We were talking with an operations manager at a construction firm in the Baltimore area recently.

One of her project coordinators had started using an AI writing tool to pull together bid summaries, and from everything she could see it was working well. The coordinator was faster, the summaries were cleaner, and nobody had flagged any concerns.

We asked whether the tool had been looked at against MODPA requirements. She hadn't had reason to think about it from that angle yet, which is completely fair. The tool was just accessible from a browser, the way most of these things are, and it hadn't caused any problems.

One of the more interesting conversations we’ve had lately started with a pretty simple comment:

“We’re only using AI for small stuff.”

After talking through it for a few minutes, “small stuff” included:

* employee information
* customer notes
* internal reports
* financial data copied from spreadsheets

Nobody was trying to do anything reckless. People were just trying to save time and get through work faster.

That’s usually how this starts.

A lot of teams still think of AI tools the same way they think about Google Docs or a search engine. They paste information in, get the result they need, then move on with their day.

What often gets skipped is the conversation around where that information goes afterward and how those tools handle the data being entered into them.
