The summer slump shows up the same way every year, and most practices respond to it the same way every year too. After it’s already happening.

A few things that actually help: ask for the fall rebooking the moment someone cancels for summer, not weeks later. Look at last year’s June–August numbers by clinician so you know who tends to dip and who doesn’t. And treat lighter weeks as planning time instead of dead time.

None of this stops summer from being summer. It just means you’re not caught off guard by it.

Most retention problems aren’t a people problem. They’re a systems problem.

In this clip, Nicole McCance points to something simple: a follow-up strategy on no-shows and cancellations can drive as much as a 20% revenue bump.

But the real theme of our conversation together goes deeper. It’s about building practices where the data catches what’s falling through the cracks, so you’re not relying on memory, gut feeling, or hoping someone speaks up.

That’s the thread through our chat with Nicole McCance: retention, contractor management, performance conversations — all of it gets easier when you can actually see what’s happening in your practice.

Join Heard for a free webinar on June 23 at 1 PM CT built specifically for group practice owners. We’ll pull from data across nearly 2,000 therapists in private practice to show you where the money is going and how to get it back.

What we’ll cover:
* How your session fees and income compare to real benchmarks
* What’s driving overhead up as practices scale
* The tax and accounting checklist before adding a clinician in a new state

Free to attend.

Most practice owners know their data is important. But when it comes to marketing decisions, they’re still going off instinct.

More inquiries don’t fix a high churn rate. More ad spend doesn’t fix a broken intake. The practices that grow without chaos start with 5 numbers, read them every month, and let those numbers drive every marketing call they make.

We put together a free guide with of SamBright that walks you through exactly which metrics to watch, what each one is telling you, and what to do next when it comes to marketing for your group practice.

Tracking numbers doesn’t make you less of a clinician. It makes you a better leader.

PracticeVital Co-Founder Tory Krone joined Linzy Bonham on the Money Skills for Therapists Podcast (ep. 211) to talk about the metrics that actually matter in a group practice (churn, retention, rebooking, referral quality) and how paying attention to them moves you out of guesswork and into steadier decisions.

If data has ever felt cold or disconnected from the work you care about, this episode reframes that.

Good numbers don’t replace your clinical instincts. They help you act on them.

When a clinician’s retention dips, the worst thing you can do is wait and see.

The number itself isn’t the problem. It’s a signal. And depending on when clients are leaving, it’s pointing at something very specific: early fit, treatment transitions, scheduling friction. The pattern tells you where to look.

PracticeVital gives you the data to have that conversation well. Not a performance review. A coaching conversation, grounded in something real.

Your practice is probably fine right now. But “fine” has a way of quietly unraveling before you notice.

The practices that stay ahead aren’t just good at their craft, they check their numbers. Weekly. Monthly. Annually. Not because they love spreadsheets, but because regular data check-ins catch the stuff you’d otherwise miss: the clinician who’s struggling to rebook, the retention dip that started three months ago, the revenue gap that looks small until it isn’t.

Swipe through for the workflow we use with group practices to build this habit — daily, weekly, monthly, and annual reviews, each with a specific job to do.

If you want to build this in your practice, we’d love to show you how PracticeVital makes it automatic.

When a client keeps cancelling, most clinicians wonder if it’s something they’re doing. Sometimes it is. More often it’s a pattern that’s playing out across the whole team — and without data, no one can tell the difference.

What changes when you have visibility into cancellation trends isn’t just the numbers. It’s the 1:1 conversation. The supervision session. The clinician who stops carrying something that was never personal to begin with.

Cancellations are also the first metric to move when a client’s engagement starts to slip — weeks before anything else shows up. Catching them early means your team can respond early.
