I nearly flagged a client's pipeline as broken because it had no stage for scheduled or completed jobs.

Then I found out they run all their scheduling through a separate field service app. Their crews use it every day and it works fine.

The pipeline was not missing anything. It ended where the CRM's job ended.

If I had called that a gap, they would have paid to rebuild something they already had, in a tool that does it worse.

One client swore his was a disaster. Then I opened it up and found an AI phone system he had built that answers when nobody picks up, collects the caller's details, updates their record, and sends him a summary. It was running at 92 percent positive sentiment.

He had no idea it was good.

What he was actually missing was follow up. Nothing for new leads, nothing for people who did not answer, nothing for past customers.

We ran an audit last month and told the client everything was working.

They had moved their entire business to a new platform and wanted to know if anything broke in the process. We checked all of it, right down to QR codes printed inside physical course manuals that had already gone out to customers.

Everything held.
It would have been easy to make a healthy account sound like an emergency. We told them the truth, gave them a list of improvements for when they have time, and said none of it was urgent.

If an audit always finds a crisis, it is not an audit.

Nothing was built carelessly. Each piece made sense the day it was created. Nobody ever went back and deleted the old version.

And nothing ever happens to those people again.

They got called once, it went to voicemail, and they got moved to a stage where leads go to be forgotten.
