Before you start the truck after a good visit, stay parked for a few minutes and write three lines.

1. What happened. One sentence on who you met and what changed. "New buyer in purchasing, wants a quote by Friday."
2. What they asked for. Write it the way they said it, so you can use their words next time.
3. What you do next. One action and one date. "Send the quote Thursday, call Friday to go over it."

Put that follow-up on your calendar before you pull out. And if typing on your phone is what stops you, record a short voice note instead.

What's the one thing you always write down after a visit?

If you've ever spent the evening typing up the day's visits, you know the feeling. Nine stops, one laptop, and whatever you can still remember.

The time spent typing is only part of the cost. The bigger part is the detail that never gets logged: the offhand comment about a competitor, the quote promised by Friday, the name of whoever signs off.

Our new post has a four-number worksheet to size it for your own team, plus four ways to cut the typing without cutting the detail.

The accounts that scare most sales managers aren't the ones at risk of leaving. They're the ones that are fine.

Fine means the rep visits. The customer buys. Nobody complains. It stays that way for years.

It also means nobody's asked the right questions in a while. Nobody knows whether there's more to do there. The rep keeps showing up, takes the order, moves to the next stop.

Some of the best opportunities in a field sales territory are sitting inside accounts the team already has. They just look like steady customers instead of untapped ones — until someone starts paying attention to what the rep actually hears during those visits.

A customer tells your rep they're reviewing vendors before the end of Q3. Your rep hears it, files it somewhere in the back of their mind, and plans to circle back.

Q3 comes. The decision gets made. Your name wasn't in the conversation.

Buying window signals are some of the most valuable things a rep picks up in the field. They're also some of the most likely to disappear between the parking lot and the office. Not because the rep didn't care, but because there was no clean way to pass it forward before the next stop.

The teams that catch those windows aren't doing anything heroic. They just have a way to get the signal out of the rep's head the moment it happens.

Sunday night. You're trying to get ahead of the week.

You open the CRM to see where things stand across the territory. What you find is a mix of week-old notes, blank fields, and a few entries that say "left voicemail" and nothing else.

You go into Monday's team call flying blind. Again.

The managers who've stopped doing that aren't running tighter mandates. They're running a team where reps capture what happened while it's still fresh, and the picture is actually there when you need it. Friday afternoon, Sunday night, or whenever you need to know what's going on out there.

That's not a reporting win. It's just not starting every week guessing.

Most sales managers know which reps are struggling. They're the ones who bring it up.

The harder problem is the rep who never says anything. Not because things are going well, but because nothing in the system surfaces what's actually happening in their territory.

They're visiting accounts. Making calls. Hitting enough activity to stay off the radar. But the follow-through isn't there. The accounts are stalling. And the manager has no way to know until the quarter closes and the number doesn't.

Visibility into the field doesn't just help the reps who are thriving. It helps the ones who are quietly treading water, before it becomes a bigger problem for everyone.

In project-based sales, the rep isn't the only one who needs to know what happened at a visit.

Engineering needs it. The service team needs it. Wholesale needs it. And none of them want to wait until Friday's meeting to find out the project scope changed on Tuesday.

Our customer, HMC, was losing time and credibility to that gap. By the time the right people found out about a change, the window to respond had already closed.

They fixed it not by adding more meetings, but by making it faster to capture what happened right after it happened. Less than a minute per visit. Everyone in the loop before the rep's even back at the office.
