Bringing AI into your business?

How you introduce it matters as much as which tool you pick.

A vague announcement, "we're going to start using AI," leaves people guessing. And when people guess, they tend to guess the worst.

A warm, clear introduction does the opposite. Tell your team:
This is the task we want to make easier. Name it: "summarizing client meeting notes."
This is what stays exactly the same. Their relationships, their judgment, their role.
This is how we'll know it's working. Time saved and their honest feedback.
This is how you can help. Try it, tell us what's clunky, suggest what's next.

Then listen. The people doing the work will spot problems and opportunities you'd never see from the outside.

People are much more open to change when they understand it and feel part of it.

Lead with why. The how gets easier.

That's all it takes.

For accounting and legal offices, one of the biggest AI risks is also one of the simplest: someone puts client information into the wrong tool.

A tax return into a free chatbot to "summarize it." A contract into a browser extension to "clean up the wording."

No bad intentions. Just a shortcut without guardrails.

A short, clear list fixes most of it:
• Approved AI tools: these specific ones, on business accounts
• Never goes in: client names, tax documents, contracts, account numbers, personal details
• Fine to use for: general writing help, internal drafts without sensitive details, brainstorming
• Not sure? Ask this person first

Print it. Share it in person.

Revisit it when new tools show up.

It takes an afternoon to create and removes a lot of worry, for you and your team.

Your team probably has questions about AI they're afraid to ask out loud.

Nobody wants to look behind. So the questions stay quiet:
"Is this going to replace my job?"
"Am I allowed to use it, or will I get in trouble?"
"What if I put in the wrong information?"
"What if everyone else already knows how and I don't?"

Unanswered, those worries turn into avoidance. People skip the tools, or use them secretly without guidance.

The fix is simple and kind. Make it safe to ask.

At your next team meeting:
1. Say plainly why you're exploring AI and what it's for.
2. Tell people what won't change about their jobs.
3. Invite questions, including anonymous ones.
4. Answer honestly, even if the answer is "we don't know yet."

People feel a lot better once they hear real answers. And a comfortable team learns much faster than a nervous one.
