Tomorrow is September 1st.

Two things happen in most businesses this week: Q4 planning starts, and everyone remembers they meant to sort out their IT back in the spring.

If there's a decision you've been putting off β€” a provider you've outgrown, a backup nobody's tested, a system that stopped scaling two hires ago β€” the next four months are the best window you'll get. Still enough runway to plan, budget, and actually do it before year-end. By November, there isn't.

I've kept this month's posts pressure-free, so I'll be direct about this one: the calendar's open, 15 minutes is really all it takes, and the worst case is I tell you you're fine.

I hear it constantly. The machine usually isn't broken and it isn't old. It's a consumer PC doing a business job β€” two different products that look identical on the shelf.

What's actually going on:

🐌 8GB of RAM soldered to the board. Not "for now." Forever.
🐌 A processor built for light use and battery life, not your daily software
🐌 Preinstalled trials and utilities that start with the machine and never stop
🐌 Windows Home instead of Pro β€” can't do managed encryption, can't take company policy
🐌 A warranty that assumes you'll ship it off and wait
🐌 Every machine in the building different, so every problem is a new problem

You didn't buy a cheap computer. You bought a different product. And the price gap is smaller than most owners think once you count the hours lost to it.

A lot of people don't book a call because they don't know what they're signing up for. So here's the whole thing:

Min 1–3: I ask what specifically made you reach out. There's always one incident behind the call.
Min 4–8: Four boring questions β€” how many people, what software runs your business, who handles IT now, and what happens if the internet dies for four hours.
Min 9–13: I tell you what I actually think. Sometimes that's "this isn't urgent" or "your current provider should just fix this, here's how to ask."
Min 14–15: We decide if there's a next step. If there isn't, we're done and you don't end up on a mailing list.

No slide deck. No discovery process. No follow-up sequence.

Here is a heads up worth knowing about if your business uses Microsoft 365.

Microsoft is retiring text message and phone call sign in codes. Passkeys are taking their place.

Two dates to write down.

September 1, 2026. That is next Tuesday. If your team still signs in with text or phone call codes, Microsoft will start prompting them to set up a passkey. You can skip the prompt for now, but it will keep showing up.

February 1, 2027. Text and phone call codes stop working entirely. After that date, anyone who has not set up a passkey or another approved method will be stopped at the sign in screen until they do. There is no opting out of this one.

That is about five months away, which sounds like plenty of time. It goes fast.

For the medical and dental practices around Laredo β€” one thing worth checking this week.

Microsoft 365 and Google Workspace can both be used in a HIPAA-compliant way. Neither one arrives configured that way.

On the paperwork: Microsoft includes the BAA in its standard terms for paid commercial plans, nothing to sign. Google requires an admin to go accept it in the console β€” and plenty of practices never have.

But the bigger issue is what the BAA isn't. It's a contract about liability. It doesn't change a single setting in your account.

By default, both will still let you sign in without MFA, share a file with "anyone with the link" forever, auto-forward mail to a personal address, and use add-ons the BAA doesn't cover.

Two separate questions: is the BAA in place, and has anyone configured the system to match it? Practices routinely assume the first answers the second.

Try this at your next team meeting. Ask: "Where do our company files live?"

Then count the answers.

For most small businesses it's a list. The shared drive. Someone's personal Dropbox from 2021. A folder in a personal Google account. Email attachments. A USB drive in a desk somewhere.

That's a visibility problem, and it's the most common thing I find. Nobody can see what's flowing in or out of the business.

Four questions most owners can't answer:

❓ When someone leaves, what do they still have access to?
❓ How many of your files are shared with "anyone with the link"?
❓ What tools is your team using that you never bought?
❓ If a customer asked where their data lives, could you answer honestly?

You can't protect what you can't see. Seeing it is usually a smaller job than people think.

"We'll fix it when it breaks" is a budget strategy. It's just not a cheap one.

The logic makes sense at first. Why pay every month for something that's working fine? Pay when there's a problem. That's how you handle the plumbing.

Three things make it expensive, and none of them are the repair bill:

⚠️ You only ever buy at the worst possible moment. Nothing breaks on a slow Tuesday. It breaks during your busiest week, when you have zero leverage and will take the first price you're quoted.

⚠️ Nobody's watching the quiet stuff. Loud problems get fixed. The drive at 96% capacity and the backup that's been quietly saving nothing don't page anyone. They just wait.

⚠️ The repair is never the whole cost. Add the idle hours, the work that didn't happen, the customer who noticed, and your evening. None of that lands on an invoice, which is why nobody counts it.

It stops working when one day of downtime costs more than a month of prevention. Most owners cross that line about two hires before they notice.

Ever gotten a text with a six digit code to sign in to your email?

That is called two factor authentication, and for years it was a big step up from just a password. It is better than nothing. But it has a real weakness that most people have never heard about.

Those codes travel over the phone network, and the phone network was never built to be secure.

Two things can go wrong.

A scammer can call your cell provider, pretend to be you, and move your phone number to their phone. Your codes start showing up on their screen instead of yours. It is called SIM swapping and it happens more than you would think.

Or, simpler, someone sends you a fake sign in page that looks exactly like Microsoft. You type your password. You type the code. They catch both and use them in real time.

The code did its job. It just handed the wrong person the keys.

This is not meant to scare anyone. It is meant to explain why the whole industry is moving on from text codes, which we will talk more about next week.

The fastest money I've saved a client this year didn't involve buying anything. It involved reading their software bill.

The same five things show up almost every time:

πŸ’Έ Licenses still assigned to people who left the company
πŸ’Έ An enterprise tier bought because one department needed one feature
πŸ’Έ Two different tools doing the exact same job
πŸ’Έ Seat counts that went up for a project and never came back down
πŸ’Έ Annual renewals that auto-renew because the number looks close enough to last year

None of that is anybody's fault. It's what happens when reading the software bill line by line isn't actually anyone's job.

The money you get back is usually enough to pay for the thing you thought you couldn't afford.
