Microsoft recommends keeping at least two emergency administrator accounts for Microsoft Entra—the system behind Microsoft 365 sign-ins.

Think of them as the “break glass in case of emergency” accounts. If your normal admins get locked out, these are the keys that get you back in.

A few smart rules:
▶️ Use security keys or another sign-in method that does not depend on the same phones or apps as your regular admins
▶️ Store the credentials securely
▶️ Alert on every login
▶️ Test the accounts at least every 90 days

Because an emergency admin account that has never been tested is really just a very optimistic backup plan.

We can help set up and test these accounts without changing how your employees normally sign in.

Some newer Xfinity routers can now detect movement inside a home using changes in Wi-Fi signals.

No camera. No motion sensor. Just your Wi-Fi casually noticing that someone walked through the room. Very convenient. Slightly “the router knows too much.”

Comcast’s optional Wi-Fi Motion feature can send alerts through the Xfinity app when movement is detected. Comcast also says information created by the feature may be disclosed in response to valid legal requests, and in certain other situations allowed by law.

The takeaway? Before turning on smart features like this in a home office or business setting, read the privacy terms and understand what data is being created, stored, and potentially shared.

Because sometimes “smart” also means “collecting more information than you expected.”

Photos and documents can carry a little extra baggage you never meant to send.

A photo may contain GPS location and device details. Word, Excel, and PowerPoint files can include author names, company info, comments, and tracked changes. PDFs may reveal who created them and what software was used.

Before sending a file outside your business, check the metadata and remove anything the recipient does not need.

▶️ In Microsoft Office, use Document Inspector
▶️ In Windows photos, check Properties > Details
▶️ Always inspect the exact copy you are about to send

Because sometimes the file says more than the file actually says.

Are the days of posting AI-written content without anyone knowing coming to an end?

Anthropic is adding an invisible watermark to text created by newer Claude models. You will not see it, but it is built into subtle patterns in the words Claude chooses, which means copying the text into Word, email, or a website may not remove it.

Anthropic also plans to offer tools that can estimate whether Claude helped write something. Those tools will not reveal who used Claude, what they asked, or how much of the final document was written by AI.

So yes, you can still use Claude for drafts, rewrites, and editing. Just remember that “AI helped with this” may become detectable, even if the final version was heavily edited.

And one thing definitely has not changed: anything going to a client or being published under your company name still needs a human review.

Because “Claude wrote it” is not a quality-control process.

If your team is already using AI at work and you are not sure what rules should be in place, let’s have a chat.

Drawing a black box over sensitive text in a PDF may look like redaction… but sometimes it is just a very confident-looking sticker.

The text underneath can still be searchable, copyable, or recoverable if it was never actually removed.

Use the redaction tool in your PDF editor so the information is deleted from the file, not just covered up.

Then test it:
▶️ Search for the removed words
▶️ Try selecting or copying the redacted area
▶️ Open the file in another PDF reader and check again

Do this before sending contracts, financial statements, legal documents, or anything containing personal information.

Because “you can’t see it” is not the same as “it’s gone.”

Do your employees know what company information they can actually share—or are they using the highly scientific “this seems fine” method?

A simple classification system makes it much easier:

▶️ Public — Safe to share outside the business, like published job ads, press releases, and information already on your website.

▶️ Internal — For employees and approved contractors, like procedures, meeting notes, and business reports.

▶️ Confidential — The stuff that needs tighter controls: customer records, payroll, bank details, and legal documents.

For confidential information, make the rules crystal clear: who can access it, where it can be stored, how it can be sent, and when it should be deleted.

Because “I didn’t know that was confidential” is not a great sentence to hear after the fact.

If your Wi-Fi list includes a network called “Guest,” make sure it is actually acting like one.

Visitors should be able to get online without also getting a backstage pass to your computers, printers, cameras, or file storage.

Researchers recently found thousands of exposed AWS access keys online—and 88% of the 10,616 keys they tested still worked. Some even provided full administrative access.

That is basically leaving the keys to the server room under the digital welcome mat.

AWS access keys let applications connect to cloud data and systems. If one leaks, an attacker may be able to walk straight into your environment without needing a password.

And deleting the file that exposed the key is not enough. The key itself needs to be disabled or replaced.

Ask your developers or software providers:
▶️ Where are AWS keys stored?
▶️ How are they checked for leaks?
▶️ How quickly are exposed keys revoked and replaced?

Because “we deleted the file” does not help much if the key still opens the door.

Using AWS but unsure how your access keys are managed? Contact us and we can help review them.

An employee downloads a new program onto a company computer. Nobody checks it first. What could possibly go wrong?

That is where application allowlisting comes in. It lets your business decide which software is allowed to run, and blocks anything else until it has been approved.

It is a simple way to stop random, risky, or just plain unnecessary software from turning a work computer into a science experiment.

The key is balance: employees still need an easy way to request legitimate tools, or security starts getting blamed for slowing everyone down.

Good allowlisting keeps the bad stuff out without making the good stuff impossible to use.

What happens if the one person who understands your IT suddenly disappears for a month?

Someone else should know who your vendors are, where the documentation lives, which systems are critical, when contracts renew, and how to regain access during an emergency.

And no, the backup plan should not be “call Dave and hope he answers.”

Keep emergency access stored securely instead of passing passwords around. Then choose a backup person and have them handle a routine IT request using only the documentation and contacts you already have.

If your business depends on one person for every IT decision, that is a risk worth fixing before vacation, illness, or turnover forces the issue.

We can help you document the responsibilities and build a real backup plan.
