Look for the calls that almost worked.

The message reached the right person…
but missed the one detail they needed.

But what does busy really mean?

Were those calls urgent?
Were they new leads?
Were they routine messages?
Did any need to be dispatched?
Did any get sent to the wrong place?
Did any need follow-up before the next weekend?

If you’re managing who’s calling into your company’s phones:

You don’t need to hear:

“We had 42 calls last week!”

You need to know:

“Out of the 42 calls we had last week, here’s where each call was sent, how they reached the person, how each message was documented, and what still needs attention.”

We’ve seen holiday weekend calls get escalated to the wrong on-call person for one simple reason:

The schedule looked right when someone made it.

Then real life happened. 😆

Someone swapped shifts.
Someone added PTO.
The owner said, “Just call me if anything gets weird.”

And now by the time the long weekend hits…

the schedule in the document and the schedule in real life are not the same schedule. 😅

Is it under the sink?
Coming through the ceiling?
Near an electrical outlet?
Actively flowing?
Already reported yesterday?
Can maintenance access the unit?
Does someone need to be contacted now?

That’s the difference between a message and a usable maintenance note.

A vague message tells your team *something happened*.

But it still leaves them starting from zero.

And now someone has to call the tenant back, interrupt maintenance, delay dispatch, or send a tech in without the details they needed in the first place.
