New menu design in gSignature – even faster work with email signatures 🚀

We have just released a large set of changes to the gSignature interface. This update significantly speeds up the daily work of administrators, marketing, HR, and IT departments – wherever fast and error-free management of professional e-mail signatures and templates is important.

What has changed?

🔹 New, refreshed look of the main menu

The interface has been redesigned so that the most important features are at your fingertips. Working with the application is now smoother, more intuitive, and less time-consuming. It is easier to find sections related to templates, users, installations, and settings.

🔹 Improved Employee and Template Editor tabs

We have introduced improvements that make it easier to work with user data and signature installations. The most important of these is the “Save and reinstall” feature – with one click, you can save changes to a template and reinstall them for all assigned employees.

This saves a lot of time, especially when you run e-mail signature campaigns, change banners, or update CTAs.

🔹 Two modes for creating signatures – choose the style that suits you best

The e-mail signatures tab now features a clear selection of design paths:

• Generator – quickly create signatures from ready-made blocks, ideal if you need something simple and fast,

• Visual Editor – full control over layout and styles, great for complex HTML projects or more advanced company signatures.

Both modes support personalization and dynamic variables – the key to automatically creating consistent signatures.

🔹 New Variables menu
Complete organization of personal, company, and contact data.

You can:
• drag and drop variables,
• search for data faster,
• personalize without coding.

This is especially important if you are creating a professional email signature for large teams and want to avoid manual editing.

What do you gain?

✔ Faster, more intuitive work

✔ Modern interface and clear layout

✔ Easier template creation and reinstallation

✔ Full personalization thanks to the new Variables menu

✔ greater control over branding and creation of better HTML e-mail signature templates

This update is another step towards making gSignature the most intuitive email signature generator for Google Workspace and Microsoft 365.

Which of the new improvements will make it easier for you to work with signatures in your organization?

Email signatures in intercultural communication: South Korea

How to adapt your email signature to Korean business culture?

South Korea is a country with a unique business culture, where etiquette rules are of great importance. When working with Korean companies, it is worth paying special attention to the way you conduct email correspondence.
Email signatures play an important role here, as they not only provide basic information, but also build the sender's image as a professional who respects hierarchy and conventions.

So how do you prepare an email signature that complies with Korean standards? In this article, we will look at the most important rules.

Key elements of an email signature in South Korea

1. Full personal details

Koreans attach great importance to formality, so the HTML email signature should include the sender's full details:

First and last name (preferably in Latin characters and optionally in Korean transcription),
Position and company name,
Full address of the company's registered office,
Contact phone number (often also the number for the KakaoTalk app, which is more popular than WhatsApp).

2. Hierarchy and titles

Hierarchy plays a key role in Korean companies. If you are corresponding with someone in a higher position, emphasizing your role and function in the company increases your authority. For this reason, it is important to ensure that your email signature clearly indicates your professional position.

3. Visual elegance and readability

While in some countries more elaborate e-mail signatures are the norm, in South Korea minimalism and readability are valued. This means:

✅ Simple, elegant design,
✅ Avoidance of excessive colors,
✅ Clear separation of information sections.

It is also important to include the company logo, which increases its recognition. An email signature generator allows you to easily implement this solution throughout your organization.

What to avoid in an email signature in South Korea?

❌ Abbreviated or informal versions of names,
❌ Excessive graphics and animations in e-mail signatures,
❌ Quotes and unnecessary embellishments,
❌ Messenger addresses that are not commonly used in Korea (e.g., Skype, WhatsApp – instead, it is worth mentioning KakaoTalk).

Automating email signatures for Korean companies

Thanks to modern tools such as email signature generators, companies can ensure consistent communication and easily implement uniform email signatures. This is particularly important in large organizations, where every message should reflect the company's professionalism and visual identity.

Why is it worth adapting your email signature to the Korean market?

It strengthens the company's image as a professional partner.
It facilitates building relationships with Korean contractors.
It ensures compliance with local business standards.

Working with companies in South Korea requires knowledge of their business culture – an email signature is one of the tools that help build good relationships from the very first contact.

Adapting your email signature to local standards is the key to effective communication. Do you have experience working with Korean partners? Share your thoughts in the comments!

🎃 Halloween w biurze i w skrzynce mailowej? Tak, nawet nasze stopki mają dziś przebranie! 👻

subtelne animacje w brandowych kolorach z halloweenowym akcentem,

mini banery promocyjne z hasłami w stylu “No tricks, just great deals”,

humorystyczne CTA, które pasują do tonu komunikacji („Don’t ghost your leads 👻”).

