We are currently accepting applications to fill a new position for an Administrative Coordinator &
Real Estate Transaction Specialist. We are looking to fill this position within 1-2 weeks. This position is Full-time and is salary + benefits.
General Description:
The Administrative Coordinator &
Real Estate Transaction Specialist role is a support role to the Fusion Production and Sales team and Real Estate Agents within the office. This person is a highly organized, process-driven individual who enjoys the fast-paced environment and providing an excellent experience for clients and the team.
This role will also be responsible for guiding the client through the entire transaction process, as well as coordinating with agents, and other 3rd parties.
In this role, you will be set up for success with state-of-the-art technology, tools, and highly-systematized programs and workflows.
This role requires a MINIMUM of three years administrative or similar experience. An active real estate license is not required, but encouraged.
We offer a training and licensure program for those employees who wish to obtain their Colorado Real Estate license. This position is NOT a stepping stone to becoming a Real Estate Agent, however we do offer flexibility for licensed agents to practice real estate in conjunction with their salaried position.
Primary Responsibilities (Administrative):
1. Create and maintain production job flow (work orders, invoicing, etc).
2. General client followups (status updates, payment requests, etc.)
3. General front desk duties
4. Filing and office maintenance
5.Office errands (post office, bank, delivery/pickup client materials)
6. Data entry and database management
7. Ensure team and orders deadlines are met
Primary Responsibilities (Transaction Specialist):
1. Preparing contracts (where applicable)
2. Getting signatures
3. Tracking all dates and deadlines
4. Coordinating with the client
5. Coordinating with the team
6. Coordinating with vendors (inspectors, appraisers, cleaners, etc)
7. Continually auditing the file to ensure all required documents are present
8. Final audit of the file
9. Preparing for closing
10. “Client care” during the entire process

Accountability Structure:
The Administrative Coordinator & Real Estate Transaction Specialist reports to the Operations Manager and the companies' President and/or CEO.
Pay Structure:
The Administrative Coordinator & Real Estate Transaction Specialist gets paid a salary plus a per closing bonus based on performance and tenure. Base salary is $40,000 with $30/transaction bonus.

Challenges:
The Administrative Coordinator & Real Estate Transaction Specialist will often feel pulled in many directions at once, constantly having to prioritize, follow up, and re-prioritize. There will be times when the Administrative Coordinator & Real Estate Transaction Specialist must re-prioritize and re-focus "on the fly". He or she must be able to be distracted from a seemingly critical task, and yet return to it smoothly without getting flustered or stressed out. This role requires a person to be able to multi-task, and requires a very high level of responsibility.
Work schedule:
Monday - Friday: 8:00am - 5:30pm w/ 1 hour daily lunch
An occasional night or weekend day (this is few and far between and will know far in advance if needed)
All major holidays paid time
