Anyone can send an email that says it's from your company.

Three email settings are how the receiving side checks. Set up and enforced, they help stop people impersonating your company and help your real mail reach inboxes.

They don't stop every phishing message. They do close a door that's open by default.

When a company is acquired, IT still has to keep working.

We've supported a company's IT through the transition after an acquisition. The deal gets the attention. The logins get forgotten.

Three things need sorting out:
1. Who has access to what
2. What's documented
3. Who can approve IT changes

What's still on that phone?

Write the rule before the first departure:
1. Which apps may open company data.
2. A passcode is required.
3. How company data gets removed when someone leaves.

Some tools can remove company data without touching personal photos and texts. Not every setup includes them.

Where does your accounting data live?

One client's accounting files sat on one office PC, shared out to everyone else. We moved them to a proper server. Afterward the client told us the software ran faster and felt less clunky.

Where the data lives decides who can reach it, who backs it up, and what happens when that machine fails at month-end. If the answer is "one person's PC," that's the conversation to have first.

A company laptop gets stolen out of a truck tonight. What can the thief open?

If the laptop's storage is encrypted (scrambled) and it's off, not much. If it isn't, everything: client files, saved passwords, email.

Three checks:
1. Is encryption on for every company laptop?
2. Are the recovery keys stored where the business can reach them, not on the laptop?
3. Can someone other than one person get them?

Encryption doesn't replace backups. It only helps if it's on.

Is your phone system older than your newest employee?

Your business phones can run through Microsoft Teams. If your team already uses Teams for chat and meetings, the same app can take your calls too, on a desk phone, a computer or a mobile phone.

Moving your domain name to a new provider? Save a copy of its settings first, specifically the DNS records. They point your website and email to the right place.

On a recent job, someone outside our team started a client's domain transfer. The old provider removed the option to save the records the moment it began. We rebuilt every record by hand.

Three rules from that:

1. Tell whoever manages your IT before anyone starts a transfer.
2. Save a copy of the settings before you start anything.
3. Rebuild and check them at the new provider before you switch anything over.

Your email, website and logins all depend on them. If nobody can say where yours are managed, start there.

Check your Microsoft 365 licenses for a trial running next to a paid one.

On a recent project we found both side by side in the same Microsoft 365 account. Easy to miss. It becomes a billing surprise a month later.

We set up the paid licenses the client approved, flagged the overlap, and opened a case with Microsoft before it turned into a charge.

Quick audit: list every user, match each to a person, look for licenses billing for people who've left, and check for trials nobody closed.

Nine PCs replaced in one planned batch, a year before Windows 10 stopped getting support.

It was a planned project, not an emergency. The PCs were ordered together and swapped on a schedule.

The alternative is replacing them one at a time, the week each one fails.

Three steps, one afternoon:
1. List every computer with its age.
2. Pick the age that triggers a replacement review.
3. Put the next batch on the calendar.
