Seven Common Excel Mistakes To Avoid
Excel is a mighty powerful piece of software. When it comes to spreadsheets, there’s almost nothing it can’t do. But if you’re not using it properly, you won’t be able to use the program to its full potential. No matter if you’re a seasoned user or a first-timer, there are a few Excel mistakes you might have picked up. Here are a few common ones.

1. Not Organizing Your Spreadsheet
Always lay out your data with headings in row 1 and your first data record in row 2. There are very few exceptions to this rule. If you are creating a spreadsheet you intend to use for years, or you intend to depend upon, you must lay it out this way, or you’ll soon be pulling your hair out. Ensure your workbook is kept as neat and as tidy as your office desk. It’ll free you up to be more productive in your work.

2. Using Cell Formatting to Round Off Values
If you are using cell formatting to “round” your data, don’t expect the cells that sum them to be exactly correct. If you want to round your values, and have them show correctly, a better way is to use the round formula to display your values, instead of using cell formatting.

3. Using The Wrong File Type
Excel is only good as the files you use with it. No matter how much effort you put into your spreadsheets, if you use a wrong file format, some Excel features simply won’t behave. Similarly, spending all morning on the most finely-crafted spreadsheet in history is of no use if you save your file in the wrong format. Always begin with the newer .xlsx format, and familiarize yourself with the Save format options.

4. Using Excel When Another Program Will Do
Excel can kick the butt of most things, just don’t use it for tasks and reminders. Excel is fantastic for tables, formulas and charts. Task lists are best left to programs like Evernote and Things, which also integrate with your phone and calendar.

5. Using Data As Text
Getting data as text and not realizing it, then wondering why your values don’t add up right. In order for your calculations to be correct, you need to ensure numbers are correctly formatted.

6. Hardcoding Numbers
At times for one reason or another, formulas may be hardcoded with a value. However, if the spreadsheet author is still under the impression that a formula is still located there, that can have some unintended consequences.

7. Hiding Sheets/Rows/Columns
Hiding obsolete rows can be useful when there’s too much data, or your spreadsheet is just overwhelming. Keep in mind that while hiding sheets/rows/columns is not a mistake, it can be misleading. If the user modifying it is not aware of hidden items, it could have unintended consequences.

Automate processes focusing on time reduction of repetitive manual activities utilizing VBA programming in MS EXCEL and Macros/SQL in MS ACCESS.
• Mail list for union labor letter retrieved from SQL server took 3 days to complete manual formatting and editing. Automation programmed into background for formatting the list in Excel. Time reduction 3 days to 3 hours.
• Pay for Performance program. Design Access database to identify employees who exceeded work standards for daily tasks and bonus paid out in increments based on percentage above standard. Integrated results from web based time and attendance, Excel spreadsheets, and Access database. Time reduction 12 hours to 15 minutes.
• Sales Representative Report. Insurance company requested database designed to query mainframe and SQL server to integrate results and provide feedback to field agents on monthly leads accumulated and bonus status based on insurance policies sold from those leads.
• Incident complaints. Access database design with customized user interface entry form. Used to track customer complaints concerning field agent conduct. Used by corporate management to resolve issues with customers and provide corrective action to agents.
• Mail list for credit union letter retrieved from mainframe took 2 days to complete manual formatting and editing. Automation programmed into background for formatting the list in Excel. Time reduction 2 days to 30 minutes.
• Public Relations Redistribution. Access database design to assist management in delegating territory assignments to PR coordinators and level workload of each employee in the department.
• Return Rate Reporting. Access database design to target profitability of mail responses for renewal or new sales of insurance policies. Identifying low rates of return resulted in non-renewal of contracts with union groups and high rates of return resulted in contract renewal and price breaks on policies issued.

Production Tracker- project assigned to deliver details related to each production line.
*ManHrs- How many workers
*Labor$- costs per employee assigned based on their skill level and product mix. Did it meet standards?
*Productivity- Hours each machine ran and good lbs produced.
*Downtime- Hours each machine was down and causes.
*Scrap-Causes and percentage of overall lbs produced that had to be recycled per line.
*Kilowatts per Hour- Shift total for energy cosumed for production.
*Overall Scrap Totals per shift.
*Overall Machine Utilization per shift.
*Overall machine efficiency per shift.
*Total cost of labor per shift.
Results were used by engineering and plant management to make decisions on improvements to machinery or standard work practices, labor reduction or increase based on machines reliability to run good product or to meet scheduling and/or inventory demands.
