Kalye POS Inventory System

Stock levels can be adjusted in four different ways depending on the type of adjustment required (audit corrections, wastage, branch transfers, or incoming supplier orders).

Here is a comprehensive guide on how to perform each type of inventory adjustment:

1. Periodic Audits & Stocktakes (Routine Corrections)
Best for: Periodic physical audits, end-of-month counts, or correcting general database/actual discrepancies.

This is the primary method for making sweeping bulk adjustments to inventory levels.

Navigate to the Count Sheet: Go to Inventory > Inventory Count (/inventory/stocktake).
Start a Stocktake Session: Click Freeze Snapshot. This freezes the expected quantities in the system at that exact moment to prevent mid-count discrepancies.
Record Counted Quantities: Physical counters can inspect the shelves and enter the actual physical quantities counted for each product.
Save Draft / PDF: Staff can click Save Draft to record their progress, or click Print / PDF to print a high-fidelity physical count sheet for the floor.
Reconcile (Commit Adjustments): Click the Reconcile button. The system will display:
Total expected vs. counted items.
Total shortages and surpluses.
Net Valuation Impact (calculated from unit cost).
Submit: Once committed, the system automatically adjusts the live stock levels to match the counted values and logs an entry in the History Audit Trail.

2. Logging Spoiled or Damaged Goods (Wastage Log)
Best for: Deducting items due to spoilage, theft, expiration, or customer returns.

If stock is reduced due to damage, you should log it immediately under wastage:

Navigate to Wastage: Go to Inventory > Wastage Log (/inventory/wastage).
Log Wastage: Click Log Wastage.
Enter Details:
Select the target Product.
Select the Branch where the wastage occurred.
Enter the Quantity and select a Reason (Expired, Damaged, Theft, etc.).
Submit: This immediately deducts the quantity from the specified branch's inventory and calculates the financial loss.

3. Stock Transfers (Moving Stock Between Branches)
Best for: Moving stock from a central warehouse to a retail location, or rebalancing levels between stores.

Navigate to Inventory Overview: Go to Inventory > Overview (/inventory/overview).
Open Action Menu: Click the three dots (...) actions button on the right side of the product row.
Select Transfer Stock:
Select the Source Branch (from where stock is subtracted).
Select the Destination Branch (to where stock is added).
Enter the Quantity to transfer.
Submit: The system adjusts the stock levels at both locations instantly.

4. Supplier Deliveries (Replenishment)
Best for: Increasing stock when receiving shipments from procurement partners.

Navigate to Purchase Orders: Go to Inventory > Replenishment (or /inventory/purchase-orders).
Receive Order: Open the pending Purchase Order corresponding to the incoming delivery.
Mark Received: Verify the delivered quantities against the purchase order and mark it as Delivered/Received.
Automatic Addition: This adds the items directly into the destination branch's inventory levels.
TIP

Offline Support: If you are in a cold storage room or warehouse with spotty Wi-Fi, you can still perform stock counts, transfers, and wastage logs! The app automatically queues your adjustments in local IndexedDB storage and syncs them with Firebase the moment your connection is restored.

Guide: Processing POS Orders in KalyePOS
This guide covers the complete workflow for handling sales in the Point of Sale (POS) interface.

1. Adding Items to the Order
Browse: Use the product grid or category tabs to find items.
Search: Use the search bar for quick SKU or name lookup.
Customize: If an item has options (modifiers), a dialog will appear allowing you to select choices (e.g., Size, Toppings).
Quantity: Use the + or - buttons in the order summary to adjust quantities.
2. Customer Management
Linking a customer enables loyalty points and credit lines.

Search/Select: Click the User/Search icon in the order header.
Add New: If the customer isn't in the system, use the Add Customer button to fill in their name and contact info.
Subscriber Benefits: Once a customer is selected, you can see their:
Current Loyalty Points
Remaining Credit Limit
3. Applying Discounts and Vouchers
Per-Item Discount
Hover over an item in the cart and click the More (...) icon.
Select Price Override.
Enter a new Fixed Price or a Percentage (%) discount.
Press Enter to apply.
Order-Level Discounts
In the summary footer, click on Discounts.
Custom Discount: Enter a name and value (Fixed or %).
Voucher Code: Type or scan the voucher code in the input field and click Apply.
Redeem Points: If a customer is selected, enter the number of points to redeem for a cash discount.
4. Payment and Finalization
Click the Initialize Payment or Checkout button.
Select Payment Method:
Cash: Enter the amount received from the customer. The system will calculate the change automatically.
GCash / Digital: Select this to initiate a QR-based or online payment gateway.
Credit Line: (Subscribers only) Deducts from the customer's credit balance.
Note: If the sale exceeds their limit, a Manager PIN will be required to authorize the transaction.
Split Payment: Allows you to pay using multiple methods (e.g., 500 in Cash and the rest via GCash).
Complete Payment: Click the final button to commit the sale.
Receipt: A receipt dialog will appear. You can print it, send it via email, or close it to start a new order.
TIP

TIP: Use the Hold Order button to save a draft of the current cart if the customer needs to step away. You can resume it later from the Held Orders list!

HOW TO ADD PRODUCTS

Guide: Adding Products with BOM and Options in KalyePOPS
This guide provides step-by-step instructions on how to manage your product catalog, including setting up recipes (BOM) and customizable product options.

1. Adding a Basic Product
Navigate to the Products section in the sidebar.
Click the Add Product button (or the + icon).
Fill in the Basic Information:
Name: The display name in the POS.
SKU: A unique identifier (click the refresh icon to auto-generate).
Category: Organized by your store's categories.
Price: Your selling price.
2. Setting up BOM (Bill of Materials / Ingredients)
Use this for items you "produce" from other products (e.g., a "Cup of Coffee" made from "Coffee Beans" and "Milk").

Scroll down to the Ingredients / Components section.
Click Add Ingredient.
Search for the ingredient product (ensure the ingredient exists as a
raw
or prep product first).
Specify the Quantity required for one unit of the final product.
Yield: Standard is 100%. Adjust if there is wastage during preparation.
Usage Type:
core-ingredient: Essential for the product.
take-out-packaging: Deducted only for take-out orders.
Auto-Costing: Notice that your product's Cost field will automatically update based on the costs of your ingredients.
3. Creating Product Options (Modifiers)
Use this for choices like "Size", "Add-ons", or "Sugar Level".

Find the Product Options section in the form.
Click Add Option Group.
Group Name: e.g., "Milk Options" or "Extra Toppings".
Selection Logic:
Single
: Customer must pick only one (e.g., Size).
Multiple
: Customer can pick many (e.g., Extra toppings).
Choices: Click Add Choice:
Label: e.g., "Oat Milk".
Price Modifier: Enter a positive value (e.g., 10.00) to increase the price.
Inventory Link (Optional): If this choice uses stock, click the link icon to select an inventory product and specify how much to deduct.
4. Production Flow
Go to the Inventory menu and select Production.
Select the Final Product and the Quantity you produced.
Click Produce.
The system will automatically subtract ingredients (BOM) and add the produced quantity to the final product's stock.
TIP

TIP: Always ensure your ingredients have Track Inventory enabled so the system can alert you when you're running low on supplies!
