Hot take: most trade businesses don't have a software problem. They have a setup problem. The software is often capable of everything they need.

The issue is that it was configured around someone's idea of the workflow, not the actual one. Or it was set up in a rush to meet a go-live date. Or the team was trained once and then left to figure it out.

Six months later, half the team has gone back to texting job details and the other half is maintaining a parallel spreadsheet. That's not failure. That's what happens when implementation is treated as a one-time event instead of a structured process.

The businesses that get the most out of their systems are the ones where someone made sure the setup matched reality, and then held the line on how it was used. That second part is harder than any software configuration.

A tradie said yes to three "quick extras" on a job last week.

None of them made it onto the invoice.

Not because he forgot. Because by the time invoicing came around, he couldn't remember exactly what was agreed, didn't want an awkward conversation, and the job was already closed.

That's not unusual. It's one of the most common ways trade businesses lose margin - not dramatically, but one uncharged extra at a time.

Two or three missed variations a week. Across a year. It adds up to tens of thousands off the bottom line without a single bad job.

The fix isn't complicated. Log it when it happens. Confirm it in writing before you do the work. Keep it visible inside the job so it doesn't disappear at invoice time.

For trade businesses running vans all day, that's not a line item you can ignore. And it's not just fuel - wages, insurance, compliance, software. The overhead stack has been creeping up quietly for the past two years.

The problem isn't that costs are rising. It's that most trade businesses haven't updated their rates to keep pace.

If your labour rate was set 18 months ago, you're probably undercharging, not because your pricing is wrong in principle, but because the inputs have shifted and the rate hasn't moved with them.

EOFY is the right moment to check this. Not to do a big pricing overhaul, just to ask one honest question: have our costs moved more than our rates this year?
