Totaling Lists in Business Central

Subtitle: Yet another gratuitous AI post, but this one isn't useless!

In Business Central lists are a key component of the software. You can view lists of customers, vendors, items. You can view lists of transactional history such as General Ledger, Customer Ledger, Item Ledger, etc. One of the shortcomings of lists is one cannot see totals of such lists. In the past, one had to export the list to Excel and sum it in Excel.

If you are still doing that today, please stop! There is a much better way using the Analysis button. You've probably inadvertently pressed this button and wondered what was going on as your beautiful list transformed into something else!

Let's take a real-life example. You are on the Item Ledger Entries page and have your filters set and you want to see totals. In the ribbon, click the Copilot icon, Analyze List button. This is located to the left of the magnifying glass in the upper left-hand portion of the screen.

Now type the magic words, "Total the Sales Amount (Actual) column" and press enter. Of course, you can total any column you wish. This is just an example.

Voila! or La Voila! (See image after the text of this post).

Now, you can modify the results as desired and save this analysis by clicking "Keep it" at the bottom.

You can create more views and use AI to assist. For example, you can ask Copilot to subtotal by salesperson code or anything thing you desire.

This is not limited to the item ledger, you can do this in the General Ledger or any other ledger for that matter. Just use plain English and type away and marvel at the results. I hope this saves you some time and gains you some efficiency.

The 26.2 update is a service pack update with mainly fixes. However, there are a few new features which I am excited about.

In "Analysis Mode", you can now add fields from related tables. For example, if you're viewing your Customer Ledger Entries and click the Analyze button, you will go into analysis mode. Let's say you can see the salesperson code, but you want the salesperson name. You can now add columns from related tables. See the screen shot accompanying this post. This is a nice change as in the past, we would have to get a developer to add the fields to the ledger entry tables. Now users can do this themselves.

Don't forget you can use Co-pilot along with Analysis mode to ask the system to create custom views. You can say things like "Subtotal Amount by Salesperson Code" and the view will be created for you. You can further customize the view manually if desired.

If you're not taking advantage of the new free Power BI Apps for Business Central, you are missing out! There are new Power BI analytics available with this release in the areas of inventory, purchasing, sales, manufacturing and projects.

Moving from GP to Business Central? Looking for a partner to implement Business Central?

Be sure to choose a partner that knows how to implement Business Central and has done a LOT of implementations. Only then, will one understand all of the nuances, gotchas and "I should haves" and "I wish I had known thats".

Implementing ERP is not intuitive and requires hard-won knowledge and experience. It helps tremendously if one has ridden the same bull a hundred times and knows how not to get thrown.

We have run across recent implementations carried out by partners who have implemented ERP for years successfully but are new to Business Central and they were not in good shape. A quick review of the database demonstrated a lack of understanding of basic set up by the partner. The setup is absolutely key to success and must be done right the first time to avoid endless correcting journal entries.

Knowing your former ERP or your industry are pluses but are not required for success. The most important skills are the ability to listen and understand your requirements and the know-how to carry this out in the most efficient and cost-effective manner, while maintaining a professional composure despite all and anything that can come up during an implementation.

There are infinite ways to screw something up and only a few ways to do it right and sometimes there is only one way. The other point in a partner is organizational and project management skill. Projects must be organized. An organized company, that hires organized people will carry out projects in an organized fashion.

That fellow with the disheveled hair, wrinkled shirt and mound of papers on his desk won't get the job done right, if at all.

Finally, an often-overlooked task, because often nobody wants to do it or doesn't see the full value, is user documentation. This would include procedure manuals for each department. One can quickly forget training or forget how to do a task that is done once a quarter or once a year. Knowledge loss when personnel leave or are promoted can be avoided by documenting procedures. "How do I?" is the most important question that must be answered in any role in an organization.

I hope these tips will be of use to you in choosing your Business Central Partner and with your implementation.

There are some fantastic Power BI Apps for Business Central written by Microsoft. This is available for Business Central 2024 wave 2 (version 25.1 and up).

The apps are free, but you will need minimally, a Power BI Pro license for each user who will use the apps.

There are apps for Finance, Sales, Inventory, Purchasing, Inventory Valuation, Projects and Manufacturing.

The visual graphs are striking and informative. This is a major value-add to Business Central.

The apps will need to be installed and configured. This is not difficult and can probably be done start to finish including setting up data refreshes and sharing with team members in a few hours.
