One of the biggest ideas in Master Your Mindset, a book by HIP co-founder Luke Infinger, is that growth rarely comes down to one magic tactic. Over the years, we have worked with practices in similar markets, with similar opportunities, clinical ability, and even marketing budgets, but with very different outcomes. The difference was often not what they knew. It was how they thought, how clearly they set goals, and how consistently they executed.

Luke writes, “The key to success lies in your determination, setting clear goals, honing your business acumen, and employing proven systems.” That idea still shapes a lot of how we think about growth at HIP. Marketing matters. Systems matter. Leadership matters. But none of those things work especially well if the person leading the practice is constantly second-guessing decisions, resisting change, or waiting for perfect conditions.

The practices that grow the fastest tend to have leaders who are willing to be honest about where they are, decide where they want to go, and then build the discipline to close the gap. They keep learning. They make decisions. They improve their business acumen. And when they find a system that works, they actually use it long enough to see the result.

That is really the heart of Master Your Mindset. Better results usually begin with better thinking, followed by better ex*****on.

You spend years as a resident on $50k. Then you make attending and it jumps to $50k a month.

Then the first tax bill shows up.

This doctor did what a lot of new attendings do. Bought the nice car, the house, the boat. Then he wrote a big check to the government and remembered something his dad used to say: it’s not how much you make, it’s how much you hang on to.

That’s when it clicked. He didn’t have an income problem. He had an outflow problem with taxes.

And even after he figured that out, he says he still couldn’t bring himself to hand six figures to a financial planner and just trust them with it.

Read your last follow-up as if you were the patient.

Does it answer anything? Does it remind you why this conversation matters? Is it easy to reply?

“Just checking in” is a habit. Helping someone with the question they already asked takes a little more attention. That’s the work.

Here is the trap.

A practice wants more growth, so the answer seems obvious: buy more attention.

But if the phone is not being answered, marketing just sends more people into the same bottleneck.

Based on a 250-day working year, the estimated revenue leakage can be significant:

Solo practice
50 average daily calls
30% missed call rate
15 missed calls a day
$900 estimated lost revenue a day
$225,000 estimated lost revenue a year

Mid-sized clinic
150 average daily calls
23% average missed call rate
34.5 missed calls a day
$2,070 estimated lost revenue a day
$517,500 estimated lost revenue a year

Large medical group
500 average daily calls
16.5% average missed call rate
82.5 missed calls a day
$4,950 estimated lost revenue a day
$1,237,500 estimated lost revenue a year

That does not mean marketing failed.
It means marketing exposed a constraint.

What should your team do next?

Look at answer rate.
Look at what happens after a missed call.
Listen to the conversations.
Train the team to take ownership of the moment instead of hoping the next lead makes up for the last one.

Growth does not just come from more opportunities.
It comes from handling the opportunities you already have.

Before you ask what a lead cost, ask what happened to that person.

Did your team reach them? Was a consult confirmed? Did they attend? Did they start?

Pick one recent group of inquiries and follow it all the way through. You may find the next thing to fix before you spend another dollar.

Stop guessing what content gaps your competitors left wide open. Start with ChatGPT to map competitor content, feed it the right prompts, and surface the topics they missed. Generate your first draft, then humanize it. Strip the robot speak, inject your brand voice, and let the personality shine through. Next, run it through Surfer SEO and chase that optimization score until you hit the green zone. Surfer tells you exactly what Google wants to see, from keyword density to content structure. Boom. You just built a piece that ranks and resonates. No fluff, no endless revisions. Just smart research, strategic prompts, and the right tools doing the heavy lifting. Your move: pick one competitor today, find their gap, and fill it better.

Dr. Shawn Rice opened Rice Orthodontics in Paducah, Kentucky about 25 years ago, straight out of school, just him and his wife. He spent the first eighteen and a half years in a professional building attached to a strip mall. The practice grew, but never the way he wanted, and he had not run real marketing in a decade.

In 2019 he built a new office. The rule of thumb is that a move buys you twenty percent. He got thirty.

Then he started marketing with us. The offer was a free initial exam, which every orthodontist in the country already gives away. He grew another thirty percent on it. Then his production grew 101 percent in nine months.

Here is his explanation, not mine: "I've seen other people, they may have had the same offer, but they didn't get the same results."

The offer was never the variable. Who sees it is the variable, and whether the practice behind it converts what comes through the door.

Dr. Kristen Knecht opened her startup six weeks before COVID shut everything down. She held off on marketing because she was worried about overhead, which is the right instinct and also the reason she sat at eight to ten starts a month. She brought us in six months in. The first month we ran ads she did twenty starts. She averages twenty five to thirty now, and she quit her corporate job inside a year.

Dr. Carter Thomas was on pace for $4.5M when his pacing shifted hard enough to point at $9.5M. Pacing is a projection until the year closes. He closed it there, and he is pacing $16M now.

All three are still in the same towns, with the same competitors they had before. What changed is that they stopped guessing at the four things that decide a year: who the ads reach, what happens when the phone rings, whether the consult converts or just ends politely, and whether a patient who loves her result is ever asked for a referral.

Most practices are not short on demand. They are short on a system to capture it.

Splitting your front desk into a patient care center sounds cold.

It does the opposite.

When one team owns the phones and another owns the lobby, both get better, and production tends to double.

Patients have literally sent flowers to the scheduler who answered their call.

The impersonal move is making one overwhelmed person do both while the phone rings through your lobby.

Ask most owners how fast their front desk returns a lead and they guess.

We stop guessing.

We secret shop the practices we partner with and score every touch.

We have seen the same team score a 17% one week and an 83% another, on the exact same process.

What gets inspected gets improved.

Your front desk is already being scored every day, by the patients who never call back. Who is grading yours?
