Listen, no shame if you’re still managing utility rates in a spreadsheet. We work with utilities of all shapes and sizes, and yes, some are still using spreadsheets to get them through the day.
(We can help you upgrade your experience, by the way.)
But if you’re still managing rates in a spreadsheet, how much work does it take to update rates when a new rate schedule is approved?
For a small utility, that might mean updating formulas for tiered usage, adjusting minimum charges, accounting for different meter sizes, and making sure residential and commercial customers are billed correctly.
Then someone has to double-check that every formula works before the next billing cycle.
That's a lot of responsibility resting on a few cells.
And that’s just for one service. What if you had water and gas—or maybe water, gas, and electric—and had updated rates for each?
The more you have to manage, the harder it becomes to keep everything straight in a spreadsheet.
A modern utility billing/CIS like Utility Process Management (UPM) handles this differently.
With UPM, you can configure rate rules directly in the system instead of rebuilding spreadsheet formulas. The system applies the appropriate rates, calculates charges, and keeps track of changes.
That means:
- Less manual calculation and rework
- More consistent application of approved rates
- Better visibility into how a customer’s bill was calculated
- A cleaner process when rates change
- Less dependence on the one person who understands the spreadsheet
And everyone one of those could be critically impacted by employee turnover.
But you don’t need to be a large utility to benefit from a proper billing system. In fact, smaller teams may have the most to gain because they don’t have extra people available to double-check calculations or troubleshoot billing errors.
You can use spreadsheets to help analyze rates if you want, but maybe reconsider having them run your utility billing.
If your current process depends on complicated formulas, manual workarounds, or one employee who knows how everything works, it might be time to see how much easier billing could be with a modern CIS.
We’re happy to show you what UPM is capable of whenever you’re ready:
Utility Process Management connects billing/CIS, metering, work orders, payments, and customer portals to reduce manual work and speed meter-to-cash.
