Three Macola workflows, on two pages.

If you've been following along, you've seen the use cases one at a time. Here they are together, in a quick leave-behind you can save or pass to your team:

→ Past-due invoice reminders that go out on their own, with the invoice attached
→ Purchase order emails that become Macola sales orders, with anything unclear flagged for review
→ Credit hold approvals that go straight to the right person, then release and acknowledge on their own

Each one follows the same simple shape:

1. Something happens: an email arrives, an order is entered, an invoice passes its due date
2. The steps run, each one handing off to the next
3. A person steps in only when a decision needs them

And each one splits the work the same way. Your operations team describes the process. An IT person or power user who knows your Macola data builds it on a visual canvas. No code, no custom integration project.

Macola resellers: this is built to hand to clients. It opens the automation conversation without anyone needing to explain how a workflow engine works.

Swipe through, then tell us: which process would you bring to the table first?

Where does your team still move information by hand between Macola, the inbox, and everyone's to-do list?

AI Automation puts the whole process on one visual canvas: a trigger starts it, conditions apply your rules, actions do the work, and a person steps in only when an approval is needed. Every run is logged.

This is the overview. Next up: three real Macola workflows, from past-due invoices to emailed POs to credit holds.

SAP Business One is a very complete solution. Acterra still wanted the best tool for the warehouse.

Acterra has been an SAP partner in Hungary for nearly 20 years, with almost 200 implementations behind it. In episode 2 of Wisys Partner Connect, Managing Director Csaba Kriston explains why it adds Wisys on top of SAP Business One.

What stood out:

→ His view of the biggest warehouse challenge: determining the optimal inventory level. It looks different in just-in-time automotive than it does with perishable goods.

→ Wisys connects SAP Business One directly to mobile devices and barcode scanning. Movements, picking, and inventory updates are captured instantly.

→ Acterra can support more complex warehouse and distribution environments without heavy customization.

→ At one electronics manufacturer, kanban picking moved from paper to a terminal. A picking request is created automatically, and 2 people now cover 4 production lines. Before, it took 2 people per line.

Csaba also made a point worth repeating for anyone planning AI work: automation and AI depend on accurate, up-to-date data. If the data is delayed or wrong, the system makes wrong decisions.

AI for Macola" sounds abstract until you watch it do a real job.

So we built a page that shows three of them, start to finish, on real Macola workflows our team uses.

Each one follows the same three steps: design the steps once, pick what starts it, and let it run. A person only steps in when a decision actually needs one.

→ Past-due invoice reminders
It watches Macola for invoices that go past due, attaches a copy of the invoice, and sends each customer their own reminder. Once per aging stage, so no one gets the same note twice.

→ Emailed purchase orders into Macola orders
A PO lands in the orders inbox. AI Interpreter reads the attachment, pulls out the customer, items, and quantities, and the sales order is entered in Macola. No retyping.

→ Credit hold approvals
A new order lands on credit hold. The approver gets a task with everything they need, approves it in one click, and the hold is released and the acknowledgement emailed on its own.

Every workflow has a two-minute video, so you can see exactly how it's built, not just what it promises.

If you run Macola, think about one task your team does the same way every week. That's usually the best first workflow.

Want to see it live? We're walking through real Macola workflows on Thursday, November 5. Details are on the page.

Most Macola teams don't have a shortage of things to automate.

They have a shortage of certainty about where to start.

So nothing gets picked, and the same manual steps keep repeating: the orders inbox someone watches all morning, the approval sitting on one person's desk, the follow-up email written by hand every week.

We put together a 5-question checklist you can run against any process your team handles today. You don't need to know how automation is built to answer it. You only need to know how the work gets done.

1. Does it happen the same way every time?
2. Does it start with something you can point to? An email, a file, a new order in Macola, a time on the calendar.
3. Does someone re-key information into Macola?
4. Does it wait on a person, and is that person the bottleneck?
5. Would anyone notice if it didn't happen today?

Three or more "yes" answers means it's a strong first candidate.

The post also walks through three real workflows our team has built in AI Automation that pass all five:

→ Past-due invoice reminders that go out on their own, invoice attached
→ Purchase order emails that become Macola sales orders, with anything unclear flagged for review
→ Orders on credit hold routed straight to an approver, then released and acknowledged automatically

Plus an honest list of what not to automate first. Automate a process your team can't agree on yet, and you just make the confusion run faster.

Macola resellers: the checklist works as a client conversation starter, too.

The full checklist is in the comments. Which process would you run through it first?

How much are the wrong-size boxes actually costing you?

AI Packing automates box and carton selection so every order ships in the right size the first time — cutting freight costs, material waste, and the errors that come from guessing under a deadline.

Re-keying purchase orders by hand is one of the biggest hidden time sinks in distribution and manufacturing.

AI Interpreter reads incoming POs, invoices, quotes, and packing slips, and turns them into ERP-ready orders automatically — flagging anything unclear for a human to check first.

Watch it work:

Your production schedule is only accurate until something changes — and something always changes.

AI Fusion Production Scheduler rebuilds the plan in real time as demand, materials, and machine availability shift, while planners stay in control through drag-and-drop adjustments.

Your production schedule was right at 6:30 AM.

By 10 AM, it's fiction.

A CNC goes down. A rush order lands from your biggest customer. A steel delivery slips to tomorrow.

The planner starts reshuffling jobs by hand. Meanwhile, two operators are running work off a printout taped to the machine. Those jobs stopped being the priority an hour ago.

That's not a people problem. It's two versions of the truth: one schedule in the planning office, another on the floor.

And it's common. About half of manufacturers still plan production in Excel or on paper alongside their ERP. A snapshot can't keep up with a shop that changes every hour.

Closing the gap takes fixing both ends:

→ The plan has to update itself. AI Fusion Production Scheduler connects to SAP Business One or Macola in real time and re-optimizes when a machine, material, or priority changes. Planners still review and adjust with drag-and-drop. The AI handles the recalculation, and they make the calls.

→ The floor has to see the change. AI Fusion Kiosk puts the live schedule on a shop-floor terminal. Operators sign in with an Employee ID and PIN, see their next job, and pick up planner changes automatically. No reprint. No radio call.

The result: planners stop being full-time recalculators, operators stop guessing what's next, and disruptions get absorbed before they turn into missed ship dates.

No new ERP. Just smarter operations.

We broke down why schedules fail before lunch, plus a six-question checklist for evaluating any scheduling tool, in our latest blog. Link in the comments.
