercise for your next staff meeting.

Ask your team: โ€œIf someone got hurt here today, where would that report end up?โ€

You might get a few different answers. A drawer. A spreadsheet. โ€œIโ€™d text the manager.โ€ Maybe a shrug. ๐Ÿ˜„

Thatโ€™s okay. Most gyms have never had a reason to think about it. But the answer tells you a lot about how safe your membersโ€™ information really is.
Over the past few weeks weโ€™ve talked about why injury reports are more personal than they look, and the 3 things every report should include. Now weโ€™ve put it all together in one easy read.

Inside the article:

โœ… What to write down when someone gets hurt
โœ… Why each detail is sensitive
โœ… Simple ways to keep that info secure, even with spotty Wi-Fi
โœ… Common questions gym owners ask us

And if youโ€™d rather see it in action, book a demo of Clear ePCR from the link in our bio. Your members trust you. This is one more way to keep that trust strong. ๐Ÿ’™

3 places your gymโ€™s injury reports should NOT live ๐Ÿ‘‡

โŒ An unlocked drawer

โŒ A coachโ€™s camera roll

โŒ The staff group chat

Thatโ€™s your memberโ€™s health info. Give it a safer home ๐Ÿ”

Quick question for gym owners: whatโ€™s the most private information in your gym right now?

Most people say the credit card reader. Or the member login.

But thereโ€™s something else. Itโ€™s the note someone wrote after a member rolled their ankle last month.

Think about whatโ€™s in there. A name. A phone number. What part of their body got hurt. How they were feeling when they walked out.

Thatโ€™s health information. And in a lot of gyms, it lives on a clipboard by the front desk or in a text thread between coaches.

Nobody does this on purpose. Gyms are busy, people care, and you just want to help the member in front of you. Totally normal.

October is Cybersecurity Awareness Month, so this is a great time to look at it with fresh eyes. Not because something bad happened, but because your members trust you with more than you might realize.

Over the next couple of weeks, weโ€™ll share a few simple ways to handle injury reports that keep everyone protected, without adding more work to your day.

Curious how it looks in practice?

TGIF! ๐Ÿ™Œ

Before the weekend starts, a quick Friday favor for Cybersecurity Awareness Month: lock your phone, your tablet, and your laptop.

Yes, even the one youโ€™re โ€œjust stepping away from.โ€ ๐Ÿ˜„

School incident reports hold real information about real kids, and that deserves some love, even on a Friday.

Clear ePCR helps keep it safe while you enjoy your weekend:

๐Ÿ”’ Everything is encrypted
โฑ๏ธ It locks itself when you walk away
๐Ÿ‘€ Every peek at a record gets logged

Now go enjoy your Friday. Your devices have it covered. ๐Ÿ’™

"Sometime after lunch" is one of the most common phrases in trail incident reports. It's also one of the least useful. โฑ๏ธ

When something goes wrong on a hike, a school trip, or a college outing, the report you write becomes the story everyone else relies on. Search and rescue arrives knowing nothing about your group. Medical staff weren't there. Your program director reads it days later. Your report is the bridge between what you saw and what they need to decide next.

Here's what experienced trip leaders make sure to capture:

๐Ÿ• Time of onset. This is when the injury happened or the first symptoms appeared. It shows whether someone is getting worse or holding steady, and that can decide between a carry-out and a helicopter.

๐Ÿ“ Exact location. GPS if you have it, landmarks if you don't, plus weather and trail conditions.

๐Ÿฉน Every action, with a time next to it. First aid, medications given, and changes in how the person was doing.

๐Ÿ™… Anything refused. If a client declined care or refused to turn back, write it down.

๐Ÿง  Your reasoning. Note why you stayed, moved, or called for help. It shows your decisions were thoughtful, not random.

The hard part is doing all this with no signal. Paper gets wet and lost, and phone notes end up scattered. That's why we built Clear ePCR, incident reporting software with no installation needed. It works offline on any phone, tablet, or laptop and syncs automatically once you reconnect.

We wrote a full guide on what SAR and your program need from you. Link in the first comment ๐Ÿ‘‡

Signs that fall is officially here ๐Ÿ‚

โœ”๏ธ Your coffee order now includes the word "pumpkin"
โœ”๏ธ You wore a hoodie and called it "a whole outfit"
โœ”๏ธ You've said "it's so cozy" at least three times today
โœ”๏ธ Your reports still sync perfectly, even with no Wi-Fi (okay, that one's just us ๐Ÿ˜„)

Wishing you a season full of warm drinks and easy days.

Happy Fall from Clear ePCR ๐Ÿ

Treadmill fall. Wet locker room floor. Chest pain in spin class. Three very different incidents. All need a report.

Gyms and fitness centers handle all three the same way: paper, later.

Do this:
โ€ข Log it on the spot, on the device in your hand
โ€ข Mark the injury on a body map
โ€ข Photo the scene before it changes
โ€ข Send it to a supervisor for review

Skip this:
โ€ข Guessing at times
โ€ข Writing opinions instead of facts
โ€ข Waiting for Wi-Fi in the basement weight room

Q: No signal down there? A: Offline works. It syncs when you reconnect.

A member drops a dumbbell on their foot.

Who writes it up?

And where does that paper go?

In most gyms and fitness centers, incident reports live in a binder at the front desk.

What that costs you:

โ€ข Details go fuzzy by the next shift
โ€ข No photos, no body map
โ€ข Nothing solid for your insurer

Better basics:

โœ… Log it before the shift ends
โœ… Facts only, no opinions
โœ… One place every report lives

Q: Do minor bumps count?
A: Yes. Small notes prevent big surprises.

Clear ePCR keeps every incident report in one secure place.

A guest walks off the coaster holding her shoulder, says she is fine, then sits down and does not get up.

Your team responds. Ice pack, a few minutes, she walks to her car. Twenty minutes, start to finish.

It feels small. That is exactly why it becomes a problem.

Six months later a letter arrives, and the only thing standing between your park and a bad outcome is what got written down that night.

โ€ข Real time stamps, not estimates
โ€ข Ride, train, row, seat
โ€ข Ride status: normal cycle, e stop, or already down
โ€ข What the guest said, in their words
โ€ข Care given, plus a refusal signature if they declined transport
โ€ข Witnesses, captured separately, contact info first
โ€ข Photos of the restraint, the seat, and the surface, attached to the record itself

That last one matters more than people think.

๐Ÿ“ท๐๐ก๐จ๐ญ๐จ๐ฌ sitting in someone's personal camera roll are a privacy problem and a discovery problem.

They belong in the report. ๐Ÿ“„

The honest issue is not that teams do not know this. It is that nobody is filling out eleven fields on a clipboard at 9:45 PM on a Saturday in July.

So the fix is not more discipline. It is a shorter path between the incident and the finished record.

We broke down the full same night checklist, why the 24 hour window matters, and how to capture witness accounts that hold up.
