Your team is likely already using AI. Do you know what that means for your business?

When someone pastes a customer list, a contract, or an internal email into an AI tool for a quick summary, that information may not stay private. Depending on the tool and the account, it can be kept and used to train the AI.

A few things help keep your business protected:

1. An AI acceptable use policy that names which tools are allowed and what staff can and can’t use them for.
2. Approved tools you have vetted and know keep your data secure.
3. A process for checking AI output before it goes out.

At Heiden, every staff member agrees to an acceptable use policy, and only company-approved AI tools are used.

Heiden can help your leadership or tech team put a policy in place.

Many organizations work on a use-it-or-lose-it budget.

Money left unspent this year can be cut from next year’s budget, which makes it harder to cover the things that actually need doing.

The goal is not to spend for the sake of spending. It is to pay for what you already know is coming.

Good candidates for the rest of this year’s budget:

👍 Replacing computers that are past their useful life
👍 Auditing and compliance reviews
👍 Backup testing and restoration (this hurts when it fails in a live situation)
👍 Cleaning up software licenses nobody uses

Each of those reduces cost or risk.

A lot of businesses use Q4 to start thinking about next year.

We want to help you make sure your technology supports your business over the next 12 months.

Here's a short checklist to help you plan.

1. Review your devices. Note anything that's four or five years old. Is it time for replacement, refurbishment, or an upgrade?

2. Check your software licences. Which ones renew in the first half of 2027? Are they all still needed?

3. Review outstanding projects. Write down any projects you've been putting off, like a network upgrade or a move to Microsoft 365. What can you prioritize, and what can your IT provider take off your plate?

4. Evaluate your IT providers. How many providers do you currently pay for IT services? Too many? Not enough?

Some larger businesses are consolidating their IT services with fewer providers and a single bill. I

t's worth considering whether that approach makes sense for your business.

Businesses that skip this planning process can unintentionally end up reacting to failures instead, which usually costs more and happens at the worst possible time.

Want help turning that checklist into a realistic 2027 IT plan and budget?

Your business is going to change, that is for certain.

Your technology, your security, your team will all change with it.

A vendor sells you what you need today. A partner keeps up with where you're going.

That's the distinction Amanda Bowman draws in every client conversation.

She spends more time learning how a business runs than talking about services, because the right recommendation depends on where you are now and where you're headed.

It's why clients who come to Heiden from larger providers notice the difference quickly.

You're not one of a thousand accounts.

You get a team that knows your business and answers when you call.

We're here when you need us, and we're here when you don't.

Think back to the last person who left your company. Is their account still active?

It's not uncommon to see employees who have not been employed for months, evenn years, to still have access to critical systems, even social media accounts.

Old employees, former contractors, and vendors who finished a project months ago often keep working logins long after anyone remembers to think about it.

Nobody keeps them active on purpose. It just falls through the process cracks.

A simple housekeeping step catches most of this: once every few months, pull a list of everyone with an active account and check it against who actually still works there or with you.

Anything left over gets removed.

It takes about twenty minutes, and it is one of the easiest gaps to close in the whole business.

"Managed IT" gets used a lot without much explanation of what is actually happening behind it.

Here is what it means once you are inside it.

It is mostly the part you never see.

Systems get checked and patched on a regular schedule instead of waiting for something to fail first.

Updates go out in the background before a known issue becomes an actual problem.

Someone is watching for the small warning signs, like a device running low on resources or a backup that failed to complete; the kind of thing that turns into a full day of downtime if nobody catches it early.

That is the real difference between two approaches to IT. One waits for something to break and then reacts. The other works in the background so there are simply fewer things left to break in the first place.

Cybersecurity gets talked about in a lot of vague terms, and "multilayered protection" is one of the vaguer ones.

Here is what it actually breaks down to in practice.

It starts with the network itself: a properly configured firewall and regular checks for weak spots before anyone else finds them first.

From there, it covers every device connecting to that network, laptops, phones, and anything else with access, so one compromised device does not become the whole business's problem.

Monitoring runs continuously in the background, so something unusual gets flagged in real time rather than discovered days later.

And underneath all of it, backups exist specifically so that if something does slip through, the business can recover rather than start over.

The part people often miss is that the people using the systems are part of this too, not separate from it.

Training that helps someone recognize a suspicious email before they click it is doing the same job as a firewall, just earlier in the chain.

No single layer is meant to catch everything on its own. The point is that if one layer misses something, another one is positioned to catch it.

Want to know how many of these layers your own business currently has in place? Visit heidentechnology.com for a free cybersecurity risk assessment.

A backup that has never been tested is really just an assumption.

Most businesses have some form of backup running in the background. However, most of the time nobody thinks about it because it is only supposed to matter on the one day something goes wrong.

That is exactly the problem.

Backups fail quietly more often than people expect: a job that stopped completing months ago without anyone noticing, files that got backed up but cannot actually be restored in the format you need, or a backup that only covers part of what the business actually depends on.

A working backup means someone has actually gone through the process of restoring from it at least once, on purpose, before an emergency forces the question.

That is the only real way to know it will do its job when it matters.

Not sure when your own backups were last tested, or what they actually cover?

Printing is the line item nobody budgets for until the invoice shows up.

One month it's toner. Next month it's a service call. Then it's a new printer nobody signed off on because the old one finally gave out.

Nobody planned any of this. It just happens, a little at a time, until someone asks why the print budget doesn't look like a budget at all.

Managed print turns that into an actual number.

One plan, per page or per toner, covering the parts that used to be guesswork.

You find out what printing costs upfront instead of after the fact.

Book a call with us to find out more about our managed print services.
