Adding a second, third, or fifth location to a client's backup setup is more complicated than increasing the number of agents in your console.

When new acquisitions are added or new offices open, the IT environment rarely matches across all locations for one customer.

One location may use Hyper-V, another may use a physical server, and a third may use a mix of both plus a NAS. And each site stores different data, so each needs its own retention period.

Similarly, when an office closes, its systems and data must be removed without affecting open locations.

Quick Tip: Naming convention for your backup jobs

A naming convention for your backup jobs may sound minor, but it can make backup management much easier.

For environments with one server per customer, a naming convention can be as simple as ClientName-Server.

For clients with multiple sites, we recommend a slightly different naming convention that also includes location information, for example ClientName-LocationCode-Server.

Having an intuitive, agreed-upon naming convention ensures that, even if oversight of the backup service changes, everyone will know which backup job belongs to which customer and location.

Although a dental group with five practices appears as one customer with one invoice, its five servers, each with a different IT history, are not as easy to manage.

One office runs its practice management server on Hyper-V. Another uses a physical server. A third office has a mix of both, plus a NAS that was added a few years ago. Each office was opened or acquired at a different time and has its own backup questions.

🔹If three locations go down on the same morning, which one gets restored first and who makes that decision?

🔹When one practice closes, how do you remove its data from a cloud storage account that the other four still use?

🔹Why can a backup job report success every night yet still restore a database that won't start?

Microsoft extended the security update period for Windows 10 by one year.

But don't take that as permission to slow down your migration to Windows 11.

Let's debunk some myths that surfaced with this announcement.

🚫 Myth: ESU buys you time, so the migration can wait.

✅ Reality: ESU only covers security patches; it doesn't restore Microsoft's technical support. Additionally, auditors and cyber insurers may still flag unsupported software, even if it's receiving patches.

🚫 Myth: If a client's hardware can't run Windows 11, ESU solves that problem, too.

✅ Reality: If the hardware doesn't meet the TPM 2.0 and Secure Boot requirements, the client will eventually need new hardware.

🚫 Myth: This is a low-stakes IT housekeeping decision.

✅ Reality: Treat the migration like any other major change. Back up your data before making any changes, and run a restore test right after to ensure you can roll back to Windows 10 if necessary.

Although the ESU extension provides more time, it's not a reason to stop planning the migration to Windows 11 for your clients.

Adding S3-compatible cloud storage to a backup job usually means coordinating between two (or more) dashboards - one for your backup software and then a separate login for the storage provider itself.

Ransomware doesn't skip your backups anymore. It looks for them first.

94% of ransomware attacks in 2024 included an attempt to compromise the victim's backups, and 57% of those attempts worked (Sophos, 2024). That's the entire reason immutability exists as a concept.

But did you know that there are three distinct ways to build an immutable copy into your backup strategy?

🔒 Storage-level immutability, using something like S3 Object Lock, so a copy is locked for a set retention period and nobody, including an admin with valid credentials, can touch it.

🔒 Software-enforced immutability, built into the backup platform itself through retention locks and integrity checks.

🔒 Air-gapped or offline copies, which aren't immutable in the object-lock sense but are unreachable because there's no network path to them at all.

What's the difference between the 3-2-1-1-0 and 3-2-1 backup rule?

The 3-2-1 backup rule still holds. The "1" and "0" in 3-2-1-1-0 are not a new extension. They specify what a properly implemented 3-2-1 setup should have included all along: at least one copy that cannot be modified or deleted, and proof that your restores work.

94% of ransomware victims had attackers attempt to compromise their backups, and 57% of those attempts succeeded (Sophos, 2024).

Since ransomware has become more effective at locating and eliminating backup copies before triggering encryption across the rest of the network, identifying these threats specifically has become more important.

A properly implemented offsite copy was never intended to be a folder that your attacker could access. The point was isolation from the start. The only thing that has changed is how aggressively that isolation is tested in a real-world scenario.

So, if your current setup cuts corners on isolation or skips restore testing, that's where it will fail, regardless of whether you call it 3-2-1 or 3-2-1-1-0. Backup jobs that combine local and cloud backups in one job can help with the simple implementation of this rule. A synced file updates in real time. So does ransomware.

This is why sync tools are not the same as backups.

When a synced folder is encrypted or a file is deleted, the sync service copies that change to all other locations. There's no independent copy sitting untouched somewhere.

A real backup creates separate copies at set intervals, so if something goes wrong, you have an unaffected version to roll back to.
