Iโve seen this happen many times.
A spreadsheet starts with one simple purpose.
Track project costs.
Then another one is created for manpower. Another for materials. Another for change orders. Someone maintains a separate project status sheet. Finance has its own numbers. Field updates are coming through WhatsApp and email.
And honestly, there is nothing wrong with that in the beginning.
The problem comes when the business grows and those spreadsheets become the way the business operates.
A management meeting starts with:
โข โWhich number is correct?โ
โข โWhat has been billed?โ
Is this change order approved?โ
Why is labor cost higher on this project?โ
Can we get the latest project status?โ
And suddenly, people are spending more time collecting and reconciling information than actually using it.
This is particularly common in growing painting and coating contractors.
More projects. More crews. More PMs. More materials. More locations. More compliance requirements.
The complexity grows faster than the processes.
Thatโs usually the point where I believe companies should stop asking:
And start asking:
From the field to project management.
From project management to procurement.
From procurement to finance.
And finally, from all of that to management.
ERP can help connect those pieces, but implementing an ERP isn't the real objective.

Spreadsheets may have helped you grow.
But at some point, the business needs a system that can grow with it.
