Take a minute this week and look at your Google Business Profile, specifically the list of services you offer.

A lot of us set that up once, years ago, and never went back to it. If you've stopped doing something, or started offering something new, that list might not reflect it anymore.

When someone searches for exactly what you do now and your profile doesn't mention it, they call somebody else instead. And if someone calls about something you dropped a while back, that's an awkward conversation nobody needs.

It only takes about five minutes to fix. Go through the list, remove what's outdated, add what's current. While you're there, take a look at your hours and photos too, they tend to get stale around the same time.

A month after we launched a client's new website, we sent them a plain update instead of staying quiet.

Here's what we told them: the site showed up in Google search 271 times, with 14 people actually visiting. The homepage made it to page one. When people searched the business's own name, they landed at #2. Their Google Business Profile got 87 views, mostly from phones, plus 2 calls, 2 chats, and 2 website clicks.

We were honest with them about what that means. Most of those visits came from people who already knew the business. Getting found by people who don't know you yet is the next step, not something a new website finishes on day one.

A local realtor turned up in our prospect research with 35 reviews on Facebook and zero on Google. All that earned goodwill, sitting where almost no buyer looks. Someone searching "realtor near me" sees a blank profile and reads it as nobody's used them.

Facebook reviews are for people who already found you. Google reviews are what decide whether strangers find you at all.

The fix: figure out where your reviews actually live, then stop asking in a way that lets people choose. Don't say "leave us a review." Send the direct link to your Google profile, by text, right after the job's done while they're still happy. One link, one place.

A business with 35 good reviews in the wrong spot isn't short on reputation. It's just filed it where the search results can't reach it.

This week we built ourselves a new tool, we're calling it Morning Desk. It's simple: one screen that shows everything we need to handle first thing in the morning. What's owed to clients, new leads that came in overnight, deals coming due, letters that need writing, and follow-ups that need sending.

We tried it out the same day. Six new leads had come in overnight. By the end of our morning routine, five of them had a letter logged and eleven people had gotten a follow-up.

Before this, that same morning meant hopping between several different places and hoping nothing got missed. Now it's one list, start to finish.

We build a lot of things for clients. This week we built one for ourselves, because the small stuff between a new lead and a follow-up is where things slip through the cracks if you're not careful.

We pulled up a client's search report last week and it said their blog was hurting them. Turned out the tool behind that report was only looking at a tiny slice of the data, about 3 percent of it.

Once we fixed it to look at the full picture, the story flipped. That blog post is actually showing up in search 1,110 times a month for people searching things like "small business website cost," exactly the kind of person ready to hire someone.

A report that only looks at a sliver of your data can tell you almost anything. We're glad we double-checked before telling anyone to take that post down.

A local contractor got a letter in the mail from us. They'd never heard of Copper City Digital before.

That one letter led to a phone call (booked automatically by our AI receptionist), a sample website, a proposal, and a signed agreement, all before we sat down in person. Their new website went live this week.

We built this whole process so a small business could go from never heard of us to our site is live without anything falling through the cracks. Watching it work start to finish, on a real business, felt pretty good.

A local pizzeria let us know a proposal from us had landed in their spam folder. That got us checking our own email setup, and we found the issue: a missing setting on our domain that was making our emails look untrustworthy to inboxes, even though nothing was wrong with the message itself.

We fixed it and ran a test to double check our work. Everything came back passing.

It's a good reminder for any small business: a great email doesn't matter if it never reaches the inbox. We double check this now for every client we work with, not just ourselves.

Big week for us. The system we built for ourselves just signed its first paid client.

Here's how it happened. We mailed a good old-fashioned letter. The owner called the number on it, and our AI receptionist picked up, answered his questions, and booked a meeting with us on the spot. We met on June 30, built him a free sample so he could see exactly what he'd be getting, and sent over the proposal. Payment came through July 9.

Nine days from the first conversation to a done deal. No chasing, no phone tag, no "let me get back to you" that never comes back.

The funny thing is, none of the pieces are high-tech magic. A letter in the mail. A phone that always gets answered. A sample done up front. The follow-through is what did the work.

That's the same thing we build for local businesses around here: simple systems that answer fast and follow up before leads slip away. Nice to be able to say ours worked on us first.

A local contractor got a letter from us in the mail last week. He called the number on it, and the receptionist who answered was actually our AI phone assistant. She answered his questions and booked a meeting with us on the spot.

No voicemail, no phone tag, no waiting for someone to call him back. He called when it suited him, and by the time we talked, everything was already on the calendar.

The meeting went great, and we're building a sample website for him now.

This is the kind of thing we set up for local businesses too: a phone that always gets answered, even when you're on a job or with a customer, and a helper on the line who can answer questions and book the appointment right then. Our own phone line just happened to be the proof this week.

Ever called a business after hours, gotten a voicemail, and just hung up and called the next one? We all do it. And the business that missed the call usually never even knew it rang.

That's the exact problem we built Penny to solve. Penny is our AI receptionist, and she answers our own phone line 24 hours a day. She picks up, talks like a real person, answers questions about the business, and books callers in. Then she texts us the details of every call, so nothing slips through the cracks. A missed call doesn't turn into a lost job.

The easiest way to understand what she does is to just call her and ask. Try it yourself. Call 315-277-9993 and ask Penny what she can do for your business. She'll actually tell you, and she'll offer to set up a quick call with us if you'd like one. It's free, and there's no catch.

Give her a ring. It's kind of fun to hear it for yourself.
