Not metaphorically. Right now. Today. There is a real email from a real person who raised their hand 11 days ago, and nobody answered it. They probably bought something from someone else by now.

This is not a discipline problem. Your team is not lazy. Your assistant is not bad at their job.

It's a design problem.

Every service business has five engines running underneath it. Lead generation. Lead nurture. Sales and conversion. Operations and fulfillment. Brand advocacy. Here is the exact prompt framework we use to turn a messy meeting transcript into actionable next steps.

Do not ask Claude to "summarize this meeting." You will get garbage.

Ask it this:

"Act as a senior project manager. Review the attached meeting transcript. Extract the 3 most important decisions made. List the action items, assigning an owner and a deadline to each based on the conversation. Format as a clean bulleted list."

When you give the AI a role, a specific task, and a required format, the output changes entirely.
