Most organizations pay for Microsoft 365 but use only about 20% of it — Copilot, Power Automate, Power BI, Planner, Bookings, Forms and more are already in your subscription, unused. That’s not a software issue; it’s a training and strategy gap. At Dillon Management Systems we help teams unlock the full value of what they’re already paying for by aligning tools to workflows, training users, and building practical adoption plans. Watch to learn how small changes can deliver big productivity gains and cost savings — then send a message and let’s discover what your team is leaving on the table.

You just overwrote three hours of work—don’t panic. OneDrive automatically saves every version of your files. Right-click any file and choose Version History to view and restore previous saves with one click. This works in SharePoint too. If you deleted a file, check the Recycle Bin—items are kept for 93 days. Microsoft 365 is protecting your work; most people just don’t know where to look. Follow Dillon Management Systems for more M365 tips or send me a message if you need help restoring files or setting up recovery best practices.

Missed a meeting? Don’t waste time watching the full recording — ask Copilot in Teams. Open the meeting recap and ask questions like “What decisions were made?” or “What action items were assigned to me?” Copilot pulls answers from the transcript in seconds so you’re caught up in two minutes instead of sixty—giving you hours back each week. At Dillon Management Systems, we help organizations unlock Copilot across Microsoft 365. Follow for more tips or send me a message to get started.

Still chasing approvals over email? Watch how Power Automate fixes that in about ten minutes. See a flow built to trigger when a file is added to SharePoint or a form is submitted, send an approval inside Teams, let the approver tap Approve or Reject on their phone, automatically log the result, and instantly notify the requester. No email chains, no follow-ups, and a full audit trail. At Dillon Management Systems we automate workflows like this every week — send a message to get started.

Hot take: if your SharePoint is full of nested folders, you’re making work harder. Folders bury documents five clicks deep — metadata frees them. Swap folder chaos for columns like Department, Status, and Project, then build filtered views so anyone finds the right file in seconds. Bonus: Copilot gets smarter when your documents include clear metadata. At Dillon Management Systems, we design SharePoint that actually works. Message me to get started.

Tired of scrolling through endless Teams chats to find one file or decision? Stop. This quick video shows how to find what you need fast: open the Teams search bar, type a keyword, and apply filters by person, date, channel or files only. Learn the faster trick — open any chat’s Shared tab to see every file and link ever posted there. No more digging, no more “can you resend that?” At Dillon Management Systems we help teams work smarter with Microsoft 365. Follow for more tips or send a message to get started.

Getting generic answers from Copilot? The problem isn’t the tool — it’s your prompt. In this quick tip, I show a simple three-part prompt structure that instantly upgrades Copilot responses in Word, Outlook, and Teams: role + context + format. Don’t just say “summarize this document.” Say who you are and what you need — for example, “I’m presenting to executives. Summarize this document in 3 bullet points focused on cost and risk.” That small change leads to clearer, more actionable outputs. At Dillon Management Systems we train teams to get real ROI from Copilot. Follow for more practical prompts or send me a message to get started.

Permissions are the most misunderstood — and most dangerous — part of SharePoint. Get them wrong and sensitive files are exposed; get them right and your site becomes secure and trustworthy. In this quick video I’ll explain the three default permission levels you must know: Full Control (admins only), Edit (modify content but not settings), and Read (view only). I’ll show the common mistake of sharing with individuals instead of groups and how to fix it by creating Microsoft 365 Security Groups so permissions update automatically when people join or leave. You’ll also learn how to break permission inheritance on folders or libraries for HR or finance documents (Right-click → Manage Access → Stop Inheriting Permissions) and why quarterly permission audits matter—check Site Settings → Site Permissions and limit Full Control to two or three people. Follow these simple steps to stop accidental exposure and make your SharePoint secure and manageable.

Think automation only works in the cloud? Think again. In this quick guide you’ll learn how Power Automate Desktop lets you automate any repetitive desktop task—clicking, copying, pasting, filling forms, moving files—without writing code. Download it free at powerautomate.microsoft.com (Windows 10/11), open the app, click New Flow, and start in the flow designer. Use the left-panel library of pre-built actions (files, web, Excel, system, and more) or hit the Recorder to capture your exact clicks and keystrokes. Stop recording and watch your manual steps become editable actions. Add If conditions, For Each loops, and variables to handle logic (e.g., loop through Excel rows, skip empty cells) and run the flow with Play. You can even schedule flows with Windows Task Scheduler to run automatically each morning. Tip: start by automating the task you do most often—if you do it more than twice, it’s worth automating. Fast, simple, powerful automation for your PC—no code required.

Ever walked out of a Teams meeting and immediately forgot half of it? Microsoft Copilot fixes that. This quick demo shows how to enable Copilot (admin turns it on in Microsoft 365), open the Copilot panel during a Teams call, and start transcription so Copilot listens in real time. See how to ask Copilot live to summarize discussion points, identify who said what, and pull up suggested prompts. After the meeting, access the Recap from Calendar to find the full transcript, AI summary, and auto-generated action items you can edit, assign, or export to Planner or Loop. Missed something? Use transcript search and timestamp jumps to replay the exact moment. Stop drowning in follow-up emails—use Copilot to capture decisions, assign tasks, and stay present in meetings.
