πŸ”΅ The most common question we hear from SMB IT leaders:

"We know we need Microsoft 365 governance β€” but where do we actually start?"

The answer is a focused 4-week framework. Not 6 months. Not an enterprise compliance team.

Week 1 β€” Understand your current state. Permissions audit, guest account review, risk mapping, and quick wins that reduce your most immediate exposure.

Week 2 β€” Build your data classification layer. Sensitivity labels in Microsoft Purview so Copilot and your DLP policies know what is sensitive.

Week 3 β€” Active data protection. DLP policies that block external sharing of sensitive content and retention policies that define how long content is kept.

Week 4 β€” Copilot readiness and documentation. Validate every control, enable Copilot for a pilot group, and document everything in a governance playbook.

We just published the complete step-by-step guide covering every action across all four weeks.

πŸ”΅ Did you know Microsoft Purview is already included in most Microsoft 365 Business Premium licenses?

Most SMBs are paying for it and have never opened it.

Microsoft Purview is Microsoft's data governance and compliance platform. It includes three tools every SMB needs:

Sensitivity labels β€” classify documents as Public, Internal, Confidential, or Protected Health Information so Microsoft 365 and Copilot know how to handle them
DLP policies β€” prevent sensitive data from being emailed externally or shared to unauthorized recipients
Retention policies β€” define how long content is kept and what happens at the end of its lifecycle

Here is why this matters right now β€” none of these controls are active by default. You have to configure them. And if you are planning to enable Microsoft Copilot without configuring them first you are enabling AI in an ungoverned environment.

Copilot uses your sensitivity labels, DLP policies, and permissions as its governance context. Without them it has no way to distinguish between a public document and a patient record.

We just published a full plain-English guide explaining what Microsoft Purview is, what each capability does, and exactly how to get started.

πŸ€” Quick question for anyone managing Microsoft 365:

When did you last log into compliance.microsoft.com?

If the answer is never β€” you are not alone. Most SMBs have never visited the Microsoft Purview compliance portal even though it is included in their Microsoft 365 Business Premium licenses.

Tomorrow we are publishing a full plain-English guide on what Microsoft Purview actually is, what it does, and why it must be configured before you enable Copilot or any AI tool in your Microsoft 365 environment.

Have you configured Purview in your environment? Let us know in the comments.

πŸ₯ A question for healthcare business owners and IT managers:

Do you know if your Microsoft 365 environment is actually HIPAA compliant β€” or do you just believe it is because you have the right licenses?

These are very different things.

A healthcare services organization came to us ahead of their cyber insurance renewal. They had Microsoft 365 Business Premium. They assumed the compliance tools included in those licenses were protecting their patient data.

When we assessed their environment we found:

β€” Zero sensitivity labels applied anywhere in the tenant
β€” 3 external sharing links containing patient documents
β€” Zero DLP policies β€” patient data could be emailed externally with no warning
β€” Stale guest accounts from contractors who had left over a year ago
β€” SharePoint permissions that gave broad access to patient-related content regardless of clinical role

Four weeks later every one of these gaps was closed. The cyber insurance renewal was confirmed. A Copilot pilot was approved for administrative staff. And for the first time the IT coordinator could answer the compliance question with confidence.

πŸ”΅ If you are using Power BI and wondering what Microsoft Fabric means for your business β€” here is the clearest answer we can give:

Power BI is not going away.

Microsoft Fabric is not a replacement for Power BI. It is a unified analytics platform that includes Power BI as one of its six workloads. Your existing reports, dashboards, and datasets still work exactly as they did before. Your licenses are still valid.

What Fabric adds is everything around Power BI β€” data engineering, a unified data lake called OneLake, real-time analytics, and a significantly more mature governance layer.

For most SMBs the decision comes down to this:

If your analytics needs are primarily reporting and dashboards from a manageable number of data sources β€” stay with Power BI for now and focus on governing it properly first. Row Level Security. Sensitivity labels. Consistent access controls. These are the foundations of secure analytics regardless of which platform you use.

If you have complex data spread across multiple systems, are planning Copilot adoption, or have compliance requirements around data lineage and classification β€” Microsoft Fabric is worth evaluating now.

We just published a full plain-English guide on the Microsoft Fabric vs Power BI question for SMBs β€” including what has actually changed in 2026, what the licensing differences mean, and exactly what to do next.

🏭 True story from a manufacturing client:

Their most critical Power Platform app β€” a quality inspection tool used by 40 production staff every single day β€” went down on a Monday morning.

The person who built it had left the company 6 months earlier. It was built directly in Production. No documentation. No version history. No way to roll back.

The IT manager spent 3 days trying to recover it from memory. The entire production floor recorded quality data on paper forms for a week.

When we assessed their Power Platform environment we found this was just the most visible symptom of a much deeper problem:

β€” 60 Power Apps with no documented owners
β€” 120 flows including 23 that nobody could identify the purpose of
β€” 18 flows sending data to unauthorized external services
β€” Zero DLP policies anywhere in the tenant
β€” Everything built in a single environment with no Dev or Test stage

Three weeks later everything was governed, documented, and running through proper ALM pipelines with full rollback capability.

Zero production incidents in the 60 days since.

πŸ”΄ A common situation we find when working with growing SMBs:

An HR manager asks us why their SharePoint permissions feel "a bit off."

We run an assessment. We find:

β€” A finance folder accessible to 80 employees who never needed access
β€” 12 external guest accounts still active from vendors who stopped working with the company 18 months ago
β€” A legal document library where broken permission inheritance means it is accessible to everyone in the organization
β€” A senior leader's personal drive shared with "anyone with the link" from a presentation three years ago

None of this was deliberate. It all accumulated through normal everyday activity.

But here is the thing β€” the moment Microsoft Copilot is enabled, every one of these gaps becomes an active data exposure risk. Because Copilot does not create new access. It just surfaces what already exists.

We wrote a plain English guide on SharePoint permission sprawl β€” what it is, why it happens, and how to fix it before Copilot finds it first.

🚨 Are you planning to enable Microsoft Copilot for your team?
Before you do β€” here are 5 warning signs that your Microsoft 365 environment is not ready.

Most business owners we speak to have at least 3 of these in their environment and do not know it until after Copilot is live.
The problem is that Copilot does not create new access to your data. It just surfaces your existing access faster and at scale. So if your permissions are a mess, your data is unclassified, or old vendors still have access to your environment β€” Copilot will find all of it.

We wrote a plain-English guide covering all five signs and what to do about each one.

πŸ”΄ True story we see regularly with SMB clients:

An employee builds a critical Power Automate flow that processes expense reports for 80 people.

They make a small update one afternoon.
It breaks.

Nobody can fix it because:
β€” There is no documentation
β€” There is no previous version to roll back to
β€” The original builder left the company

The solution that was saving the team 10 hours a week is now causing 20 hours of panic.

This happens when Power Platform has no environment strategy. When everything is built directly in Production with no Development or Test environment in between.
The fix is not complicated. But it has to be in place before something breaks β€” not after.

Is your Power Platform environment set up this way? Our free assessment will tell you in one session.