🎃 Zespół sprzedaży może dodać baner z CTA „Book a demo before it disappears”
🕷️ HR może wprowadzić hasło „Join our (not so spooky) team!”
🧙‍♀️ Dział marketingu – zaproszenie na webinar z hasłem „Tricks & Tips that work all year”

✅ Szybkie wdrożenie – dzięki generatorowi i dynamicznym zmiennym w gSignature, aktualizacja trwa dosłownie kilka minut.

✨ Kilka prostych pomysłów na „halloweenową” stopkę

Dodaj dyniowy akcent do banera promocyjnego (np. w lewym rogu lub w tle CTA).

Zastąp tradycyjne „Pozdrawiam” czymś w stylu „Have a fang-tastic day!”.

Użyj zmiennych, by automatycznie podmienić hasło sezonowe po 31 października.

Przetestuj A/B dwa warianty banera – klasyczny i halloweenowy – i sprawdź CTR.

Halloween to moment, w którym można połączyć marketingowy instynkt, kreatywność i technologię.

👻
A Ty?

💬 New feature in gSignature: “Messages” – ready-made email content in one click

We have just introduced a new “Messages” feature that extends gSignature beyond email signatures alone.

From now on, you can not only manage e-mail signatures, but also create and share ready-made message templates that your employees can insert directly into an email with a single click.

📨 Greetings, confirmations, invitations, follow-ups, HR messages—you can now prepare all of this content once and share it with your entire team.

Each message can contain text, HTML, images, links, and CTAs, so it retains its full branding and professional look.

🧠 Gemini AI – content ready in seconds
The biggest convenience is the integration with Gemini AI.
Just type in a prompt, e.g.

👉 “create a webinar invitation template with a CTA to register”
and Gemini will automatically generate a complete, editable message layout.

This is the perfect solution for sales, HR, or marketing teams that send repetitive messages but want to maintain consistency and aesthetics.

⚙️ How does it work?

The administrator creates a template in the Messages tab – manually or with the help of Gemini AI.

Templates can be assigned to specific users, departments, or roles.

Users insert content with a single click from the Chrome extension or Outlook Add-in.

Everything works automatically, maintaining company colors, links, and CTAs.

💡 Why is it worth it?

✅ Ready-made messages inserted in seconds

✅ Consistency in communication and branding

✅ Full integration with Chrome and Outlook

✅ Time savings in HR, sales, and customer service departments

✅ Automation thanks to Gemini AI

The new Messages tab is now available in the gSignature panel, right next to the e-mail signatures section.

Once you've created your first templates, you can immediately assign them to users and test them in real messages.

📍 This is another step towards full automation of email communication — from signatures to dynamic, consistent messages created with the help of AI.

And you?

Which company messages would you like to automate first — greetings, follow-ups, or perhaps meeting invitations?

🚀 New Microsoft integration in gSignature – full employee data synchronization in one click!

With the latest update, we have introduced a feature that many administrators using the Microsoft 365 and Exchange Online ecosystem have been waiting for.

From now on, you can authorize and synchronize employee data from Microsoft with gSignature with a single click – quickly, securely, and completely automatically.

🔄 What's new?

The new “Authorize and Sync with Microsoft” option allows you to connect user accounts to gSignature in a fully automated way:

- employee data (first name, last name, position, email, department, phone number) is synchronized automatically,

- all information remains in the Microsoft cloud as the master source,

gSignature retrieves data in read-only mode, so nothing is modified on the Microsoft side.

The result? Every email signature in the organization always contains up-to-date contact information, consistent with the brand book and company structure.

💡 Why is it worth it?

✅ Automation – no manual updates or CSV imports.

✅ Security – data is only read, not edited.

✅ Consistency – all signatures across the organization are up-to-date and uniform.

✅ Time savings – administrators can focus on configuring templates rather than managing data.

⚙️ How does it work?

1️⃣ Select in gSignature: Settings → Integrations → Microsoft 365

2️⃣ Click “Authorize and Sync with Microsoft”

3️⃣ Log in to your Microsoft 365 or Entra ID administrative account

4️⃣ Done – data syncs automatically in the background

The whole process takes less than a minute, and all signatures in your organization become fully synchronized with Microsoft 365.

The new integration is another step towards full automation of email signature management in gSignature.

Thanks to it, maintaining branding consistency and data accuracy across your organization has never been easier.

Are your email signatures already synchronized with Microsoft 365?

Check out how the new integration works and see how one click can change the way you manage communication in your company.

🌍 Email signatures in global teams: how to design them so that they work in every language and culture?

Every day, global organizations send thousands of messages to customers, partners, and colleagues around the world. And each of these messages ends with something seemingly small but strategically important: an email signature.

