If your crew is on job sites all day, your office phone might be ringing at an empty desk more than you'd like to admit.

Most phone systems assume someone's sitting there to answer. Contractors don't work that way. Crews are spread across job sites, the office might have one person in it or nobody at all, and the phone is still set up like everyone's twenty feet from a handset. Calls end up going to voicemail, or customers start calling an employee's personal cell instead because that's the number that gets answered.

A lot of IT providers will tell you they're responsive and proactive. Fewer will tell you what actually happens in your first few weeks with them.

Here's roughly how it should go. The first couple of weeks are about getting a clear picture of what you're working with, a kickoff call, a full handover of your systems and vendors, and an early check on things like MFA and backups.

From there, the real cleanup happens over the next month or so. Backups get tested instead of assumed to work. Security tools get configured properly. Anything missing from the documentation gets filled in. This is usually when people start noticing fewer issues and faster responses.

By around 90 days in, things should feel settled enough to plan ahead instead of just reacting.

A look at a project our team wrapped up a few weeks ago. This is a small network rack we built for a client running out of a compact remote office.

The office runs entirely on WiFi, but they needed two separate networks: a guest network for visitors and a restricted network for staff devices, kept apart from each other for security.

We built that out with a Sonicwall firewall paired with Ubiquiti switches and access points. It's a clean, secure setup with just enough hardware for the space, no extra equipment to manage, and room to grow if they add a second office down the line.

Your server isn't going to send you a warning email before it fails.

Most hardware doesn't crash without warning. It usually gives small signs first: boot times get slower, fans run louder than they used to, storage stays close to full. None of it feels urgent on its own, so it gets ignored until the day it stops working completely.

Planning replacements on a schedule, instead of waiting for something to break, is what keeps an IT expense predictable instead of an emergency.

Here's a real-life story. A phishing email came in looking like a routine DocuSign request. One employee opened it and ran the attached file, and that was the entire way in.

No password was guessed. No Microsoft login alert went off. MFA was already turned on and didn't matter, because the attacker never needed to log in. They got into the computer itself, then moved into Outlook from there.

Inbox rules were set up to hide the outgoing messages, and the phishing emails went out to contacts outside the company in small batches so nothing tripped an alert. The business never noticed. Other companies did, after they started getting the same fake emails.

We helped a recent client with this one. Passwords and MFA were reset, the hidden rules were removed, and the access was shut down.

Here's something a lot of business owners don't realize about MFA: it does a great job stopping someone who only has your password. It wasn't built to stop what happens after you've already approved the login.

If someone on your team gets an email that takes them to a fake login page (which looks like Microsoft or a vendor), types in their password and approves the MFA prompt without thinking twice, the attacker gets the session, not just the password. From there, they can set up hidden inbox rules that hide certain emails or forward things out, so nothing looks wrong until a payment goes to the wrong place.

MFA is still worth having. But it's just one security layer, not the whole plan.

Here's something that surprises a lot of Microsoft 365 users. When a file gets deleted, whether by accident or by an employee on their way out, Microsoft keeps it around for a limited time. Usually somewhere between 30 and 93 days depending on the service.

After that window closes, the data is gone unless there's a separate backup in place. Version history can undo someone overwriting a document, but it won't bring back an entire deleted mailbox or SharePoint site.

Microsoft keeps the platform itself running. That's different from backing up your specific business data, and it's an easy line to miss until you actually need something restored.
