Spreadsheet or CRM?

At what point should a business stop managing customers in spreadsheets and move to a CRM?

For me, there are a few telltale signs:

❌ You're searching multiple spreadsheets to find customer information
❌ Follow-ups are being missed or late
❌ Team members have different versions of the same data (!!)
❌ Reporting takes hours to put together
❌ Customer notes live in emails, notebooks, and spreadsheets

Spreadsheets are a great tool, but as your business grows, they often become a bottleneck rather than a solution.

A CRM doesn't just store customer information—it helps organize communication, automate repetitive (often, boring) tasks, and gives your team visibility into what's happening with every customer at their fingertips.

So here's my question:

How many spreadsheets is your business currently using to track customers, projects, or work orders?

(Be honest. No judgment.)

🔐 Fix IT Friday: Workplace Security Edition 🔐

Security issues rarely announce themselves. They don’t always look like hacks or big dramatic breaches. More often, they look like small habits that slowly open the door.

Like:

Sharing passwords “just this once”
Leaving devices unlocked at the desk
Skipping software updates because “it’ll restart everything”
Clicking links without a second thought during a busy day

The truth is, most workplace security risks don’t come from sophisticated attacks. Instead, they come from everyday conveniences winning over caution.

This week’s reminder: make the secure choice the easy choice. What can that look like?

Use password managers instead of sticky notes
Enable MFA wherever possible
Lock screens every time you step away
Keep systems patched and monitored

Security isn’t a one-time setup. It’s a daily habit.

Because the strongest firewall in your business isn’t a tool… it’s your team!

🔒 Security & Reliability
⚡ Speed & Convenience

Let’s be honest — in today’s business world, BOTH matter tremendously.

Security and reliability keep your business protected, your data safe, and your systems running when you need them most.

Speed and convenience keep teams productive, customers happy, and everyday tasks from turning into headaches.

The real goal is finding the balance between the two… but for the sake of the debate:

👇 IF you could only pick ONE, which would win out and why?

Think CRMs are only for big sales teams with even bigger budgets? Think again.

Even small businesses can benefit from having a better way to stay organized and keep up with customers. In fact, small businesses benefit even more with good organization, solid business proccesses and simple yet powerful automations. Leveraging these can help small businesses compete with bigger competitors, successfully.

Here are 3 things Zoho CRM can help with 👇

1️⃣ Keep customer information organized
Stop searching through texts, sticky notes, emails, and spreadsheets trying to remember conversations, estimates, or service history. Keep everything in one place. This helps teams communicate more efficiently with less disconnect.

2️⃣ Stay on top of follow-ups
Whether it’s calling someone back, sending an estimate, or checking in after a job, Zoho CRM helps make sure things don’t fall through the cracks. Service company that needs to schedule jobs? CRM can do that. Product company that needs to provide customer support follow up? Zoho CRM has you covered on that too.

3️⃣ Save time with automation
Simple automations like appointment reminders, email follow-ups, and task notifications can free up hours every week. Automations also decrease human error. Businesses are built on humans, not machines but having support when needed is essential.

You don’t have to be a huge company to benefit from better systems.
Sometimes small improvements in organization make the biggest difference in day-to-day business. Don't underestimate the amount of return that you can get by becoming more efficient. More efficient in business = more opportunity for growth.

Reality: That’s one of the most expensive assumptions a business can make.

Outdated hardware and aging infrastructure don’t just “keep working”—they slow everything down, increase security risks, and fail at the worst possible time.

We see it all the time:
• Networks held together by old cabling
• Equipment long past its prime
• Systems one update away from breaking

Just because it hasn’t failed yet doesn’t mean it’s not costing you.

Proactive upgrades will always be cheaper than reactive downtime.

Not all cables are created equal—and your equipment definitely notices.

The speed and quality of your cabling directly impact how well your technology performs. Whether it’s your network, phones, or connected devices, the wrong cable can bottleneck even the most advanced equipment.

Did you know that Cat5 cabling typically caps out at 100 Mbps, while Cat6 can support speeds up to 10 Gbps (over shorter distances)?

Here’s why cabling matters more than most people think:

• Speed limitations – Older cabling simply can’t handle modern data demands. Upgrading to Cat6 or Cat6a allows for faster data transfer and better overall performance.
• Signal quality – Poor or damaged cables can cause interference, dropped connections, and inconsistent speeds.
• Future scalability – The right infrastructure today saves you from costly upgrades tomorrow.
• Equipment performance – Your hardware is only as good as the connection it runs on. Slow cabling = underperforming tech.

Don’t let outdated cabling hold your systems back.

🔌 A solid cabling foundation keeps everything running faster, smoother, and more reliably.

“You’ve got to start with the customer experience and work back toward the technology.” — Steve Jobs

It’s easy to get caught up in tools, platforms, and the latest tech trends. But great IT isn’t about the technology first, it’s about the people using it.

When you focus on the end user experience, everything else falls into place: smoother workflows, fewer frustrations, and solutions that actually get used.

Technology should support the business, not complicate it.

Are your systems built around your users… or your tools?

Your email says more about your business than you think.

Using a custom domain email (example: [email protected]) instantly builds credibility, trust, and professionalism. It shows clients you’re established, invested, and serious about what you do.

Free email accounts might be convenient, but they can raise questions. A branded email reinforces your identity, keeps your communications consistent, and helps your business stand out in a crowded inbox.

It’s a small upgrade that makes a big impact.

Ready to level up your brand presence? Start with your email. Need help? Reach out.

We understand small business need to juggle cost effective solutions while having robust possibilities with their business solutions. Looking for a solution that provides everything all in one place? If that is what you're looking for, let us guide you through some of the best options.