In multilingual and multicultural teams, this space for communication is of great importance. A well-designed e-mail signature can build trust, support your image, and streamline processes, while a poorly designed one can lead to misunderstandings or a loss of brand consistency.

At gSignature, we know that an email signature is not just contact information, but also an element of identification and organizational culture. That's why we've compiled key principles for designing signatures that will work in Warsaw, Dubai, or Monterrey.

🌐 Why it's worth tailoring signatures to global teams

Every market has different expectations.
What is perceived as professional and direct in Poland may require more formality in Germany, and a different tone of politeness in Arab countries.

Add to this different phone number formats, different legal regulations, and different writing directions (LTR/RTL), and it quickly becomes clear that a “one-size-fits-all” template is not enough.
That's why it's worth designing a flexible, localizable, and scalable signature that works regardless of language and culture.

🧩 5 rules for effective email signature localization

1️⃣ Language and tone – Adapt the style to roles and countries. Sales departments may have more active CTAs (“Schedule a demo”), while support departments may have more subdued ones (“Contact us”).

2️⃣ Contact details – Standardize the format of numbers (E.164), add country prefixes, and specify when to show the department number and when to show the personal number.

3️⃣ Links and CTAs – Direct recipients to local versions of pages and materials. Add UTMs to analyze the effectiveness of campaigns in different regions.

4️⃣ Legal clauses – Design the legal module as a replaceable element. Different countries = different requirements.

5️⃣ Accessibility – Take care of contrasts, alt texts, and dark mode testing. Global teams = different devices and user needs.

🔠 Support for RTL languages and different alphabets

For languages such as Arabic or Hebrew, the signature must be able to “reverse” the order of elements.
When designing templates in gSignature, you can define modules that automatically adjust the layout to the direction of writing, while maintaining the aesthetics and consistency of the brand.

🤝 Automation that eliminates errors

In global teams, manually editing signatures is a recipe for chaos. That's why it's crucial to use dynamic variables that automatically retrieve employee data (name, position, number, department).

In gSignature, everything syncs with a central source—such as Google Workspace, Microsoft 365, or Calamari—so every e-mail signature is up-to-date, consistent, and brand-compliant.

🌍 Segmentation and domain rules

For organizations operating in multiple markets, the following model works well:

Internal signature – lighter, without marketing banners.

External signature – with CTA, banner, and local link.

Domain rules in gSignature allow you to assign different templates to different audience groups, e.g., customers from France receive a signature in French, and partners from Spain receive a signature with a local number and a link to the Spanish website.

🧠 QA and cross-language testing

Before you implement your signature globally, test it in different email clients: Gmail, Outlook, Apple Mail, Thunderbird.

Check:

- the length of fields (German positions tend to be longer),
- the rendering of Cyrillic and diacritical characters,
- the correctness of links and UTMs,
- contrasts and appearance in dark mode.

💡 Conclusions

An email signature in an international organization is not only about aesthetics, but also a tool for building trust and order in communication.

A universal layout, local content, and automatic distribution allow every team to communicate professionally—without the risk of errors and inconsistencies.

At gSignature, we enable full signature localization—from RTL languages to automatic variables and domain rules.

This ensures that your signatures work seamlessly in any culture and language, supporting global brand consistency.

🚀 New onboarding in gSignature: get started with email signatures in 5 minutes

Does setting up email signatures across your entire company have to be time-consuming and complicated?

Not anymore—we've introduced a brand new, intuitive onboarding process in gSignature that guides you step by step from login to your first installed e-mail signature.

🔹 How does it work?

After logging in, you will see the Start tab with a guide and a progress bar in the side menu. This lets you know right away what you have already completed and what still needs to be done.

The entire process consists of three simple steps:

1️⃣ Configuring your first template – you can generate it automatically, create it from scratch in the editor, or skip it and come back later.

2️⃣ Adding employees – choose to integrate with Google Workspace, Microsoft 365/Exchange Online, or upload a CSV list if your organization has strict security policies.

3️⃣ Installing the signature – one click and e-mail signatures are available to all users in the organization.

The whole process takes about 5 minutes and eliminates the need to manually copy the code or ask employees to set it up themselves.

Why is it worth it?

✅ Faster start – from day one, the entire company communicates consistently.

✅ Uniform, professional appearance – consistent with the brand book and visual identity.

✅ Automation and personalization – data in e-mail signatures is retrieved dynamically.

✅ Full process control – a progress bar reminds you what still needs to be done.

Practical application scenarios:

👩‍💻 IT departments: fewer tickets and problems with manual configuration, because e-mail signatures are implemented automatically.

🎨 Marketing: you immediately gain the ability to include CTAs and banners in your campaigns – without additional integrations.

