Here's a quick time audit: open your Sent folder and look for emails you have written more than once.

✅ The response to a new patient inquiry.
✅ The explanation of what to expect before the first session.
✅ The note you send when someone misses an appointment.
✅ The follow-up after the program ends.
✅The answer to whether you take insurance.

Every one of those is an email you are writing from scratch each time, spending five to fifteen minutes recreating something that already exists in your sent folder in a slightly different form.

The three-email rule is simple: if you have written something three times, write it one more time, carefully, and save it as a template. Every future version takes thirty seconds to send and reads better than anything written on the fly.

Practice policies are one of those things that feel urgent when a patient cancels at the last minute and completely optional every other day of the week, which is exactly why most of us never actually finish them.

This is a safe space. Take a breath.

Count how many of these are currently accurate descriptions of your practice.

No judgment. The red flags on this list are not character flaws.

They are the natural result of building a practice without a lot of support or a clear roadmap, which describes most myo therapists at some stage.

The difference between a green flag practice and a red flag practice is seldom clinical skill.

It is almost always infrastructure: the systems, the materials, the processes that make the practice work consistently, even when you are tired, busy, or distracted.

If you counted more red than green, that is fixable. Start with one.

Quick exercise. Call your own practice phone number and listen to your voicemail greeting.

Does it say your practice name? Does it tell the caller what to expect and when to expect a callback? Does it sound like someone they would trust with their healthcare?

Now check your email auto-reply if you have one. Does it confirm that their message was received, let them know when you will respond, and provide a next step if it is urgent?

These are tiny touchpoints that most practice owners set up once and forget about. But for a prospective patient who found you through a referral and is deciding whether to follow through, your voicemail and auto-reply are often the first real interaction with your practice.

They are either building confidence or quietly eroding it.

Record a new voicemail. Update the auto-reply. It takes less than two minutes, and it is the kind of professional detail that compounds over time.

Getting a referral is not the finish line. It is the beginning of a patient's decision-making process.

And a lot of myo practices are losing patients between the referral and the booking, without ever knowing it happened.

The referred patient goes home, looks you up, and encounters a website that is hard to navigate, a bio that does not explain what myo therapy is, or a booking process that requires more effort than it should.

The momentum breaks. They mean to come back to it. They do not.

This is not a commentary on your clinical skill. It is a commentary on your systems. And systems are fixable.

If you have referral relationships that are not producing the bookings you expect, the answer is rarely to find more referral sources.

It is to look at what happens to a patient after they are referred, and whether every step of that journey makes it easy to say yes.
