730+ systems built. 8 years. 7 industries.

Those are the numbers on our website, and they are true, and they are also the least interesting thing we could tell you.

Here is the one we are actually proud of.

Clients who hired Accucia Softwares Pvt. Ltd. in the early years are still working with us. One manufacturing partnership is past its seventh year and the platform we built then now runs operations across multiple locations abroad.

We say that because of what it rules out.

It rules out a system that got abandoned in month four. It rules out disappearing after go-live and leaving somebody with a support inbox.

It rules out the quiet failure nobody reports, where the software still runs and nobody opens it, which is the normal outcome given most businesses use less than 30% of the software they pay for.

A manufacturing client of ours used to take two days to send a customer a price.

Not because anyone was slow.

The enquiry came in, someone looked up the rates, someone else checked whether that customer had a special price agreed last year, a senior person approved it, and somewhere in the middle of all that a factory visit happened.

Two days was normal. Everyone in their industry took about that long.

Today the same quotation takes minutes.

We have worked with Utech Waterproofing for over seven years now. That change is the one everybody remembers, and I want to explain why it mattered, because it is not the reason most people assume.

When a customer asks four suppliers for a price, they are usually deciding while they wait. The first sensible quote to arrive sets the shape of the conversation.

Everyone else is comparing themselves to it.

So a supplier who replies in minutes is not simply faster. He is in the discussion while it is still open, and the others are arriving to a decision already half made.

💡 That is what the speed bought.

Not saved admin hours. More work won.

The same system later grew to run their operations across multiple locations in the United States. Same platform.

Not a fresh project with a new company and a new round of explaining the business from scratch.

Which brings me to the thing I actually want to say, and it is a warning about buying software rather than a pitch.

💡 Most businesses use less than 30% of the software they pay for.

Read that again if you have ever signed a big software cheque.

It is not that the software was bad. It is that after the system went live, everyone went back to being busy, the company who built it moved on to their next customer, and within two months half the staff had quietly gone back to their old way of doing things.

Nobody reports this to the owner. It just happens, and a year later you are paying for something nobody opens.

So before you sign anything with any software company, including us, here are four questions worth asking. They take five minutes and they will tell you more than the proposal will.

1️⃣ One. What happens in the eight weeks after the system goes live?

If the answer is a support email address, you are buying software. You are not buying a change in how your business runs. Those are two different purchases.

2️⃣ Two. How long does your average client stay with you, and can I speak to one from more than five years ago?

Anybody can show you recent logos. Long relationships are the one thing that cannot be arranged for a meeting.

3️⃣ Three. Who from your team will still be reachable in month six, and what is that person's name?

Ask for a name, not a department.

4️⃣ Four. What will you do if my staff stop using it?

A good answer sounds like a plan. A bad answer sounds offended.

Build it or buy it.

That is how the software decision gets framed in nearly every meeting we sit in.

Two columns, two numbers, and a decision that feels rigorous because there is maths on it.

Both usually disappoint, for opposite reasons.

Build takes longer and costs more than the estimate, because the business kept moving while you built.

Buy fits about 70% of how you work, and the missing 30% is the part your business is actually built on.

There is a third column.

Almost nobody costs it, because it does not look like a purchase.

It looks like leaving things alone.

Connect means keeping the systems you already own and adding intelligence on top, so the software becomes usable rather than replaced.

One client wanted a new internal portal.

We put an assistant inside the app their people already opened every day instead.

Queries got 75% faster, accuracy measured at 95%, new staff onboarded 40% quicker, and it paid for itself in 8 months.

Slide 7 is the honest one.

Sometimes build really is the answer. Sometimes buy is.

Seven industries, 730+ systems, eight years. And the same failure mode in every single one of them.

It goes like this. The information exists. It is just not reachable.

So somebody senior becomes the human index, answering the same questions week after week, and everybody quietly builds around that person instead of fixing the gap.

In pharma it looks like SOP questions interrupting plant supervisors.

In healthcare it looks like front desks calling front desks across locations.

In manufacturing it looks like a quotation taking four days while the customer talks to three competitors.

In government it looks like a queue that forms before the gates open.

Different buildings. Same problem wearing different clothes.

💡 Which is why the fix rarely starts with new software. It starts with making what you already own answerable, and then staying long enough that people actually use it.

That last part is the one most vendors skip, and it is the reason some of our client partnerships are now in year seven.

India's large hospital networks have their own IT departments.

Small clinics manage on simple tools.

And then there is the middle, which is where most of India's healthcare capacity actually sits.

Fifty to three hundred bed hospitals.
Diagnostic chains.
Multi-location specialty groups.

Too complex for off-the-shelf software.
Too mid-sized for the big hospital software vendors to bother customising for.

We spend a lot of time in those buildings, and the conversation is almost identical every time.

💡 The problem is rarely medical technology. It is coordination.

Patients navigating the hospital by phone call.
Front desks relaying messages between locations.
Reports chased manually.
Staff knowledge sitting in the heads of a few senior people.

And a hospital system that faithfully records everything while explaining nothing.

Then a new wing opens, or a third location, and all of it multiplies.

Four things fix this, roughly in this order.

1️⃣ Put patient communication on WhatsApp.
Appointments, reminders, reports, pre-visit instructions, follow-ups. India runs on WhatsApp and healthcare's coordination load fits it naturally. Front desk load drops, missed appointments drop, and patients stop navigating your hospital by hold music. This is usually the fastest visible win and the one patients actually thank you for.

2️⃣ If you run more than one location, get them onto one platform.
A diagnostic chain we worked with unified six clinics and manual communication fell by 80%. Opening a new clinic became a rollout instead of starting over.

3️⃣ Give staff a way to get answers without interrupting a senior colleague.
Protocols, packages, insurance rules. An assistant inside the app they already use, answering only from your approved documents.

4️⃣ Make the system you already own answer questions.
Most hospitals in this tier do not need new hospital software. They need the software they have to become usable.

One warning, because it matters more in healthcare than anywhere else.

👉 Your staff have zero spare time for a tool that makes their day longer.

Anything new has to fit into how they already work, or it will be abandoned within three weeks. We have watched it happen to other people's projects many times.

A queue everyone treated as permanent. 45 days later it was gone.

Every government office has the same morning scene.

A queue before the gates open.

Crowded corridors by ten.

Officers whose real work starts only after the flood recedes.

Almost everyone treats that as a law of nature.

A government organization in Maharashtra was receiving more than 2,000 visitors a day.

Forty five days after deployment, it was under 700.

What was built was not complicated.

A QR code appointment flow, so citizens book a slot instead of travelling to the office in order to arrange to travel to the office again.

And AI-powered visitor management, so arrivals are logged and routed, and leadership finally sees volumes, purposes and repeat patterns instead of a paper register.

What made it work was three decisions.

1️⃣ One number, agreed upfront.
Footfall, counted before and after. When success is a number everyone agreed to in advance, the project survives every review.

2️⃣ Nothing for the citizen to install.
No app, no account, no OTP loop. Every barrier suppresses adoption, and the citizen always has an alternative: stand in the queue like always.

3️⃣ And speed.
Forty five days meant it proved itself inside one administrative season, before officers transfer and budget cycles turn.