👥 HR: new employees have a professional HTML email signature from their very first email, and recruitment and employer branding become more consistent.

🌍 Global teams: onboarding works with both Google Workspace and Microsoft 365, so you can easily implement the solution regardless of the platform you use.

📌 Want to see how the new onboarding will work for you?

Log in, go to the Start tab, and see how long it will take you to launch company signatures in your organization.

💡 And if you want, we'll suggest the best path for your team—whether you're in IT, marketing, or HR.

🚀 Case study: Automatic email signatures at EURO-INWEST PROJEKT – fewer clicks, more consistency

Email communication is part of everyday life in every company. But what happens when each employee sets up their own email signature?

➡️ lack of visual consistency,

➡️ different phone number formats,

➡️ outdated logos,

➡️ chaos when changes are made (e.g., new department number or seasonal campaign).

The EURO-INWEST PROJEKT GRZEGORZ ENGLER team faced this challenge. E-mail signatures were updated manually, and different email programs often caused formatting issues.

Solution: gSignature

The company decided to implement an email signature generator with fully centralized management. The results?

✅ Automatic installation of signatures in Gmail/Outlook – no need for employees to copy code

✅ 100% image consistency – identical logo, colors, and GDPR clauses in every email

✅ Global updates – one click from the administrator = change across the entire organization

✅ Fewer errors and no outdated elements
Customer feedback

“Not having to set up signatures manually is the biggest advantage.”
— Marek Maj, EURO-INWEST PROJEKT GRZEGORZ ENGLER

How did the implementation look like?

🔹 Creating a template in a no-code editor (no HTML)

🔹 Dynamic fields: name, position, phone number, email address

🔹 Role and department mapping – different CTAs, one brand

🔹 Central installation via integration or browser extension

🔹 Automatic update rules – changes always apply to the entire company

Results

⏱ 0 minutes spent by employees on setting up signatures

🎨 100% visual consistency across all correspondence

📈 Faster campaigns – banners and CTAs in e-mail signatures can be replaced globally in seconds

Conclusion?

With gSignature, email signatures become a predictable and fully controllable element of communication, and teams gain time for what really matters.

📌 Want a similar effect for your company? All you need is one template and one implementation – the rest happens automatically.

A new update that gives you full control over your email signatures

🚀 We are introducing a set of improvements that change the way you manage signatures. They make working with gSignature faster, simpler, and more flexible.

🔧 Key new features:

✔️ Faster account creation – efficient registration and profile creation process

✔️ More stable connections to the generator and other services

✔️ Smooth template transfer – without losing the appearance and layout

✔️ Improvements in the Gemini AI editor – greater convenience when working with content

✔️ Simpler management of templates and ready-made designs

✔️ Modern Addons interface – clear and intuitive

🔀 The biggest change? The ability to freely set the order of elements in the signature. Thanks to variables, you can decide where banners, links, or disclaimers will appear. You create the layout that best suits your goals.

👉 Examples of use:

- start the signature with a banner and place the link below – ideal for marketing campaigns

- add a disclaimer above the graphic – always visible and compliant with legal requirements

- different layouts for different departments – e.g., HR can focus on informational disclaimers, and marketing on banners that increase CTR

📷 New test views in the app will allow you to compare layouts and choose the ones that work best in practice.

This update is another step towards full automation and personalization of email communication. Thanks to it, the signature is no longer a static element of the message, but becomes a dynamic tool supporting the business strategy.

🎯 Email signature planner for Q4: how to use email signatures in seasonal campaigns?

The fourth quarter is the busiest time of the year for marketing – holidays, Black Friday, Cyber Monday, conferences, and year-end closings. This is when the email signature becomes a micro-carrier for campaigns, reaching customers, partners, and employees exactly where they receive their messages – in their inbox.

In our latest blog post, we show you how to plan your entire quarterly communication cycle in email footers step by step:

✅ from the holiday calendar (Halloween, Black Friday, Christmas, New Year),

✅ through the preparation of template variants (external campaign and internal “light” ones),

✅ to banner rotation and QA checklists.

Why is this important?

🔹 Well-planned e-mail signatures mean hundreds of additional exposures per day,

🔹 consistent branding in external and internal communication,

🔹 ready-made seasonal templates eliminate last-minute changes,

🔹 central management and CTR measurement allow you to see what really works.

With the Q4 e-mail signatures planner, you get a simple structure:

📌 a base template for everyday use,

📌 seasonal variants for key events,

📌 domain rules and audience segmentation,

📌 QA process and measurable KPIs.

🚀 The result? Aesthetic, consistent, and fully measurable communication that truly supports your sales and image goals—without chaos and last-minute manual changes.
