Why Your Business Needs Professional IT Support in 2026

I hear this a lot: "Oh, Dave in accounting is pretty good with computers — he handles our IT stuff." I get it. Hiring a full-time IT person feels like overkill for a small business, and paying an outside company feels like an unnecessary expense when someone on staff can "figure it out."

Here's the thing — Dave is probably great at the basics. Rebooting a frozen computer, restarting the router when the internet drops, clearing a paper jam, moving a computer from one office to another when someone switches desks. That stuff is genuinely fine for Dave to handle. No need to call a professional every time someone's screen freezes.

But there's a big difference between "Dave can restart your router" and "Dave should be setting up your new computers or managing your network security." That's where good intentions turn into real risk.

There's a Line — And Most Businesses Don't Know Where It Is
Basic troubleshooting and actual IT infrastructure are two completely different skill sets. Being comfortable enough to reboot a frozen PC doesn't mean someone understands how to properly configure a new computer, set up secure network permissions, or make sure backups are actually working — not just scheduled, actually working, which are two very different things.

That's not a quick fix anymore — that's hours of trial and error, likely followed by a call to a professional anyway, except now there's also a mess to untangle first.

How to Spot a Phishing or Vishing Attack Before It Costs You

I've handled more than one case this year where a business lost real money — not because their systems were weak, but because someone on the phone or in an email sounded convincing enough. These attacks don't look like the obvious "Nigerian prince" emails anymore. They're patient, well-researched, and they know exactly which buttons to push.

Here's what I want every one of my clients to know, whether you run a five-person office or just manage your own inbox at home.

Phishing vs. Vishing — Know the Difference
Phishing
is the fake email or text that gets you to click a link or hand over a password — often disguised as a Microsoft 365 login page, a shipping notice, or an invoice.
Vishing
("voice phishing") is the phone call version — someone posing as your bank, your IT provider, or even a coworker, walking you through steps that end with them gaining access to your accounts or your money. Both rely on the same trick: making you feel rushed or important enough that you skip your normal caution.

Urgency Is the Biggest Red Flag
"Your account will be suspended in 24 hours." "The wire has to go out before end of day." "I need this password reset right now to fix an issue." Scammers manufacture urgency because it stops people from pausing to verify. Anytime you feel pressured to act immediately — especially involving money, passwords, or admin access — that's exactly the moment to slow down.

Verify Through a Second Channel — Always
If you get a call or email asking you to change a password, approve a payment, or grant account access, hang up and call back using a number you already know — not one given to you in the message. Same goes for "your IT company" calling out of the blue. A quick text to the actual person or company you think you're dealing with takes 30 seconds and can save thousands of dollars.

Watch for Over-Provisioned Access
One thing I check on every Microsoft 365 security review: who has admin rights, and do they actually need them? Attackers who get into one account often quietly grant themselves — or a compromised account — extra permissions so they can dig deeper or come back later. If you don't know who has admin access in your business right now, that's worth finding out today.

Multi-Factor Authentication Isn't Optional Anymore
MFA (that second code sent to your phone) stops the vast majority of account takeovers cold, even if your password gets stolen. If any of your business accounts — email, banking, accounting software — don't have it turned on, that's the single highest-value fix you can make this week.

"Craig, should I get a Mac or a PC?"

I've been asked this question more times than I can count over 29 years in the business. And the honest answer is — it depends. Both are solid machines. Both will get the job done. But when you're buying for a business, there are some important differences that most people never think about until after they've already spent the money.

Let me break it down the way I'd explain it to a friend.

What You're Actually Paying For
Macs are beautiful machines. Apple makes great hardware — nobody's arguing that. But you're going to pay for it. A business-ready MacBook Pro or iMac will typically run you
$1,500 to $2,500 or more.
A comparable Windows PC — same processor speed, same RAM, same storage — can often be had for
$800 to $1,400.

That's a real difference, especially if you're outfitting a small team. Three employees on Macs versus three on PCs can easily mean a $3,000 to $4,000 gap before you've bought a single piece of software.

The Support Window Nobody Talks About
Here's the part that drives me crazy — and that almost nobody mentions when they're selling you a Mac. Apple typically supports a Mac for about
5 to 7 years
before it stops receiving macOS updates. Once that support window closes, your machine no longer gets security patches. It still works, but it's running an outdated operating system that bad guys know how to exploit.

A well-built Windows PC, properly maintained, can realistically run
8 to 10 years
and stay fully supported the entire time. So when you do the math — you paid more upfront for the Mac, and it has a shorter useful life in a business setting. That's not a knock on Apple. It's just the reality of their product cycle.

Software and Business Compatibility
The majority of business software — accounting platforms, industry-specific tools, line-of-business applications — is built for Windows first. Most of it runs on Mac too, but not always perfectly, and not always at the same price. If your industry uses specialized software — construction estimating, medical billing, point-of-sale systems, legal software — there's a good chance the Windows version is more complete, better supported, and cheaper.

PCs also integrate more naturally into business networks, domain environments, and remote management tools. If you ever have an IT person managing your systems, Windows is almost always easier and cheaper to support at scale.

The "I Love My iPhone So I'll Love a Mac" Trap
This one comes up more than you'd think — and I say it with complete kindness — I get calls from people who bought a Mac because they love their iPhone or iPad, figured it would feel just like home, and then couldn't figure out how to turn it off. I'm not exaggerating. "Where's the Start button?" "Where are my files?" "Why won't my software install?" These are real calls I get from real people who just spent $1,800 on a new computer.

Here's the truth: your iPhone and iPad are incredibly easy to use because Apple designed them that way on purpose. The Mac is a completely different animal. Loving one does not prepare you for the other — at all. It's like someone who's only ever driven an automatic deciding to take a brand new manual transmission car out for their first drive on the hills of San Francisco. Both are cars. That's where the similarity ends.

If you're switching from Windows to Mac for the first time, plan for a real learning curve — and budget time for it. It's not impossible, not even that hard once you get the hang of it. But it is a genuine transition that catches a lot of people off guard.

Where Macs Genuinely Shine
To be fair — Macs are fantastic for certain types of businesses. If you're in creative work — graphic design, video production, photography, music — the Mac ecosystem is hard to beat. And if your team is already deep in the Apple world — iPhones, iPads, AirDrop — a Mac can fit in very naturally. They're reliable, well-built machines. This isn't about bashing Apple. It's about making sure you get the right tool for your situation.

My Honest Take After 29 Years
For most small businesses — retail, professional services, trades, healthcare, real estate, restaurants — a well-spec'd Windows PC is going to give you more value, longer life, better software compatibility, and lower total cost of ownership.

For creative shops or businesses already living in the Apple world, a Mac makes sense and you'll probably love it.

The worst thing you can do is buy either one without a plan — no backup, no updates, no support structure. I've seen $2,500 Macs fail just as spectacularly as cheap PCs when nobody's taking care of them.
