📢 What is a System Announcement?
In a PABX System, a system announcement is basically a pre-recorded voice message that the phone system plays automatically.
Think of it like:
“Welcome to our company…” or “All operators are busy…”
⚙️ How It Works
1. 🎙️ You Record a Message
Someone (usually admin/technician) records a voice message into the system.
Example:
“Thank you for calling. Press 1 for sales, press 2 for support.”
2. 🧠 The System Stores It
The iPECS system saves that message in its memory like a voice file.
3. ☎️ A Call Comes In
When someone calls your business:
The system detects the incoming call.
4. 🔊 The Message Plays Automatically
The system decides:
Which message to play
When to play it
For example:
During business hours → “Welcome…”
After hours → “We are closed…”
5. 🔀 Caller Can Respond (Optional)
If it's an interactive announcement (IVR):
Caller presses buttons (1, 2, etc.)
System routes them to the right person/department
🧩 Where Announcements Are Used
📞 Auto Attendant (IVR)
Greets caller and gives options
⏳ Call Waiting / Queue
“Please hold, your call is important to us”
🚫 After Hours Message
Plays when office is closed
🔁 Call Routing
Directs calls based on time or input
🧠 Simple Analogy
Think of it like a smart receptionist that never sleeps:
It greets people
Gives directions
Transfers calls
Plays messages when no one is available
🔧 In Technical Terms (but still simple)
Messages are stored as system prompts
Triggered by call flow programming
Controlled via:
Time schedules
Incoming call routes
User input (DTMF tones)
