Agency owners and coordinators: your customer list already exists. Bring it with you.

Upload the CSV or Excel export from the system you use now. OneTerp reads your column headers and suggests how they map, and you check them. Departments that were exported as separate entries, like a college and its finance office, are grouped into one customer with a billing group for each. Then bring in the schedule, and jobs that repeat on the same day and time get proposed as a series for you to confirm.

Your file is read in your browser, and running the same file again won't make duplicates.

Agency owners and billing staff: some of your interpreters are 1099, and some are W-2.

For contractors, OneTerp collects approved earnings into a payout batch. You choose the payment method, download a bank-ready ACH file, and mark it paid when the money goes out. For W-2 staff, the payroll worksheet works out regular, overtime and double-time hours from your own thresholds, starting from your state's defaults. Export it for Gusto, ADP or QuickBooks Payroll.

Agency owners and billing staff: when an invoice is past its due date, OneTerp can send the reminder for you.

You choose the days. The default is 1 and 31 days past due. Every night OneTerp checks QuickBooks first, so a customer who already paid never gets a reminder. Customers who haven't paid get an email from your own address with the invoice attached as a PDF. Reminders are off for every customer until you turn them on.

Agency owners and billing staff: a 6:00 PM job that runs until 9:00, with a night differential starting at 8:00.

The interpreter closes out the job from their phone. OneTerp splits the time at 8:00, bills the first two hours at your base rate and the last hour with the differential, and has the customer charge and interpreter pay ready when you open it. You review, approve, and build the invoice in your own template. Email the PDF, or sync it to QuickBooks. QuickBooks sync is included.
