Look at your website's explanation of the first meeting.

Can a prospective client tell what to prepare, who will respond, and what remains undecided until the firm reviews the inquiry?

Use AI to compare that explanation with an anonymized list of recurring questions. Ask it to identify gaps. Have your team write and approve the answers.

This is a bounded marketing task with a clear purpose: make the next conversation better informed. The tool doesn't need access to client files to help with it.

Hi, I'm Jonathan Wells of Affinity Technology. I help professional firms make practical AI decisions about client service and daily operations.

An AI demonstration produces a document in seconds. How long until that document is usable?

Someone may still need to verify facts, restore qualifications, and correct unsupported commitments.

What would you ask the vendor to demonstrate using a task your staff already understand?

A proposal draft doesn't get to invent terms.

Supply the approved scope, fees, exclusions, and dates. Require missing information to stay flagged. Check the draft against those facts before it leaves the firm.

Choose an AI pilot you can explain in one sentence.

For a law firm's administrative team: prepare a draft inquiry summary from information permitted in the approved system. A designated employee checks it before anyone relies on it.

Define the fields, the source, and how missing information should appear. Then test ordinary inquiries and awkward ones.

Do not expand the pilot because the first example looks good. Find out whether the method holds up across the kind of work the office actually receives.

'We need AI' isn't a purchasing brief.

'Our intake team spends too long turning complete inquiries into a useful summary' is a problem you can examine.

What task would you actually want to improve at your firm? Put the task in the comments below. Leave client details out.

"Everyone should start using AI."

That sentence is how firms end up with ten people using ten tools, on personal accounts, with client data, and nothing to show for it six months later.

Vague instructions get vague results. From people and from software.

A useful AI instruction has four lines:
• The task: draft first responses to routine scheduling emails.
• The tool: this approved business account, nothing else.
• The data: appointment details only. No case or patient information.
• The standard: accurate, polite, ready to send after one quick read.

Now your team knows what to do, what not to do and what good looks like. You can measure it.

Fix it. Expand it.

One clear task beats a hundred vague ones.

Pick the task. Write the four lines.

Start Monday.

What's the one task you'd give your team first?

10/08/2026

If a client catches the AI's mistake before you do, the process failed.

Not the tool.

Who would notice first if an AI answer in your firm was wrong?

10/07/2026

AI will make up a source and cite it with a straight face.

It's not lying. It's predicting what a plausible answer looks like.

Sometimes that includes a statistic, a regulation or a reference that sounds real and isn't.

In most businesses that's embarrassing. In a law firm or a healthcare practice it's a liability.

Rules for using AI in research:
1. Ask for sources every single time.
2. Open every source. If you can't find it, it doesn't exist.
3. Never let an AI summary be the last step before something reaches a client.
4. Keep a named person accountable for anything that leaves the building.

AI is great for getting oriented fast. It is not verification.

Treat it like a sharp new associate: fast, confident and occasionally very wrong.

Has your team ever caught AI making something up?

Some things stay human.

Period.

Bad news. Billing disputes.

The call after something broke. Decide that list before you automate anything.

What would you never hand to AI?

10/05/2026

Law firms shouldn't learn AI on client work.

Practice on internal notes first. Mistakes there cost minutes, not clients.

Where's the safest place for your team to start?
