When a due process complaint is filed, nobody asks whether your team did the right thing, they ask you to prove it. ๐Ÿ“‹

Under the Individuals with Disabilities Education Act (IDEA), transportation written into a student's Individualized Education Program (IEP) is a federal obligation rather than a service level. The districts that come through hearings well aren't the ones with better intentions. They're the ones who were already documenting service as a habit, months before anything was filed.

Route count is usually the first number shared when someone asks how school transportation is going. On its own, it says very little about how those routes actually perform.

Fewer routes can mean longer rides, fuller buses, or tighter schedules, and more routes can mean the opposite. A clearer picture comes from a handful of measures reviewed together:

๐Ÿ•— ๐—ข๐—ป-๐—ง๐—ถ๐—บ๐—ฒ ๐—”๐—ฟ๐—ฟ๐—ถ๐˜ƒ๐—ฎ๐—น๐˜€: How often buses reach school on schedule

Looking at all three helps a team explain what's changing and why, which makes the next board conversation a lot easier. ๐Ÿ“ˆ

Most student transportation departments already collect everything they need for driver accountability. GPS, dispatch logs, and route records can do the reporting for you. Route timing shows on-time performance without a supervisor having to review every route by hand, and your dispatch view flags late buses as they happen. ๐ŸšŒ

Four metrics worth watching:
โœ… On-time arrivals
๐Ÿ“‹ Attendance reports
๐Ÿฆบ Safety compliance
๐Ÿ—บ๏ธ Route completion

The real value is in patterns, not one-off incidents. One late arrival may be due to traffic, but the same route running late every Tuesday is a process issue worth looking into. With objective data on the table, supervisors and drivers can stop debating what happened and start fixing the route together. ๐Ÿค

The best time to decide who handles a driver callout is well before one happens. ๐Ÿ—“๏ธ

โฑ๏ธ Morning disruptions move fast, and every minute spent tracking down an approval is a minute the route isn't running. A short conversation now saves a lot of scrambling later.

Three decisions worth assigning an owner:
๐Ÿšง Rerouting around a road closure
๐Ÿ”„ Combining runs when a driver calls out
๐Ÿ“ฃ Letting schools know a route's running late

โœ… ๐——๐—ฒ๐—ฐ๐—ถ๐—ฑ๐—ฒ ๐—ฎ๐—ต๐—ฒ๐—ฎ๐—ฑ ๐—ผ๐—ณ ๐˜๐—ถ๐—บ๐—ฒ so that your team can act the moment something comes up.

Every district knows how many miles its buses drove last month. ๐ŸšŒ
Far fewer know how many of those miles ran empty.

Use the formula: loaded miles divided by total miles driven.
๐Ÿ“Š Above 85%: strong route planning
๐Ÿ“ˆ 85 to 80%: room to tighten
โš ๏ธ Below 80%: a real opportunity

When the number comes back low, it usually traces to the same three things:

๐ŸšŒ Deadhead miles from the yard to the first stop
๐Ÿ—บ๏ธ Routes spread too thin across the district
โฐ Bell times that don't match how long runs really take

โ›ฝ Fewer empty miles mean fewer driver hours and less fuel.

๐Ÿ‘‰ Six more metrics worth tracking: https://busplanner.com/resources/blog/7-data-points-transportation-director-should-track/

๐ŸšŒ The school bus driver shortage isn't new. But the reasons behind it run deeper.

The causes are structural:

โฐ Split shifts
๐Ÿšš Commercial license competition
๐Ÿ“‹ Months-long hiring pipelines
๐Ÿซ Bell times set outside the department

๐Ÿ—บ๏ธ These four realities shape route counts, ride times, and how often a small group of drivers covers extra work.

๐Ÿ‘‰ Swipe through for a closer look at each cause, along with the approaches transportation teams are using to keep routes covered.

Count the mirrors on a school bus. ๐Ÿชž There are more than you'd think.

Every school bus has six or more, and every one of them erases a blind spot.

๐Ÿ”Flat mirrors up top: traffic and the road behind
โ†”๏ธ Convex mirrors below: a wide view down each side
๐Ÿš Crossview mirrors on the hood: the ground right out front, the exact spot where a small child can disappear from view

๐Ÿšธ The danger zone around a bus is where students face the highest risk. It's why mirror checks land on every pre-trip inspection and in every driver training curriculum.

Drivers adjust them, verify them, and check them dozens of times a shift. Every stop is a fresh set of blind spots to clear.
