At CTI, we believe there's something energizing about being in the same roomβ€”sharing ideas, running demos, and talking through what's next for the meetings industry. That's why our team is packing our bags to connect face-to-face this September.

Planning, delivery, and follow-up aren't three separate projects. They're one lifecycle, and treating them as disconnected is where most events lose control.

πŸ˜… Here's a pattern we see constantly: a team plans a great program, runs a smooth registration, delivers a flawless live event... and still ends up scrambling, because none of it was managed as one connected process.

We just published a full breakdown of the event lifecycle. The seven stages every conference, congress, or corporate meeting moves through:

🎯 Strategy & objectives: define your goals and KPIs before anything else.
πŸ“Š Planning & project setup: budget, timeline, ownership.
🎀 Program & content: sessions, speakers, scheduling.
πŸ“£ Registration & marketing: one journey, not disconnected touchpoints.
πŸ› οΈ Operational prep: run sheets, testing, escalation paths.
🚦 Live delivery: clear command structure when things go sideways.
πŸ“ˆ Post-event follow-up: reporting tied back to your original goals.

We also cover the 10 most common mistakes organizing teams make between these stages β€” and how a connected system (not five separate tools) closes those gaps. ⚠️

Whether you're a PCO, association, or in-house events team, this is the framework worth bookmarking before your next planning cycle.

πŸ€– AI isn't coming to events. It's already here.

The real question isn't whether AI belongs in conferences.

It's how it can make life easier for organizers, reviewers, presenters, and attendees by:

βœ… Streamlining abstract and submission workflows
βœ… Supporting reviewers with faster content evaluation
βœ… Improving access to scientific and educational content
βœ… Reducing repetitive administrative tasks
βœ… Freeing up valuable time for strategic work

The best use of AI isn't replacing people. It's empowering event professionals to focus on what matters most: creating meaningful experiences, fostering collaboration, and advancing knowledge.

That's exactly why we developed cOASIS: Intelligence.

Built directly into the cOASIS platform, our AI-powered capabilities help make meeting management more seamless, accessible, and efficient, helping organizations manage growing event complexity with confidence.

🚨 Most conference problems don't start on event day. They start months earlier.

A missed speaker deadline.
An overloaded registration form.
A schedule with no buffer time.

None of these seem critical when they happen. But by opening day, they can turn into the reason your team is firefighting instead of managing.

That's why we've put together a practical guide to planning and managing large-scale conferences, based on our experience supporting hundreds of scientific, medical, and corporate events.

In this guide, you'll learn how to:

βœ… Define clear goals, audiences, and event formats
βœ… Build realistic budgets, timelines, and ownership structures
βœ… Choose the right venue, suppliers, and event technology
βœ… Manage abstracts, peer review, speakers, and program delivery
βœ… Create a smooth registration and attendee experience
βœ… Reduce risk and stay in control on event day

Whether you're planning a scientific congress, association meeting, or corporate conference, this guide will help you replace guesswork with a structured process. πŸ“‹

65% of event planners are using AI. Only 16% say it's actually working. πŸ“Š

That's not an AI problem. It's a workflow problem. Bolting a tool onto a broken process just makes the broken process faster.

That's the whole idea behind cOASIS Intelligence.

It's a new module inside cOASIS, and it's designed to keep growing. The first release is already live: Abstract Submission Review (Flash), which screens abstracts for authors and allows abstract submitters to run an AI-powered integrity check on their abstract using Flash Review before final submission. Next up: Abstract Review Screening and Content Integrity Review for manuscripts, are planned for future releases.

No separate tool. No new login. Just AI added, layer by layer, to the platform your team already runs the program on.

Here's what that looks like in practice:

βœ… Authors catch formatting and content issues before submitting, not after your team flags them manually.

βœ… Reviewers spend less time on administrative screening and more time on scientific judgment.

βœ… Program committees get consistent, repeatable checks instead of relying on whoever happens to catch it.

βœ… Every AI-powered check lives inside the same admin interface, the same reporting, the same login your team already knows.

βœ… The module grows with your program: today it's abstract screening, next it's review support, and it keeps expanding from there.

Ever walked into a conference room full of strangers and watched everyone gravitate toward the people they already know? πŸ’¬

That’s exactly why conference icebreakers matter.

While attendees come to events for education and insights, many are equally focused on making meaningful connections. The challenge? Networking doesn't always happen naturally. A well-designed icebreaker can turn awkward introductions into valuable conversations and set the tone for a more engaging event experience.

In our latest blog, we share 10 practical conference icebreaker activities that help attendees connect, participate, and get more value from your event:

βœ… Speed Networking to spark new connections
βœ… Conference Bingo to encourage interaction across the audience
βœ… Poll-Based Icebreakers for instant engagement
βœ… One-Word Check-Ins to capture audience sentiment
βœ… Hybrid-friendly activities that engage both in-person and virtual attendees

We also cover how to choose the right icebreaker based on your event format, audience size, and objectives, plus tips for ensuring every activity feels purposeful, inclusive, and easy to execute.

Because great conferences aren't built on content alone. They're built on conversations, connections, and engagement.

🌍 Bringing together a global scientific community requires many moving parts working seamlessly behind the scenes.

We were delighted to support the Alzheimer’s Association International Conference (AAIC) 2026 in London, helping to facilitate the processes that support a successful scientific program.

Our contribution included:

πŸ“„ Session submission & review.
πŸ”¬ Abstract submission & review.
πŸ“‹ Professional project management.
🧩 Seamless abstract session building.
πŸ“± Mobile publish to keep attendees connected with the latest programme information.

From managing scientific content to ensuring programme information was readily accessible, every element worked together to support a seamless experience for organizers, presenters, and participants.

πŸ’™ A big thank you to the Alzheimer's Association team for the opportunity to support such an important event.

Last Friday, the CTI EU team swapped meeting rooms and laptops for sunshine, fresh air, and an evening by the Danube as we celebrated the summer season together.

For the more adventurous among us, the day kicked off with some wakeboarding (with varying degrees of success πŸ˜‰), followed by a relaxed evening of great food, drinks, and conversations as we watched the sunset over the river.

While we're passionate about delivering seamless events and technology solutions for our clients, we know that strong teams are built just as much outside the workplace as they are within it. Spending time together away from our day-to-day projects helps us strengthen connections, build trust, and create the collaborative spirit that drives everything we do.
